About you

- Be the first point of contact for visitors to our office, and administer the hello@ email.
- Provide administrative support to the Chief Executive
- Administer day-to-day financial processes and the accounts@ email, helping staff with their finance queries.
- Take minutes during key strategic meetings
- Provide administrative support in office operations
- Meet and greet visitors for business meetings, prepare meeting

Overview / purpose of the role
We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.
The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities
Finance
● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required
● Processing and coding invoices in Xero accounting software ahead of weekly payment runs
● Checking that correct coding and approval procedures are followed for staff expenses in Soldo
● Conducting weekly payment runs via our online banking system
● Coordinating our monthly payroll processes (working with external providers)
● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals
● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors
● Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets
● Provide training on expense and invoicing processes to new members of staff and generally acting as the first point of contact for all staff on any finance procedure questions (full training will be provided)

Office Management & General Operational Support
● Acting as the key point of contact between CGP & our coworking office space (organising memberships, meeting room bookings, invoices, printing credits, equipment, internal events etc.)

● Maintain/organise our filing and cloud storage systems logically and efficiently, in a data protection compliant manner.

Human Resources
● Support with recruitment processes within CGP, including assisting members of the team to schedule and coordinate job interviews, contact candidates and file incoming applications.

The right candidate is less likely to be defined by their qualifications and prior experience, but will be someone who meets the below criteria, and is ready to learn. Prospectus is delighted to be partnering with the Fundraising Regulator for the recruitment of a Business and Registration Assistant on a full-time permanent basis. The role is offered on hybrid basis with two days in the London office.
The Fundraising Regulator is an independent, non-statutory body that regulates fundraising across the charitable sector in England, Wales, and Northern Ireland.

The Business and Registration Assistant is a crucial position that works closely with the Finance team and other colleagues to onboard and renew charity registrations. The role involves processing online applications, collecting the fundraising levy, handling customer enquiries, and ensuring that charities meet registration requirements and standards. The position offers an exciting opportunity for individuals with strong processing skills and empathy to make a meaningful contribution to a dynamic service. It will involve processing new applications, managing emails, updating contact details, handling telephone queries, and issuing invoices for the annual levy collection. They will also assess financial accounts to determine appropriate registration fee levels and contribute to the continual improvement of the registration process. Other duties may be required as directed to support the team's objectives.
The successful candidate will require relevant experience in business administration and/or finance or registration teams. They will be IT literate and hold strong communication, organisation, and prioritisation skills. Experience in liaising with stakeholders and providing strong customer service is also crucial for the role. Desirable attributes include familiarity with CRM systems, registration schemes, and basic accounting knowledge. The selection process will assess these skills and experiences at different stages.

You will join our small Operations team who manage our finances, governance and people operations. We oversee policies, processes and systems so that it is easy and enjoyable for people to do their best work. That means making sure everyone has what they need to do their jobs. You will manage queries, provide basic IT and financial support, support recruitment and make sure people have a good experience whether they are starting or leaving us. You’ll keep the office running smoothly and make sure we have up to date documentation.

Manage incoming internal and external queries via post, the admin and team email addresses, the operations Slack channel, main phone line and any operational queries (via Freshdesk)

Manage any necessary purchasing to ensure the team have what they need to work effectively

Support the Fundraising team with correspondence to donors and mail campaigns

Provide basic IT support to the team by monitoring the IT Support Slack channel, ordering equipment, providing instructions for how to use Google Workspace, Trello and Slack, and equipment such as laptops and cameras used in hybrid meetings

Support the Senior Operations Manager with bookkeeping to enable the SOM / accountants to produce timely and accurate management accounts

Support the People Operations Manager with recruitment by posting job adverts on our website and third party channels, managing communication with candidates and setting up new team members with everything they need to get started at Full Fact

Manage the tasks involved with people leaving the organisation.

Support the Senior Operations Manager with coordination and minute taking of Board, Committee and Management Team meetings

Ensure a well run office by managing supplies and liaising with the facilities team (e.g. delivery of water bottles, ensuring facilities are working, setting up the office for team events)

Keep registers up to date (e.g. fixed assets, abuse register, software register)

Support the team with travel arrangements

Support the People Operations Manager with coordinating training and development initiatives

How the application process will work

The interview panel will be Charlotte Ross (Senior Operations Manager), Laura Dewis (COO) and Sophie Hale (People Operations Manager).
The process starts off with an anonymised covering letter and CV. This will be read by at least two people to produce a shortlist for interview.
The first round interviews will be a phone (not video) interview, lasting no more than half an hour, at a time that’s convenient for you. We will record it so at least two people can review each interview to decide who we invite back for the second round. The recordings will be deleted at the end of the process.
The second round will include a structured interview and a timed task which assumes no prior knowledge. The task can be completed prior to the interview, at a time that most suits you.

The Role
This role will ensure the organisation is following robust financial systems and processes; carry out all day-to-day accounting tasks; and ensure timely production of financial information to inform management decisions. Most tasks can be done from home, however some tasks such as banking and petty cash reconciliation will require you to attend our offices. Once the initial training is complete you will be able to arrange your own hours, to be worked Monday to Friday.
This role is for a fixed period of 12 months, to cover maternity leave.
About You
A proven track record of relevant financial administration experience is essential and competence in the use of Xero accounting software, Excel and other MS packages such as word and Outlook is essential. You will have an organised approach to workload and ability to prioritise tasks and meet deadlines, be flexible and adapt to the requirements of the role. You must be able to clearly convey financial information to non-finance colleagues.
This role would suit someone looking to increase their experience of working within the charity sector as part of a busy and friendly finance team, perhaps whilst studying to complete AAT Level 4 or similar.
