BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

Main purpose of the role

We have a dynamic Fundraising team and over the last three years we have seen an incredible growth across established income streams and creation of new exciting income streams. To meet this ambition, we are looking to recruit a talented and experienced fundraiser as our Corporate Partnerships Officer who is able to jump straight in to help deliver our Corporate Fundraising strategy.

We are looking for an ambitious Corporate Partnerships Officer that wants to maximise fundraising opportunities with existing partners through excellent account management and also enjoys new business and converting leads to new partnerships. This role will be split with 60% of your time allocated to Account Management and 40% to New Business.  

To be successful in this role, you will have knowledge and experience of managing and growing fundraising partnerships, as well as experience of working with a broad range of internal and external stakeholders. JOB RESPONSIBILITIES

Account Management

• Manage a diverse portfolio of corporate partnerships including strategic partnerships, commercial partnerships, charity of the year and corporate donations, and support Corporate Partnership Managers with responsibilities relating to larger partnerships.
• Deliver excellent partnership management including developing a partnership plan, meeting with stakeholders, delivery of partner benefits and account stewardship.
• Develop and deliver timely, relevant and engaging impact reporting.
• Develop new and grow existing corporate partnerships, drafting and negotiating partnership agreements, for the best outcomes across FareShare’s work and maximising the income potential.
• Maintain robust account growth plans, update pipelines and stakeholder mapping for your partners.
• Produce high quality communications, reports, propositions and pitches for partnerships - delivering excellent account management through the highest levels of supporter centred stewardship.

New Business

• Proactively approaching corporate opportunities following our new business strategy, writing funding proposals and approaching community groups for new partnerships
• Responding to volunteer enquiries from companies who want to work with FareShare and converting enquiries to new business leads when viable
• Contribute to the fundraising team new business pipeline
• Maintaining accurate cultivation plans and reporting for new business approaches
• Working with the FareShare food, volunteering and marketing teams to identify new fundraising opportunities 

Communication and Administration

• Develop PR and communication plans for corporate partners, working in collaboration with the Marketing & Communications team.
• Manage the general administration and accurate data management for your partners.
• Support annual budgeting and planning in line with the fundraising team’s strategic objectives. Report on any variances of income against budget and undertake contingency planning to minimise risk.
• Where necessary, work with the wider teams at FareShare and with our regional centre partners to deliver greater partner impact.
• Contribute to the wider success of the fundraising team through supporting colleagues, celebrating successes and sharing learnings.
• Efficient and effective management of income ensuring compliance with GDPR, charity regulation and FareShare’s own Ethical Gift Policy

We are looking for a motivated, creative, and organised Engagement and Communications Officer to join our team. This role is a unique opportunity for someone with a passion for building a fairer legal system through impactful events, engaging member outreach, and powerful communications. Working alongside the Director of Development and the Head of Communications, this role will work across teams to maintain and strengthen engagement through events, communications and corporate outreach. You will play an integral role in communicating our work as widely as possible and improving and increasing engagement with our supporters, including our members, donors and corporate partners.

The Engagement and Communications Officer will work to maximise income and support for JUSTICE through events (approximately 45% of the role), communications (approximately 30% of the role) and membership (approximately 25% of the role). They will report to the Director of Development and Head of Communications.

We want someone who can learn and grow in this role so if you don’t have every skill listed but are organised, motivated, and interested in our work then we want to hear from you.

The JUSTICE team currently work in a hybrid manner. Staff members have access to office space in London, however, attendance is currently optional. Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Director will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

• Excellent business planning and decision skills, and a sound understanding of operational and financial management in charities.

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

This role will be responsible for managing and delivering a strong and effective Accounts Payable function as well as driving efficiency improvements and ensuring payments are made consistently on time.

There is line management involved in this role, managing 5 individuals including AP Clerks and Central Finance Officers.

Key responsibilities include:

- Ensure an efficient end to end Payables processes

- Ensuring that the creditors control accounts and purchase ledger are operated accurately, efficiently and to           agreed timescales

About You:

The Client Services team is looking for an account executive to build and manage relationships with clients and help them to deliver exceptional supporter-led fundraising. You will be an experienced account executive or account manager working with outsourced business processes for a minimum of 2 years.

You will need to have strong organisation and communication skills, experience of managing workflows, and a high level of emotional intelligence. You’ll also need an eye for detail; be able to meet deadlines; have excellent written skills; and be a great communicator and able to form relationships with staff and clients. It’ll help if you’re technically savvy and able to keep on top of our clients’ needs.

The Client Services team is looking for an account executive to build and manage relationships with clients and help them to deliver exceptional supporter-led fundraising.

Main responsibilities:

• Develop strong relationships with clients and proactively keep in regular contact, particularly by phone and in person

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

Medical Aid for Palestinians (MAP) is a leading UK charity dedicated to improving the health and dignity of Palestinians affected by conflict, occupation, and displacement. With a focus on the occupied Palestinian territory and Palestinian refugee camps in Lebanon, we provide vital health and medical care to those in need, particularly in crisis zones like Gaza. Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings.

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose. 

• Help to ensure value for money and the effective use of funds across the organisation. 

Compliance & Regulatory Reporting 

• Manage the ongoing relationships with the external auditors. 

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board. 

• Monitor institutional income and related contracts and ensure that all restricted income, including Zakat, is properly accounted for.

• Manage the ongoing relationships with MAP’s banks in the UK.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM.

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.
