Brief role description

The NST Client Advisor plays a key role in delivering the support centre function for the programme, acting as the first point of contact for veterans who have served in the UK Armed Forces and are at risk of, or involved in, the Justice System. Working closely with the Nova Support Team (NST), you will provide initial advice, guidance and assistance, assess individual needs, manage case information and connect veterans with appropriate support services. The role involves receiving and triaging referrals, making timely first contact, completing initial registrations and maintaining accurate and detailed records on the case management system.

You will have experience and guiding and supporting individuals with strong interpersonal skills and the confidence to provide accurate advice and direction. You will be proactive, IT Confident and able to work both independently and collaboratively with internal and external stakeholders. The ideal candidate will also bring an understanding of the justice system, experience using Salesforce, or a similar CRM system, and a resilient, adaptable approach.

We are seeking an exceptional Executive Assistant to provide dedicated support to our Interim CEO during a period of transformation, growth and strategic development, while we recruit and appoint our permanent CEO.

Working at the heart of the organisation, you will play a key role in ensuring continuity, maintaining momentum and supporting the successful transition to new leadership. This highly visible position offers the opportunity to contribute directly to the next chapter of Practical Action's impact and ambition.

We are looking for an experienced, highly organised and proactive Executive Assistant who can provide outstanding strategic and operational support to the CEO of a respected international development organisation. Acting as a trusted partner, you will enable the CEO to focus on organisational leadership, external engagement, fundraising and the delivery of strategic priorities.

The role encompasses complex diary and inbox management, preparation of high-quality briefings and correspondence, Board and governance support, and coordination with senior stakeholders across the organisation and internationally. You will work closely with colleagues, partners and supporters across multiple countries, cultures and time zones, ensuring the smooth and effective operation of the Executive Office.

 Accountabilities:

Executive and CEO Office Support

• Proactively manage the CEO's diary, inbox and correspondence, exercising independent judgement in prioritising requests and protecting time for strategic priorities.

• Prepare and commission high-quality briefings, background notes, talking points and presentation materials to ensure the CEO is fully prepared for all meetings and engagements.

• Draft, review and quality-assure outgoing correspondence, reports and communications on behalf of the CEO.

• Coordinate and manage complex domestic and international travel arrangements, itineraries, visas and logistics for the CEO and COO, ensuring efficiency and value for money.

• Manage the CEO and COO’s expense reporting and the Executive Office budget, maintaining accurate records and flagging issues proactively.

• Serve as the first point of contact for the CEO's office, managing enquiries from staff, partners, donors and stakeholders with professionalism and discretion.

• Work closely with the Internal Communications and Social Media team lead to ensure CEO internal and external communications are delivered well.

Board and Governance Administration

• Lead the end-to-end administration of Board of Trustee meetings and sub-committees, including scheduling, preparation of Board papers, agenda coordination and minute-taking, utilising AI. The majority are virtual due to the international nature of the board. In-person meetings take place approx. every 18 months.

• Maintain the governance calendar and ensure all regulatory and statutory reporting deadlines are met in coordination with the Company Secretary, CEO and COO.

• Support the onboarding of new Trustees and maintain up-to-date records of Board membership, terms of office and declarations of interest.

• Build strong working relationships with Trustees, acting as a responsive and reliable point of contact between Board meetings.

• Assist with the organisation of the Annual General Meeting and other governance events.

Leadership Team Coordination

• Coordinate the Global Leadership Team (GLT) meeting cycle, including agenda-setting, papers, actions and follow-up, working closely with the CEO and members of GLT.

• Support the CEO in tracking GLT action items, strategic priorities and key commitments, flagging issues and ensuring accountability.

• Co-ordinate with Regional and Country Directors on the Senior Leadership Team (SLT) meetings, including agenda-setting, papers, actions and follow-up,

• Assist with the preparation of materials for all-staff communications, leadership away-days and organisational events.

• Build effective working relationships across Practical Action's global offices, navigating time-zone differences and cultural contexts with sensitivity.

Stakeholder and Partnership Support

• Support the CEO's engagement with major institutional donors, trusts and foundations, bilateral agencies and high-value partners, including managing contact records and briefing materials, liaising closely with the business development and philanthropy teams.

• Coordinate logistics for high-level external visits, delegations, conferences and events involving the CEO.

• Assist with donor stewardship activities and the preparation of materials for fundraising and partnership development.

• Represent the CEO's office professionally in interactions with government officials, international organisations and peer NGOs.

Project and Research Support

• Take on research and project management tasks as directed by the CEO

• Continue to test and utilise AI tools to increase efficiency and effectiveness and share learnings with other members of Practical Action

• Support the delivery of special initiatives and cross-organisational projects led from the Executive Office.

• Maintain confidential files and records management systems for the CEO's office, ensuring compliance with GDPR and information governance policies.

To be successful in this role, the ideal candidate will be able to demonstrate:

 Essential

• Significant experience (typically five or more years) as an Executive Assistant or Personal Assistant supporting a Chief Executive or equivalent senior leaders in a complex and or charitable organisation.

• Demonstrable experience of Board and governance administration, including minuting meetings and managing trustee or director-level relationships.

• Excellent written and verbal communication skills, including the ability to draft high-quality correspondence, briefing papers and presentations to Board or senior stakeholder standard.

• Outstanding organisational skills and attention to detail, with the ability to manage competing priorities, meet deadlines and maintain quality under pressure.

• High degree of discretion, confidentiality and professional judgement in handling sensitive information about people, partners and organisational matters.

• Strong interpersonal skills and emotional intelligence, with the ability to build trust and credibility with senior internal and external stakeholders.

• Experience of coordinating complex international travel and managing logistics across multiple time zones.

• Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), AI tools and the ability to learn new digital tools quickly.

Desirable

• Experience working in an international NGO, development organisation or comparable mission-driven environment.

• Familiarity with funder relationships

• Experience supporting or working in an organisation with offices or programmes in the Global South.

• Knowledge of charity law and UK charity governance, including Charity Commission requirements.

• A second language relevant to Practical Action's programme geographies (e.g. French, Spanish, Arabic).

You’ll be embarking on a challenging and rewarding role, engaging directly with the Big Leaf core team to support the development and delivery of programmes and activities for displaced young people in both Guildford and Redhill.   

 The Project Administrator & Support position has been created to support the Programme Managers with 1) management and engagement with our working partners, and 2) operational project support and administration across the organisation.

Key Tasks ● Provide logistical and administrative support to the BLF Programme Managers. This can include liaising with project partners and suppliers, booking transportation and project venues, communication with young people and ensuring relevant consents and permissions are obtained. ● Act as a point of contact and build good relationships with partners. ● Liaise with our Partners including social workers, foster carers, parents and accommodation providers and meet BLFs safeguarding commitments by ensuring all paperwork and consents are in place. ● Manage general enquiries and referrals coming through our website and the contact@ email ensuring these are directed to the appropriate team members in a timely manner. ● Data capture and monitoring: populating SalesForce campaigns and ensuring registers for all activities are kept up to date ● Provide planning and admin support for our Summer Programme, Refugee Week and End of Year celebrations, including booking venues and transportation, liaising with project partners and communications with stakeholders. ● Occasional in-person project delivery support might be required.

Core Purpose

To deliver high quality, accurate, and responsive financial support that ensures the smooth operation of Make-A-Wish finance function. This role is central to maintaining the integrity of financial data through timely processing of transactions, effective communication with stakeholders, and diligent reconciliation of accounts. By supporting both internal teams and external partners, the role helps uphold financial compliance and operational efficiency, enabling Make-A-Wish to focus on granting life-changing wishes to children with critical illnesses.

Key Responsibilities

Customer and Communication Support

• Monitor the finance mailbox daily, ensuring all emails are reviewed and responded to in a timely, professional, and accurate manner. Provide first-line support for internal and external customer queries, escalating complex or unresolved issues to the appropriate team member or manager.
• Handle incoming calls to the finance team, offering courteous and knowledgeable assistance. Accurately log call details and follow up on outstanding queries to ensure resolution and customer satisfaction.

Sales and Purchase Processing

• Process sales invoices accurately and efficiently in accordance with MAW’s financial procedures, ensuring correct coding, VAT treatment, and timely dispatch to customers.
• Set up new customers and suppliers on the finance system, verifying all required documentation and approvals are in place. Maintain accurate and up-to-date records to support compliance and audit readiness.
• Process purchase ledger invoices (approx. 360 per month), ensuring they are matched to purchase orders, coded correctly, and approved in line with internal controls. Resolve discrepancies promptly to avoid payment delays.
• Create payment runs and upload onto the bank for approval, ensuring approvals are obtained in a timely manner

Reconciliations and Debt Management

• Perform supplier statement reconciliations regularly, identifying and resolving aged or unmatched items. Liaise with suppliers and internal stakeholders to ensure accounts are accurate and up to date.
• Monitor outstanding sales invoices, escalating overdue items to the relevant ‘requestor’ or budget holder. Support the credit control process by providing timely updates and assisting with follow-up actions.
• Conduct income reconciliations on a regular basis, ensuring all income is accurately recorded and discrepancies are investigated and resolved.
• Reconcile balance sheet accounts as assigned, maintaining clear audit trails and supporting documentation for all entries.

Expense and Credit Card Management

• Process monthly credit card statements, ensuring all transactions are supported by receipts, correctly coded, and approved in line with company policy.
• Review and process employee expense claims, checking for accuracy, policy compliance, and appropriate authorisation before submission for payment.

Inventory and Stock Control

• Conduct stock takes at agreed intervals, working with relevant departments to ensure accurate counts and investigate variances. Support the maintenance of accurate stock records in the finance system.

Financial Recording and Reporting

• Post and process journal entries for accruals, prepayments, and other adjustments to ensure the general ledger reflects accurate and complete financial information. Maintain supporting documentation for all entries.

Continuous Improvement

• Identify process improvements and opportunities for automation, making recommendations to line manager and supporting implementation

General and Ad-Hoc Support

• Support with ad-hoc finance tasks as required, including data entry, reporting, and assisting with audits or internal reviews.
• Provide cover for team members during periods of absence, ensuring continuity of service and workload management. Take on additional duties as appropriate to the level of the role and contribute to team objectives.

Essential Criteria

• Proven experience in a finance or accounts role, with a solid understanding of financial processes such as invoicing, reconciliations, and ledger management.
• Strong attention to detail and accuracy in data entry and financial reporting.
• GCSE Maths or equivalent, grade 4/5 (C) or above.
• Excellent communication skills, both written and verbal, with the ability to respond professionally to internal and external queries.
• Ability to work independently and as part of a team, managing workload effectively and meeting deadlines.
• Proficient in using finance systems, particularly Xero and Microsoft Office applications, especially Excel.

The Public Interest News Foundation (PINF) is the UK’s first charity that exists to promote high-quality journalism. Last year, we launched an ambitious ten-year mission to regenerate local news in the UK. We believe that local news is a vital part of the fabric of local communities, drawing people together around shared facts and pride in place at a time of disinformation and division.

We are pursuing our mission by (1) sourcing new funds for local news; (2) advocating for supportive government policies; and (3) celebrating local news providers from the UK and around the world that are Accountable, Sustainable, in the Public interest, Innovative, Representative and Engaging (ASPIRE).

Over the last year, we have successfully encouraged the UK Government to launch an unprecedented new £12m Local News Fund. We have also built support for our mission from US and UK donors. And we have launched initiatives such as the Tenacious Journalist Awards, to recognise and support independent news providers who are having a significant social impact.

Summary of the Role

Title: Programmes Officer

Salary: £30,000

Location: Remote, with occasional meetings in London or other UK locations, for which PINF will pay travel expenses from within the UK

Reporting to: Deputy Director, who will provide overall line management and lead 60% of the Programmes Officer’s work

Working closely with: Campaigns & Communications Manager, who will lead the remaining 40% of the Programme Officer’s work

Purpose of the Role

The Programmes Officer will support the PINF team across our three workstreams: the Local News Fund; Local News Campaign; and Local News Futures programme.

· Through the Local News Fund, we work with grantmakers and social investors (including government-backed fund managers) to unlock new economic resources for local news across the UK.

· Through the Local News Campaign, we work with the BBC, big tech firms, central and local government, MPs, Peers and regulators to shape a positive enabling environment for local news across the UK.

· Through the Local News Futures programme, we work with academics, civil society organisations, journalism support organisations and local news providers to showcase models of local news with the most positive impact.

The Programmes Officer will provide support with events, research and campaigns across these workstreams, and will also provide support with our organisational functions, including communications, fundraising and governance.

By providing efficient and effective support to the team, the Programmes Officer will unlock new potential for PINF to deliver our charitable purpose.

Key Responsibilities

Events

· Support the Deputy Director with the successful delivery of the annual Local News Forum by:

o Maintaining a comprehensive and up to date project plan

o Contributing to the effective marketing of the event within PINF’s network of independent local news providers and stakeholders

o Managing ticket sales and maintaining an accurate database of invitees and participants

o Contributing to effective working relationships with partners and suppliers, including venues and sponsors

o Managing speakers

o Supporting budget administration, including tracking agreed expenditure and processing spending in line with approved budgets and under the oversight of the Deputy Director

o Responding promptly and efficiently to queries

o Providing on-the-day support including registering participants, liaising with the venue and catering providers, ensuring smooth technical support and troubleshooting any issues as they arise

Research

· Support the Deputy Director with our research objectives by:

o Organising and minuting twice-yearly online meetings of our Research Advisory Group

o Working with colleagues to ensure the Local News Map is comprehensive and up to date

o Liaising with independent local news providers to support the new Local News Audit

Campaigns

· Support the Campaigns & Communications Manager with our campaign objectives by:

o Managing relationships with independent news providers participating in our annual Indie News Week

o Supporting budget administration for campaign activity, including tracking agreed expenditure and processing spending in line with approved budgets and under the oversight of the Campaigns & Communications Manager

o Supporting key campaign moments including parliamentary events, party conferences, roundtables and other online and offline events

o Providing logistical and administrative support for key campaign moments, including by maintaining participant and invitation lists, tracking RSVPs and preparing background information for colleagues

Communications

· Support the Campaigns & Communications Manager with our communications objectives by:

o Managing the ‘contact’ email inbox

o Supporting the delivery of engaging content across PINF’s blog and newsletter, including gathering stories, opportunities and other relevant material, in collaboration with the Campaigns & Communications Manager

o Managing PINF’s social media channels including LinkedIn, BlueSky and Instagram

o Updating elements and pages across our website

o Supporting PINF’s WhatsApp community of independent local news providers by sharing relevant content, helping eligible participants to join, and assisting with day-to-day moderation

Fundraising

· Support the Deputy Director with our fundraising objectives by:

o Maintaining the fundraising database and keeping records up to date based on information provided by colleagues

o Facilitating monthly internal fundraising meetings

Other

· Any other tasks as reasonably requested by the Deputy Director

Essential skills and experience
