Main Duties

Role Description
The Peter Sowerby Foundation is a significant, charitable grant-maker, supporting work in the fields of health, education and community, the arts and the environment.
Registered with the Charity Commission in 2011, the Foundation aims to fulfil the charitable aims of its late settlor, Dr Peter Sowerby, who was a retired GP from rural North Yorkshire and founding partner in Egton Medical Information Systems (EMIS), which now provides database and records management software for over 10,000 healthcare organisations in the UK.
The Foundation is currently managed by a board of four Trustees. These include David Aspinall, Chair of Trustees; Dr David Stables, Peter Sowerby’s former GP partner and an expert in management information systems; Sara Siegel Poulios, lead partner in Deloitte’s Healthcare Strategy who has been seconded to senior positions in the Department of Health and NHS, and Dr Carole Longson, Chief Scientific Officer at the Association of the British Pharmaceutical Industry (ABPI).
Since it was established in 2013, the Foundation has awarded hundreds of grants. Some of these have been small grants to local, grass-roots organisations, whilst others have been to large, well-established charities and educational institutions. In total, the Foundation has awarded c. £15 million in grants since inception.
The Foundation currently receives grant solicitation and directorial support, under contract, from Cause4 and an outsourced finance function provided by FLB Accountants.
The Foundation is currently seeking a new Administrator to the Board.
The Administrator will provide an efficient support and administrative service to the Board (especially the Chair) by providing co-ordination for grant execution, board administration and governance compliance.
Other duties will include supporting administrative duties as required by the Trustees and their advisers.
Specific Responsibilities:
Governance
· Supporting the Chair and trustees in ensuring that the charity law and regulatory requirements of reporting and public accountability are complied with.
· Ensuring that the Foundation’s internal governance policies are comprehensive and regularly reviewed in accordance with Charity Commission guidelines.
Administration
· Coordinating Board meetings.
· Liaising with the Chair/Grant Manager to plan, arrange agendas and support the development of papers for trustee meetings, along with the preparation of the subsequent minutes.
· Providing secretarial support to the Chair and trustees – for example, note taking at meetings or arranging additional meetings and visits to grantees.
· Providing the Foundation’s advisors with administrative support as required, for example, related to grant calls generating large numbers of applications.
· Supporting the sourcing of other external contractors – for example, expert evaluators.
· Providing systems support to Trustees and Advisers (remote systems) and liaising with external IT consultants to ensure the good maintenance and operation of the IT network and website.
· Supporting the development of the Foundation’s external communications – for example, implementing agreed changes to the Foundation’s website.
· Undertaking other administrative duties as required.
Financial support
· Liaising with accountants and auditors, especially in the preparation of annual statutory accounts.
· Supporting the Chair in ensuring that grant payments/invoices are paid.
· Supporting the Chair in liaising with outsourced banking and investment management functions.
Person Specification

The position:
The primary focus of the position is to support the operational side of the organisation and the Managing Director. You’ll need to be good at multitasking and highly collaborative.

Hours:
This is a part time position of 28 hours per week over 5 days (or some of these days) with the working pattern to be agreed with the successful candidate.
From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing.
During the four day week pilot, working hours for this position will be reduced proportionately to 22.5 hours per week, spanning Monday to Thursday (or some of these days), with no reduction in salary. This will be a temporary change to the contractual terms with the successful candidate. The appointed person must be prepared to increase their working hours to 28 hours per week if a return to a five-day working week is decided.

Joining our Information & Support Team on a part-time basis, you'll provide crucial assistance to those in need during challenging times. You'll provide personalised support by offering a compassionate ear, sharing relevant information, and directing individuals to the resources they need.
Our Support Line Officers may not be counsellors or medically trained, but they are dedicated to delivering a professional service and providing reassurance during difficult times. Whilst this role can at times, be challenging due to the nature of the calls, the fulfilment that comes from making a positive impact on someone's life makes this role incredibly rewarding.
In this role, you will:
- Respond to a variety of enquiries from individuals affected by terminal illness, as well as their families, friends, or professionals. These inquiries may range from practical matters concerning finances or legal arrangements to accessing Marie Curie services, as well as emotional concerns such as grief and loss.
- Utilise the resources available through the Marie Curie Information and Support Service, along with other trusted sources primarily online, you will address inquiries, gather information, and direct individuals to the support they require. This may involve communication via phone, web chat, and other channels, as well as moderating our online community and undertaking additional project work to enhance our service.
- Apply relevant safeguarding procedures when required, to ensure the safety and wellbeing of the individuals contacting the helpline.
- Accurately record information into the database, ensuring data quality and date protection guidelines.

- This role can be challenging at times, if you are patient, resilient and a great listener, you will excel in this role.
- Whilst this role will see you spend a considerable amount of time on the phone, there is also an administrative element, so a background in office administration would certainly be beneficial.
- Ideally you will come from a charity, health or social care background or have demonstrable customer service experience from another industry (such as a contact centre)
- Experience in a customer care / helpline or telephone support role is beneficial.

MAIN PURPOSE OF POST
Iswe is a social impact foundation dedicated to finding ways to put people at the heart of social and political decision-making to solve some of society’s greatest challenges, with a particular focus on the climate crisis.
We are looking for a Fundraising Officer to play a pivotal role in securing the financial resources needed to support our innovative work in making political systems fit for the future. The Fundraising Officer will nurture relationships with existing and prospective donors, particularly to increase donations from trusts and foundations.
This role primarily involves supporting Iswe’s leadership with key fundraising reporting and administration and secondarily with communicating with existing and prospective donors. The ideal candidate will have both skill sets and be eager to further develop their skills and experience with a rapidly growing and global organisation.
DUTIES AND KEY RESPONSIBILITIES
Fundraising

Support the implementation of a trusts and foundations programme, with a view to increasing funding for flagship projects alongside core unrestricted funding.

Manage the reporting and administration of existing grants, advising relevant members of the team well in advance of reporting deadlines.

Assist with the organisation of fundraising events as required.
Information Management, monitoring and evaluation

The post holder will ensure appropriate means of monitoring and evaluation are established in order to feed into the fundraising team’s KPI’s.

Use the fundraising database to analyse the success rates to support the fundraising strategy.

Keep-up-to-date with new fundraising opportunities.

Take responsibility for ensuring that up-to-date records of all contacts are maintained on the fundraising database.

Work with the Finance team to ensure that all donations are quickly and correctly processed and acknowledged and that financial reports are available in the appropriate format.
Contact and liaison

Act as the primary point of contact (via email and telephone) for all existing and potential funders, directing enquiries as appropriate.

Work closely with key internal stakeholders, both to understand and be able to package up their work into clear compelling content for all proposal, reporting and stewardship documents.

Manage relationships with external suppliers, including seeking quotes for printing of our publication materials, liaising around print deadlines etc.
Other

Manage the relevant administration that accompanies this role, including booking meetings and taking minutes.

ESSENTIAL SKILLS/EXPERIENCE

1. Job Scope and Role Profile
The Chief Operating Officer is accountable to the Archdiocesan trustees for the management and delivery of a range of professional services provided by the Archdiocesan Curia for the 110 parishes of the Archdiocese. These services encompass Finance, Property, (including Mount Vernon Cemetery), Safeguarding, Health and Safety, GDPR, Education, Chancery and Communications.
The Curia also provides professional advice to enable parish clergy to perform key administrational tasks (e.g. Annual Finance Audit, preparation of budgets, property management and sales), and to ensure that effective governance, management and administrative arrangements are in place to support the work of the clergy.
The postholder works with, and supports, the Archdiocesan trustees in providing vision, leadership and direction for Archdiocesan Curia, and acts as a link and communication channel between the Curia, its staff, senior clergy and the Archdiocesan trustees. The postholder also offers effective management and co-ordination of all services offered by the Curia in accordance with the strategic objectives of Archdiocese.
The role involves ensuring that, as a Charitable Organisation, the Archdiocese has effective governance arrangements that meet all legal and compliance requirements.
The COO’s line manager is the Moderator of the Curia.
Given the diverse range of services provided, ensuring effective co-ordination and productive team-working through positive and pro-active leadership is an essential aspect of the role.
2. Main Duties and Responsibilities
Strategic Leadership and Direction
· Co-ordination and line management of staff to support the strategic aims of the Archdiocese.

The purpose of the Programme Officer role is to support the successful delivery of the In2STEM Programme.
