We're currently recruiting for an experienced and highly organised Executive Assistant (Governance) to join a values-led organisation based in Godstone on an initial 3-month temporary contract.
This is an excellent opportunity for a skilled Executive Assistant or Governance professional to support senior leadership and trustees within a purpose-driven environment.
The successful candidate will play a key role in ensuring the smooth running of governance processes, Board and committee administration, policy management, compliance tracking, and executive support to the Senior Management Team.
Key responsibilities will include:
* Coordinating Board, committee, and SMT meetings
* Preparing agendas, papers, minutes, and action logs
* Maintaining governance and compliance registers
* Supporting policy review and publication processes
* Tracking organisational risks, actions, and deadlines
* Providing high-level executive support to senior leaders
* Managing confidential records, archiving, and documentation
* Coordinating trustee onboarding, declarations, and training records
* Supporting regulatory readiness and governance reporting
We're looking for someone with:
* Previous experience in an Executive Assistant or Governance support role
* Excellent minute-taking and organisational skills
* Strong Microsoft Office / Microsoft 365 skills
* The ability to manage multiple priorities and deadlines
* Outstanding written and verbal communication skills
* A proactive, calm, and solutions-focused approach
* Experience supporting senior leadership teams or boards
Experience within the charity or not-for-profit sector would be highly advantageous.
Due to the nature of the organisation, this role will require an Enhanced DBS check.

The Role
Coordination
Fundraising Team coordination Creation of a ticket system where the deliverables or actions of each member of the fundraising team will be tracked. The post holder will also be responsible for inputting new entries, monitoring the tracker on a daily basis and chasing team mates to ensure deadlines are met.
Meetings coordination scheduling, agenda setting, note taking, and follow-up tracking for meetings including
Fundraising team meeting
Regular check-in between fundraising and programs
Fundraising priority working groups
Monthly Grade 1/0 coordination calls
Review coordination for material authored by the fundraising team, coordinating internal or external reviews
Content
Creation of material creation of templates including boilerplate or readily available information, for team mates to input or finalise. Eg briefings for events or meetings.
Desk research with the guidance of the fundraising analyst, carrying out the initial desk research as per agreed upon methodology on new funder vetting.
Data
Reporting capturing the data for the Q2 cross-org fundraising KPIs from the data holders internally.
Salesforce Review of funders contacts and meetings with relationship holders.
The Candidate
Experience coordinating fast pace teams or projects with high volume of tickets and items on short timelines
Experience using project management tools and methodologies. Experience on Asana or other similar tools is a plus
Fluent written and spoken English
A keen eye for detail and rigorous information management
Familiar with Google Suite
Ability to create templates in Google Doc, Google Sheets or Google Slides
Experience scheduling meetings across timezones
Ability to summarise notes and actions.

The Role

Our client operates a Superannuation Society which his both an occupational pension scheme and a Friendly Society run by our client. The scheme has around 800 members including 164 active members and assets of around £115m.
The post holder will provide administrative support to ensure that the scheme is run as effectively as possible.
The post holder will have responsibility for maintaining various governance materials including the business plan, risk register, trustee policies, conflicts register, trustee training logs and other documents. In addition, the post holder will play a key role in preparing the Scheme’s Own Risk Assessment and assist with the production of the scheme report and accounts.
