Job description

The Guinea Bissau Country Office are looking for a smart, effective and experienced Administrative Assistant to join their team. The post-holder will support the day to day office administration for the team and be a point of contact for all external stakeholders. If you enjoy managing a varied workload, supporting different teams with agendas, schedules and programme activities and have previous experience in a similar role then this is the opportunity for you.

This role will cover duties such as scheduling meetings, responding to invitations on behalf of the Country Director and Senior Programme Manager, coordinating travel and itineraries, submitting expenses, updating presentations, supporting external attendees with their needs and helping coordinate diaries for the team.

The ideal candidate will have excellent scheduling skills, first class writing and correspondence experience with knowledge in overseeing the office premises and general maintenance of office and IT equipment.

The post-holder will be responsible for managing the cleaning services for the office, own the purchasing of supplies and keep effective records against expenses incurred.

Essentials

  • Qualification or degree in administration/management/office management from an accredited institution
  • Excellent organisational and communication skills
  • Ability to multitask to meet objectives
  • Previous experience within an INGO
  • Fluent in written and spoken English
  • Excellent IT knowledge, Microsoft Suite
  • Proven professional work experience within a busy admin support environment
  • An understanding of and commitment to equality of opportunity for disabled people

The interview process will be in two stages. First stage will be a written task lasting up to an hour. Candidates who are successful as this stage will then be invited to either a face to face or virtual interview lasting up to 1 hour. Interviews are intended from 6 May onwards.
