Purpose of the Operations Manager role: 

As Operations Manager, the successful candidate will play an integral role in the effective day to day management of key business support services including operations, IT data and premises. The role includes line manage responsibilities of the inhouse team as well as maintaining key relationships with outsourced companies to ensure objectives are met.

 

Key duties and responsibilities of the Operations Manager:

Operations: 

• Manage the non-pay elements of the Operations Budget, including IT budget. (approximately £400K annually) 
• Ensure that the technical, digital and office environment needs of all staff (across all sites and remote workers) are fit for purpose and adequately resourced
• Compliance with Health and Safety legislation
• Oversee the effective management of communal facilities, office resources and equipment. 
• Responsible to complete, monitor and maintain the Operations Risk Management register.

Data Protection and Management: 

• Provide subject matter expert advice on GDPR compliance and data protection. 
• Responsible for co-ordinating the Data Champions Group to ensure that all Data Protection Polices are kept up to date. 
• Responsible for all Subject Access and Right To Be Forgotten Requests
• Act as the ICO liaison. 
• Responsible for setting GDPR training requirements
• Manage the Intranet and SharePoint sites
• Responsible for ensuring that the CRM operates in line with WA’s IT and GDPR Policies. 
• Responsible for monitoring the ongoing archiving connection.

IT: 

• Work with the external IT contractors to ensure effective delivery of the WA IT strategy. 
• Ensure effective management and coordination of IT systems, equipment, office machinery, premises, and services. 
• Plan, develop and implement strategies for IT
• Ensure organisation wide compliance with IT policies. 
• Manage responsive IT support, maintain central records for externally provisioned services. 
• Oversee the effective use of databases and file storage

Consultancy Title: Microsoft Apps Developer for Travel Request Automation

Location(s) where the Services are to be performed: Remote 

Contracting Manager: Director of Supply Chain and Operations

Dates: to start in May 2023, and expected to be developed, tested and live within 3 months

Role Classification: Depending on the nature of services this contract will require the consultant delivering these services to have undertaken Standard or Advanced pre contracting checks

Scope and Nature of Services

Relief International (RI) is a leading nonprofit organization working in 14 countries to relieve poverty, ensure well-being and advance dignity. We specialize in fragile settings, responding to natural disasters, humanitarian crises and chronic poverty. 

RI is seeking proposals from Microsoft App developers to develop an automated Travel Request Form (Lot 1) and Expenses Claim Form (Lot 2) within RIs Microsoft environment. The Forms will need to be able to populate relevant budget code data from RIs finance management system (Oracle Netsuite), use RIs single sign on (SSO) and MS Identity Service (EntraID) and preferably be able to work offline (sync’ing when the user has internet connectivity). Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3).

Developers should bid for both Lot 1 and Lot 2 separately. The fees for Lot 3 (PowerBI) will be agreed with the successful bidder on completion of the initial scope of work related to Lots 1 and 2 and as such no quote is required for Lot 3 in this submission..

RI is open to revising its requirements based on recommendations from a developer where this can improve the functioning of the forms.

RIs IT department will be part of the developer selection process, and will review and sign off on all deliverables prior to any payment.

Lot 1: Travel Request Automation Requirements

A Travel Request (TR) form is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. 

Any RI staff can access and create a TR and submit it for approval in the RI MS environment. The fields for the TR are defined in Annex 1. Note that Annex 1 is broadly based on the RI pdf Travel Request form (with some differences), which is available in Annex 5.

Once a TR is submitted for approval it obtains a system generated unique serial number and follows the approval process and subsequent actions as outlined in Annex 2.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Traveller draft and approved TRs will be available for a traveller to access at any time on a dashboard within the RI Microsoft environment that only shows those relevant to the Travellers RI email address.

Lot 2: Expenses Claim Form Automation Requirements

A form is to be created to support Expense Claims and Cash Advance Settlements, called the Expense Report Form (ERF). 

The ERF is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. Any RI user with access to RI SharePoint can complete and submit this form. Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3)

Any RI staff can access and create an ERF and submit it for approval in the RI MS environment. The fields for the ERF are defined in Annex 3. Note that Annex 3 is broadly based on the RI Expenses Claim Form (with some differences), which is available in Annex 6.

The ERF must be able to link with an approved TR (lot 1) in such a way that once a user has opened a new ERF they can point the ERF to a particular TR which then auto-populates relevant fields into the ERF (see Annex 3)

Once an ERF is submitted for approval it obtains a system generated unique serial number and follows the approval process and resulting actions as outlined in Annex 4.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Consultant Profile and Submission Requirements

RI is seeking a developer who

• Has significant experience with developing such automations within customer Microsoft systems
• Is registered as a consultant and can provide formal invoices against which payment will be made within 30 days of satisfactory sign off of work by RI

Proposals must include

• The developers CV, showing relevant experience with MS Apps, MS Automate, MS Identity Services, MS Identity Service (EntraID), MS Lists and MS PowerBI, as well as experience with integrating data from other systems (e.g. Oracle Netsuite)
• A supporting letter with
  • a fixed price cost for Lot 1 and Lot 2 separately, including any VAT
  • your hourly or daily rate for any additional work related to Lot 3
  • examples of similar work completed in the past 2 years
  • a proposed timeline for the work, which must include
    • at least 1 detailed scoping session with relevant RI staff to finalise the requirements
    • at least 2 review cycles by RI staff to ensure the final product meets RIs needs.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

The Candidate

The NI is looking for its next Events Officer to oversee the setting up and online booking of a range of events – mainly conferences and dinners – as well as overseeing the subscriptions to its Journal. The role is a busy one and the person recruited with require good experience with events booking CRMs as well as working with volunteers and other team members in a small team.

Responsibilities

Main duties include:

Manage all event bookings administration, including:

o Set up of online booking for events through CRM

o Set up and maintain webpages for each event through CMS adding sponsor logos and additional information as required.

o Ensuring invoices for events are issued and paid, updating any on CRM that were issued manually including sponsorship events

o Ensuring relevant communications such as joining instructions are circulated to attendees

o Issue sponsorship contracts, invoices and monitor payments of same

o Providing support for delivery of events including producing delegate lists, dietary requirements etc

o Liaising with suppliers and stakeholders to ensure all events run smoothly.

Manage the admin and event email inboxes, answering all queries in a timely and professional fashion; forwarding queries to colleagues as appropriate where outside your area of expertise.

Assist in maintaining the CRM to ensure data quality eg by removing duplicates, amending incorrect details, updating information and resolving login issues.

Work closely with the Branch Representatives and the Marketing and Communications Manager to set up all events including paid-for and free-to-attend, plus any external suppliers where necessary.

Manage all journal subscriptions including renewals and responding to subscription enquiries.

Actively recruit new subscribers for Nuclear Future.

Manage credit control for events and journal subscriptions and actively work to manage debtors ensuring all invoices are paid.

Undertake any ad-hoc tasks as directed by the CEO to ensure a smooth-running organisation.

Skills and Experience

Essential

About the Team

Amongst other key systems, the ALM team supports two critical CRM solutions which underpin our engagement with both our clients and supporters. We’re also part of the Business Enablement team within Shelter’s Technology & Data (T&D) Department. T&D consists of 30+ people based across the country, with bases in London, Sheffield and Edinburgh and is accountable for developing and leading Shelter’s technology and data strategic priorities and providing a secure infrastructure. The management of data and insight to underpin strategic outcomes, delivery of technology change projects, data governance and provision of support for a range of software, systems and platform tools also fall under T&D’s remit.

About the role

Working as part of a team with a diverse portfolio of skills, as a Dynamics Support Analyst you’ll have plenty of opportunity to deepen your knowledge of our CRM systems, as well as expand into other areas. You’ll be the first point of contact for users seeking assistant with our CRM systems to ensure that they have a seamless experience with troubleshooting, problem resolution and system guidance.

As part of the role, you will also be monitoring and managing the support ticketing system (Zoho ManageEngine), to ensure timely responses and resolution of queries, at times co-ordinating with other teams and taking ownership to deliver a positive outcome for users. You’ll become an expert user of Shelter’s implementations of Microsoft Dynamics CRM, assisting in basic configuration and customisation tasks.

And we’ll also rely on you to help maintain accurate documentation of support processes, provide input for training sessions, feed into the generation of regular reports and gather user feedback to help us identify areas for improvement.

Indeed, you’ll play a key role in helping the teams that are crucial to our mission - teams which provide advice to people in need and help us understand and engage with our supporters.

About you

To succeed, you’ll need a strong understanding of enterprise-level software (ideally CRM) processes, workflows and data management and the ability to provide first level support to end users. You’ll be proficient in Microsoft Dynamics CRM or similar CRM platforms as a system administrator or expert user. You’ll also need to be detail-oriented ,with a problem-solving mindset and excellent communication and interpersonal skills. As comfortable helping to generate regular reports as you are maintaining accurate documentation, prior experience in a customer support or helpdesk role is essential. Ideally, we’re looking for an individual who has prior experience working with IT Service/Helpdesks and you’ll able to work effectively both on your own initiative and as part of a team helping Shelter achieve its wider goals.

Rape Crisis England & Wales works in partnership with three of our member centres to deliver the 24/7 Rape and Sexual Abuse Support Line. We lead on the digital infrastructure of the service, including the management of a Cloud Contact Centre and various internal systems used by Support Line operators and managers. The focus of this role is to manage and continually improve these digital products, working across the partnership to ensure that products meet the needs of the people that use them.

Reporting to the Business Engagement Manager within the IT department, you will be instrumental in providing an enthusiastic, user focused approach, utilising excellent communication and influencing skills to manage the relationships within a given business area. 

The role will play a significant part in the development and delivery of the technology business partnering approach for the Society.  Engaging across the Society to support the organisational strategy and ensuring strategic alignment between the technology function and the given business area, so that the organisation can achieve its objectives assisted by technology.

This role will use all elements of digital communication to put supporters at the heart of our communications work. Reporting to the Head of Marketing, the role involves overseeing all aspects of digital communications including developing our website, overseeing email communications with supporters, and managing our social media platforms (including paid for social media advertising).

You will need experience in managing all digital channels for a charity or a similar organisation as well as an understanding of the needs of different audiences. But, most importantly, you will have a passion for creating and sharing engaging and relevant content across multiple channels. You will be keen to test new approaches and quickly learn what is working. You will also have a passion for amplifying the voices of the families we work with and a commitment to diversifying the stories we tell and ensuring that voices from minority or marginalised communities are heard.

You will combine the ability to manage the technical side of maintaining websites and social media accounts, with an understanding of the power of the right words and images to communicate our messages.

This position reports directly to the ODI IT Infra & Service Delivery Manager. YOUR KEY RESPONSIBILITIES 

• Monitor and triage incoming tickets (Freshservice ITSM tool), provide timely response to all issues, update internal customers on status, solicit additional information, if needed;

• Responsible for the full professional handling of customer questions, requests, and incidents and take measures when issues arise; 

• Identify possibilities for structural improvements to increase the efficiency and effectiveness of our IT services, for example using PowerAutomate or similar;

• Training and advising individual users in secure and efficient use of IT systems;

• Act as a key first point of contact for UK staff 

• Develop and update  support documentation. 

YOUR PROFILE 

• A committed Christian with a passion for the Persecuted Church 

• Experience in IT Support and a relevant degree or certification(s); 

• A great sense of responsibility to solve problems quickly and sustainably;

• Able to understand the needs of users from various cultural backgrounds and respond to them in a service-oriented, clear and non-technical way;

• Proven ability to approach and analyze a technical problem and find an appropriate and workable solution;

• Has a good command of the English language;

• Coordination skills and able to work in a planned and structured way.
