The role

As our Finance & Operations Officer, you will play a pivotal role in ensuring the seamless functioning of our charity. Reporting directly to the Chief Executive,  you'll be part of a small but impactful team, dedicated to improving awareness, knowledge, policy, and research related to GBS infection prevention and treatment.

Key responsibilities:

Financial and accounting (70%)

• Maintain accurate and up-to-date financial accounting procedures and records for the charity
• Handle data entry for financial transactions with precision.
• Assist in preparing financial statements, including monthly management accounts.
• Assist with payroll processes to ensure timely and accurate payments
• Ensure compliance with relevant financial statutory and regulatory requirements.
• Implement effective internal financial controls.
• Provide training and support to team members on financial procedures.
• Document clear and up-to-date procedure notes for all areas of responsibility

Human resources support (15%)

• Assist with HR administration tasks, including employee records and contracts 
• Coordinate recruitment processes to attract top talent
• Lead new employee onboarding, including training on core systems and processes
• Support staff development and training initiatives

Office management (15%)

• Maintain office supplies and equipment efficiently
• Organise office space and facilities for optimal productivity
• Manage external contracts, review service performance levels and oversee renewals 
• Promote equality, health, and safety within the company, monitoring and proposing improvements to company policies.

Terms and Conditions

• Location: This role is hybrid role at GBSS's offices in Haywards Heath, West Sussex and working from home. This is a UK based role. 
• Working Hours: 14 hours per week, with 1 hour for lunch daily unpaid (40% FTE)

Job Description

The IRC UK’s Finance Team seeks to achieve excellence in financial management by providing accurate and timely financial information to IRC management and programs and by adhering to established financial practices and accounting principles. We do this by supporting the UK office; by implementing and monitoring IRC and donor policies and procedures; leading financial forecasting and planning, proactive risk management; consolidating financial results; and ensuring reliable financial reporting (internal and external).

The Finance Assistant – Operations assists the UK Finance team in delivering its objectives and providing effective support to IRC UK. This position works closely with the UK Finance and Operations department, wider UK office and suppliers. Furthermore, the incumbent plays a key role in ensuring that Finance remains a critical organizational business partner delivering accurate, insightful, and timely financial management information.

The role is part of the UK Finance Team and reports to the Finance Manager – Operations.

Major Responsibilities

•  Maintain accurate files for supplier invoices, staff expenses claims, petty cash and credit card expenses

•  Assist in maintaining an up to date – London Finance mailbox, ensuring mails are dealt with in a timely manner.

•Check and prepare invoice journals for all direct debits and ensure supporting invoices and approval are filed.

•  Assist with NATWEST bank income and payment journals and the bank reconciliation.

•  Post invoices and credit notes in Integra (Dynamics 365), ensuring authorization, budget codes and supporting documents have been provided in a timely manner for payment runs.

•  Reconcile supplier statements to creditor accounts in Integra and follow up any queries to ensure they are dealt with in a timely fashion

•  Arrange travel advances for staff, check all staff expense claims for compliance with IRC-UK Travel Policy and reconcile against advances in Integra.

•Reconciliation of credit card expenses in Integra.

•Prepare correction journals and post on Integra

•Prepare the weekly payment run as directed and ensure bank sign off staff are allocated well ahead of the run.

•Participate in the development and delivery of plans, goals, objectives, and priorities for the UK Finance Team and undertake other duties as assigned.

PERSON SPECIFICATION

•Knowledge of accounting demonstrated by an accounting qualification such as AAT or part Qualified Accountant. We would consider an AAT trainee/apprentice for the role as well.

Part 1: Role Purpose:

This role aims to offer financial and operations management support to Great Lakes and Central Africa Region programs, focusing majorly on Street Child Programmes in DRC. The role reports to both Great Lakes and Central Africa Regional Representative and Head of Finance in Africa.

The role holds a senior position within the Street Central Africa Region team and will oversee Street Child – financial and operational setup to support operationalizing all program/project implementation in full compliance with donors’ and SC operational standards. The role will also provide financial support to programs across Great Lakes and Central Africa and partner organizations to support the development and implementation of robust financial management and reporting systems and assess and strengthen the control environment, financial management, grant management, and reporting. It will be building the finance and grants management capacity of Street Child staff and partners. A vital part of this is facilitating communication between Programmes and Finance staff.

Part 2: Key Responsibilities:

Finance Management:

• Supervise the country's standard financial systems establishment and maintenance in line with STREET-CHILD Financial Policy and Procedures, donor and local legislation requirements to provide appropriate levels of security and controls over the organization's resources and operations across the country to ensure success, consistency, and compliance.
• Develop and update quarterly the country's Master Budget to ensure that all funding gaps are covered.
• Provide strong leadership to the Finance and Admin team in all offices, whether with direct line management or technical, ensuring competent and motivated staff are hired and retained.
• Provide financial advice to the budget holders and local partners, ensure adequate support is provided to the program, and ensure the alignment of resource allocations with organizational priorities at the budgeting and implementation stages.
• Ensure that monthly accounting closure is timely, accurate, and compliant with STREET-CHILD financial policies and procedures for all Street-Child field offices and perform the bank reconciliation as appropriate.
• Using the Street-Child accounting system, produce the Budget Vs.—actuals for internal use by the country team and budget holders on a monthly basis.
• Oversee all financial and logistical requests made by the technical team and ensure they are in line with the Street-Child guidelines (Advance request, travel request, leave request, Toil request).
• Lead on applying Street-Child anti-fraud and anti-corruption policy and ensure all DRC staff understand and adhere to it, including Zero tolerance.
• Ensure regular financial and operational checks are performed for each local partner involved in Street-Child project implementation.
• Elaborate, review, and update Finance Standard Operating Procedures for STREET-CHILD DRC and across the Central and Great Lakes region as required and relevant.
• Conduct spot checks on transactions be responsible for maintaining transparency and accountability within finance and administration.
• Build financial management capacity for local partners in the region.

Grant Management and Budget proposal:

• Collaborating with other managers during proposal development, lead on the costing in proposal writing.
• Produce grant financial reports for donors in their formats.
• With the Senior Programme Manager, co-lead monthly grants review meetings involving all active partners.
• Manage the budget review, cost extension, realignment, and alert on any potential risk.
• Ensure appropriate measures are taken to address audit findings and recommendations associated with all grants.
• Conduct grant management training for local partners and provide orientation on finance matters and tools to non-finance staff.

Operations Oversight:

• Lead all aspects of HR, administration, procurement and logistics in the region
• Adequately manage internal and external HR and admin risks, highlight & resolve relevant issues with national institutions with support from the country leadership team (Taxes, labour inspection).
• Maintain daily responsibility for local staff issues, i.e., contracts, payroll, job descriptions, salary scales, leave, and benefit in support of the HR and Admin Assistant.
• Facilitate frequent staff meetings, and update the staff on the new Street-Child guidelines, regulations, etc.
• Lead the outsourcing of some services such as staff medical insurance, legal issues and the adherence to national labour laws, taxation systems and rules, social security, and insurance rules, etc.
• Lead in running procurement, ensuring value for money and overseeing all contracts which are placed with suppliers
• Ensure that all necessary agreements, permits, and licenses for Street-Child operations in DRC are in place, and keep updated on national rules and regulations pertaining to Street-Child activities.
• Lead staff adherence to all processes and ensure strict and contextualized application across the DRC program.
• Ensure proper asset management by initiating tools and control systems, including tagging.

Part 3: Person Specification

Attributes Essential Desirable

Education / Qualifications:

• Educated to degree level or higher.
• Recognised Accountancy Qualification.
• Degree in International Business Administration, finance or related field; or attendance at specific relevant training courses.

Experience and Knowledge:

• 6 years post qualification experience.
• Experience of implementing internal controls and finance procedures.
• Experience of managing multi donor grants and good knowledge of donor compliance rules and requirements – in particular working with ECHO, BHA, EU, SIDA, NMFA, FCDO, USAID, UNICEF, ECW, WFP, etc.
• Knowledge of development issues and concepts.

Skills and Abilities:

• Extensive knowledge of finance & logistics policy within non-governmental organizations.
• Knowledge of computer applications and accounting software’s.
• Excellent relationship building skills, with an ability to skilfully navigate both national and international stakeholders.
• Knowledge of French, Swahili or other relevant local languages.

Other:

• Strong interpersonal, management and team work skills.
• Ability to influence change in teams not directly managed.
• A self-starter, capable of working independently and flexibly to a high level.

Are you an experienced and enthusiastic Safeguarding professional with a strong interest in protecting adults at risk and children from within the wider Multiple Sclerosis (MS) Community?

Based within our Helpline Services team, you’ll have responsibility for:

• responding to concerns reported by staff and volunteers
• leading the coordination of responding to safeguarding concerns
• dealing with safeguarding issues (as they arise) and liaising with statutory services as needed
• giving advice and support to colleagues and our volunteers in relation to safeguarding and disclosure checking
• working collaboratively with colleagues across the MS Society
• liaising with external safeguarding agencies
• embedding organisational safeguarding policies, procedures and practices.

You’ll have experience of working in a safeguarding customer-facing environment within the Charity or Public Service sectors. You’ll have proficient administrative and IT skills with the ability to work accurately and consistently. You’ll ideally have had experience in supporting vulnerable people in person, over the phone and/or online. 

An understanding of safeguarding within the charity or public service sectors is essential. 

A satisfactory Enhanced Disclosure & Barring Service (DBS) Check without barring list check will need to be obtained to undertake this role.

Universify Education is looking for an organised and adaptable Programme Manager. This is a great opportunity for someone experienced in project management and working with young people to expand the charity’s programmes and work in a small charity.

Job Summary

• Contract type: Permanent, full-time.
• Start date: May/June 2024 or as soon as possible
• Salary: £27,000-30,000 based on experience
• Location: Hybrid working with office space in Oxford and London. Willing to travel to Oxford 1-2 times a week, and, during course delivery for 2 months a year, be resident in Oxford (preference for an Oxford-based candidate). There may also be some ad hoc travel to other areas of the UK. This is not expected to be more than once a month.

The Charity

Universify exists to create a fairer, more equal society where every young person can fulfil their potential regardless of their background. We equip young people from low socio-economic and underrepresented backgrounds with the skills, knowledge, and belief to fulfil their potential through education.

We work with Year 10-11 students (aged 14-16) to increase their aspirations, improve GCSE attainment and to gain a greater understanding of post-18 pathways, particularly university, to make a more informed decision about their future. We run a year-long programme, starting with a week-long summer residential at partner universities, monthly coaching sessions with Universify coaches and a 3-day GCSE-focused revision residential at Spring.

ABOUT THE ROLE

As the Programme Manager, you will manage the Programme Team to deliver the charity’s annual residential and coaching programme and impact reporting. You will act as the primary relationship holder for all existing major programme partners, including universities and other third sector organisations. During programme delivery, you will be a part of the team’s Safeguarding Leads and work with the Programme Team to ensure the safety and care of our participants.

You will report to the CEO and work with them to build relationships with new partners, and develop the charity’s ability to expand the programme by considering its impact data, needs of partners and stakeholders, and any changes to its programme model. You will also maintain the charity’s CRM and improve programme efficiency. As the Programme Manager, you will be involved in events, fundraising activities and publicity, including supporting the Comms officer.

Main Duties

• Oversee programme delivery, including line managing the Programme Team (3 staff)
• Manage existing programme partnerships (universities, third sector organisations) and build new relationships alongside the CEO
• Manage and deliver external programmes including the Royal National Children’s Springboard Foundation partnership programme
• Project manage impact reporting, defining data requirements, overseeing data collection and analysis, and writing the impact report
• Work with the Communications Officer and CEO to enhance the charity’s publicity including social media, in-person events, and publicity campaigns
• Provide expertise as a Level 3 safeguarding lead as part of the safeguarding team
• Maintain the charity CRM (Salesforce) and coordinate with developers to update the CRM

What we're looking for

We are looking for someone who has the following skills and characteristics

• Excellent line management and team management skills 

• Ability to create and maintain relationships with a range of external stakeholders

• Good working knowledge of recruitment processes, especially within the voluntary sector

• Excellent at coordinating a range of projects simultaneously; organised, adaptable, prioritises well and has good attention to detail

• Excellent written and verbal communication skills to cover a range of audiences and purposes (including impact reporting, written and verbal communication with schools, students, parents; PR; training)

• Some data analysis skills and an understanding of charity impact reporting, or a willingness to learn about impact reporting

• Works well in a small team and is interested in working in a small organisation

Required experience

We are looking for candidates with the following experience

• At least 2 years’ experience of working with young people, particularly vulnerable groups, including delivering programmes
• At least 2 years of project management experience
• At least 1 year’s experience of team management and line management
• Experience of managing and recruiting a range of stakeholders involved in programme delivery, particularly schools and volunteers
• Secure knowledge and experience of child safeguarding policy and practice. Level 3 Safeguarding Lead qualification or a willingness to obtain this as part of the role

Ideally, candidates would have experience in a few of the following areas:

• Experience managing residential programmes or large-scale events. Experience of designing educational programmes
• Experience working with schools and universities
• Coaching expertise and ability to train coaches
• Knowledge of recruitment strategies, especially in the voluntary sector
• Experience expanding programmes and identifying new opportunities to expand programmes
• Impact report writing and data analysis expertise

We are seeking an experienced IT professional to join the charity.  This is a newly created position reporting to the Head of IT.  The aim of this role is to encompass the charity’s Helpdesk (1^st through 3^rd line support) and IT Technician responsibilities to include new builds and repairs, network and server maintenance, telecoms improvements as well as project support. This role is based at our head office in Snetterton, Norfolk and will support all our sites across the UK as well as end users abroad. Occasional travel to our four UK sites will be required.

The role is offered as a contract until March 2025 on a hybrid basis and you will be assigned to one of our offices in either Launceston, Bristol, London or Manchester. There is a requirement to attend your assigned office twice a week alongside a monthly face to face meeting every 2 months. Additional travel will also be required as part of grant project management and Partnership engagement. The role is offered as a 9 day fortnight and has a great deal of flexibility with core hours 9 – 3.30pm.

The Youth Investment Fund (YIF) is part of our eco-system and is a £368 million fund created by the UK government to create, expand and improve youth facilities and services in England to drive positive outcomes for young people. The Youth Investment Fund (YIF) is being delivered by a partnership between Social Investment Business, The Key Fund, National Youth Agency and Resonance.

Together, we are delivering grants for up to 300 facilities in selected eligible areas across England by 2025 that represent positive value for money, are environmentally sustainable and enable positive activities for young people aged 11–18 (up to 25 for young people with SEND). This funding will drive value-for-money facilities that youth organisations can then afford to sustain. Using innovative construction techniques, as well as supporting redevelopment projects that expand youth service provision, the Youth Investment Fund will achieve savings on facility running costs, so that resources can focus on activities that enrich young people’s lives. It will support projects to level up youth provision, assessing and distributing grants so that local youth facilities and services can be the best they can be.

Reporting to the Senior Relationship Manager (Youth Investment Fund) and supporting the other Relationship Managers, this role plays an important part in the provision of capital grants to our charity customers working in the youth sector as part of the Youth Investment Fund (YIF). You will take responsibility for ensuring key data points are kept up to date on our Salesforce database and working with grantees to ensure that they log key project updates (e.g. project forecasts, planned transactions, construction status, start and end dates). Furthermore, you will support the collection, review and report on monitoring information from grant recipients which is predominantly financial information (management accounts, annual accounts and forecasts) and construction progress reports. There will be the opportunity to manage a small portfolio of your own capital grant investments. Key to success in this role will be adopting Resonance’s continuous improvement and learning ethos.

The right candidate will be a strong team player with previous experience of grants administration, particularly in the context of government funding programmes and/or experience of capital funding. This is a great opportunity for someone to be involved in making a difference to young people.  You will be proactive and can work well both autonomously and as part of a team and you should be flexible, adaptable and able to manage competing priorities. The Relationship Assistant will hold a track record of managing and working with a portfolio of organisations and thrive in using databases and interpreting and understanding data in a range of formats. The Grants Officer will create a positive impact on Muslim communities living in the UK by supporting the distribution of grant funding delivery. There will also be work around creating partnerships with other funders, representing AWN at events and conferences and ensuring market intelligence is shared with the wider team to constantly improve the support they offer to grantees.

The role

Children's Hospices Across Scotland is seeking a dedicated and experienced Estates and Operations Manager to ensure the smooth functioning of our properties and facilities across the organisation. In this critical role, you will oversee a dedicated internal team and external contractors, while ensuring compliance with statutory, legislative and Health and Safety requirements. You will lead a team, coordinating all hard facilities management services, day to day property management, implementing planned and preventative maintenance strategies and maintaining high industry standards for CHAS facilities. You will procure and lead on small projects working closely with our internal teams. Additionally, you will work closely with clinical and non-clinical staff in our hospices to meet the ongoing needs of children, families, staff, volunteers and visitors.

Key Responsibilities

• Develop and maintain a robust planned and preventative maintenance programme to ensure the safety, operation and compliance of the CHAS estate.
• Manage reactive maintenance activities, effectively prioritising requests and allocating resources.
• Oversee the development and delivery of the Asset Management plan and works programme, including condition surveys, informing budgeting and financial planning processes.
• Plan and execute capital works projects, from tendering to commissioning and overseeing project teams.
• Specify, tender, negotiate, and manage Estate, Hard FM contracts and services.

Requirements

• Degree/HNC/HND in a Property or Building Services discipline or five years' relevant experience in a similar role.
• Possess IOSH Managing Safely Qualification.
• Proactive with a positive attitude and excellent planning and prioritisation skills.
• Highly developed communication and collaboration skills with the ability to simplify technical information.
• Excellent analytical and problem-solving abilities, including the ability to make decisions under pressure.
• Knowledgeable in Microsoft Office (Word, Excel, Outlook).
• Wide and detailed knowledge of Hard FM Services, including electrical and mechanical systems.
• Experience in managing multi-site estates with both owned and leased premises.

CHAS support families across the whole of Scotland. Our Head Office is based in Edinburgh, and we have two hospices: Rachel House in Kinross and Robin House in Balloch. We also have our fundraising office in Glasgow, dedicated bases in Aberdeen and Inverness, and Shops in Dunfermline and Kinross.

As this role will closely support our hospices, we would like to speak to candidates who could base themselves from either Edinburgh, Kinross or Balloch and we do expect regular travel across these sites with predicted 3 days onsite/week, varying as needed.
