Events Administrator

We are seeking an organised, dynamic, and flexible administrator to support our extensive events calendar. This includes large assemblies, forums, and training sessions. The post-holder will maintain accurate attendance records on the database and maintain membership details. They will collaborate closely with staff across teams to ensure that all aspects of organising events are covered from the planning to evaluation stage.

The successful candidate will be very IT savvy with high levels of literacy. They will have solid experience of providing effective administrative support to a range of people and functions within an organisation, as well as experience of planning and administering a range of training activities and network meetings. Our staff are expected to have a positive influence on culture and values within the organisation and reflect those positive values externally with stakeholders.

About the role

The Events Officer plays a key role in our highly effective communications team, leading on the delivery of an impactful programme of events – both online and in person. The role works with teams from across the organisation to plan, deliver and promote all types of events, including workshops, roundtables, conferences, webinars, receptions and other types of online and in person events.

Events are an important way for Ageing Better to influence priority audiences, including businesses and local and national government, and the postholder will advise teams on how events can best reach these audiences, encourage engagement and lead to lasting relationships.

This role sits within the Communications team, and the postholder will be responsible for drafting comms content, such as blogs and social media posts, particularly in relation to event promotion.

About you

You are highly organised, with excellent prioritisation and project management skills, enabling you to juggle multiple projects simultaneously. You have good attention to detail and enjoy planning, solving logistical problems and delivering events to a tight budget.

You are a good communicator and are comfortable working in close partnership with colleagues and dealing with a wide range of people.

You will have experience of organising events, including technical experience of managing online events and streaming.

The senior member of staff is responsible for ensuring the decisions of the Board are acted upon and the charity meets the legal and regulatory requirements of a CIO. The key focus will be on development of new income streams as we navigate challegnes across the site. The General Manager will oversee the implementation of the new Buisness Development Plan. · To coordinate the booking and scheduling of events in the Arboretum’s diary and working closely with internal departments and the Events Manager to communicate event plans and ensure minimum impact on the operation of the Arboretum

· To work with the events team to produce event plans, event briefing notes, and regularly sending scheduling updates to other departments 

· To manage and carry out detailed evaluations on events and functions with recommendations using data for future planning

· To organise internal and external meetings when required, writing agendas, and taking minutes; plus circulating feedback forms

Please note that this role will be based onsite at the National Memorial Arboretum - Burton-on-Trent DE13 7AR. The post will be working a 35 hour week, on a 5 days out of 7 basis.

ABOUT BLACK ROOTZ

Black Rootz is a multigenerational growing project providing opportunities for Black and racially minoritised people to grow food for themselves, their families and their communities. Black Rootz was established in 2019 by a collective of Black growers in Haringey who recognised the need to organise to challenge the deep inequalities in the growing and food systems. Over the past 5 years, Black Rootz has developed a holistic practice for Black and racially minoritised communities incorporating intergenerational knowledge transfer, increased access to land and food sovereignty, regenerative environmental practices and reduced food inequality.

Black Rootz has been incubated as a project within The Ubele Initiative since 2019. As an established name in the growing community, it is now building towards an independent future.

ABOUT THE ROLE

The Project Manager is a new role that will provide hands on management capacity to Black Rootz. The role will bring experience and energy to support the delivery and continued development of the project’s core activities; the Community Growing Programme and a new workshop series. The Project Manager will take on a management position and, with support from Ubele, help the project to navigate decisions that will enable Black Rootz to achieve its overall social, environmental, and operational ambitions. 

The successful candidate will be central in Black Rootz’ journey towards a more independent and sustainable future. Hackney Foodbank is looking for a Volunteer Manager to join their team 2 days per week (14 hours).

Purpose and Key Responsibilities:

The Volunteer Manager role is responsible for recruiting, engaging and deploying volunteers into a wide variety of roles across the charity.

• Work with the Warehouse Manager and Food Distribution teams to support the recruitment journey and retention of volunteers. Encourage people to volunteer through a variety of marketing and promotion approaches, including social media and working with our Communications and Fundraising team to develop a strategy for volunteers. Develop, coordinate, and engage a network of around 150 active volunteers. Book and signpost volunteers to relevant and engaging volunteer training sessions. Work with the Warehouse Manager and Head of Food Distribution and Volunteering to resolve any volunteering related issues or complaints. Proactively liaise with the staff team to determine volunteer requirements, select volunteers for the right roles and match them to the right people, considering preferences and restrictions on both sides. Provide advice and guidance to volunteers about their matched relationship (with support from the wider team) and highlight safeguarding concerns as appropriate. Work effectively to ensure volunteers feel part of Hackney Foodbank. Support the ongoing monitoring and evaluation of our services.
• Gathering volunteer feedback and take appropriate steps for improvement.
• Manage the Assemble platform and implement the annual Peakon volunteer survey, and implement the recommendations resulting from the survey.
• Ensure the wellbeing of the volunteers, including good communication and arranging a minimum of two volunteer events a year.

• Handles ad-hoc collections and distributions outside the normal morning shifts (where no volunteers available)

This Senior Project Officer role sits in our Innovation and Practice Function. Our team’s daily work includes setting up, managing, designing, delivering and reporting on a wide range of participatory and deliberative processes, ranging from small scale, hyper-local community engagements to large, national, multi-event Citizens’ Assemblies and longer term projects. We are looking for an excellent project manager, able to manage fairly large projects and task manage others at all levels to ensure smooth delivery. You will be great at managing relationships at all levels and working with others to get things done. Given the nature of our work we are also looking for public participation skills, or relevant or transferable expertise and an understanding of deliberative practice. That will enable you to design and deliver project management, and support facilitation that fits our work and enables you to contribute to advising our clients on designing and delivering effective engagement. Ideally you will also have:
