The Director of Operations for Edinburgh International Book Festival [EIBF] sits at the intersection of programme delivery, organisational management and operational leadership. The role combines events delivery with charity-wide management. This ensures that EIBF runs smoothly, festivals and events happen effectively, and all activity aligns with our charitable objectives and purpose.

The Director of Operations will lead all operational and logistical aspects of the annual Book Festival and year-round programmes. They will ensure effective governance, efficient systems, safe and compliant event delivery, and ensure resources are allocated appropriately to support the charity’s mission to promote engagement with, and enjoyment of, books, writing and ideas. They will manage relationships and contracts with site and production teams, and a range of other key stakeholders and partners. They will own and actively manage policy and systems management in the organisation, including oversight of digital infrastructure, as well as lead the HR function in a busy organisation.

Success in the role will balance the following elements:

• Leading the operational delivery of the Festival and programmes including effective stewarding of key relationships and contractors
• Optimising the culture of EIBF through effective management of HR and internal processes

What You’ll Be Doing

Recruitment & Onboarding

• Support managers with scheduling interviews and communicating with candidates

• Prepare offer letters, contracts and new starter packs

• Carry out right‑to‑work and reference checks

• Co‑ordinate induction plans and ensure new starters are set up on our systems

• Provide admin support for recruitment of staff, trustees and committee members (We typically recruit around five roles per year, so this is steady but manageable.)

HR Administration – Employees

• Keep personnel files accurate and up to date

• Process changes such as hours, job titles, salary amendments and contract renewals

• Draft routine HR letters (e.g., confirmations, probation outcomes)

• Support the review and updating of HR policies

• Manage the quarterly rota for our advice line

HR Administration – Volunteers

• Maintain accurate records for trustees and committee members

The Deputy Director (Operations & Finance) is a new position in the organisation that will lead the day-to-day running of the organisation, bringing together operations, HR, governance, finance oversight and property management under clear, reliable leadership. Working closely with the Director and deputising in their absence, you will line-manage teams across finance, buildings, studios and administration, and act as Company Secretary to the Board of Trustees.

WHO WE'RE LOOKING FOR

You don't need to come from the arts sector, but you do need to be operationally excellent, values-driven, and genuinely excited by what TBFAF is becoming. We are looking for someone with strong experience running operations in a small organisation, solid understanding of governance and finance, confidence managing teams, and the breadth to hold a wide remit without dropping the ball.Experience in property or facilities management, HR management, and familiarity with fundraising applications are all desirable, alongside arts, charity, or cultural sector experience and experience working with Boards of Trustees.

About the role

The HR Coordinator will play a key role in supporting the smooth running of The Brilliant Club’s HR operations. Sitting within a wider HR team, this role is primarily focused on delivering high quality administrative support across the employee lifecycle, particularly in relation to attraction, recruitment, selection, onboarding and offboarding activity.

Working closely with the HR Director and wider HR team, the HR Coordinator will help ensure that HR processes are delivered efficiently, consistently and with excellent attention to detail. The role will involve maintaining accurate employee records within our HR system (Personio), coordinating recruitment administration, supporting compliance processes and assisting with a range of people-related activities across the organisation.

Main Purpose & Scope of the Role:

The HR Advisor will provide specialist and proactive support to other departments within the Charity to ensure organisational compliance in all relevant areas relating to HR.

About You and the Role

As the Society approaches its 200th anniversary in 2030, with ambitious associated goals, ensuring that we continue to have the best possible leadership team in place has never been more relevant.

With the approaching retirement of our current Director of Finance & Services, we are looking for an exceptional, entrepreneurial senior leader with proven ability to balance strategic and operational impact.

Whilst an executive level financial background is a given, we are additionally seeking an individual who has led other functions and developed the professionals within them. This role leads a diverse team of 10, spanning: Finance, Facilities & Estates, IT & Database Administration, and HR. It also holds additional responsibility for: Safeguarding, Data Protection, Risk Management, Pensions, Company Secretarial, Insurance & Legal.

We have exciting plans for our building, at the heart of London’s Exhibition Road Cultural Quarter, optimizing and developing this space as a gathering point of global significance and influence for people intent on making a positive difference to the world. Accordingly, we are particularly interested in individuals who bring with them strong programme management skills and experience of managing heritage estate projects operationally, in partnership with external consultants.

The successful candidate will drive and deliver effective and efficient financial planning, forecasting, budgeting, reporting, controls, operations, and management, whilst continuing to improve the Society’s processes and systems.

Salary and Benefits

This is a permanent post. We welcome requests for flexible working arrangements, including hybrid and part time working. This is looked at on a case-by-case basis, balancing the Society’s needs with the successful candidate’s other commitments, to support a good work-life balance. The salary range for this post is c£100,000+ (FTE) per annum, depending on experience and qualifications. The post is based in Kensington, London.

You will be involved in all aspects of case management including: risk assessment, needs assessment, journey planning, outcomes and case review when supporting clients through their recovery and reflection period. You will also be involved in all aspects of accommodation, including; health and safety, requesting maintenance support, ensuring fire safety etc.
