Our Direct Marketing Team is part of this department, and recruits and develops supporters. We are seeking a Direct Marketing Officer to join this team to manage and deliver a series of high standard direct marketing campaigns across our Regular Giving programme. This individual will be recruiting, retaining and upgrading regular donors to generate income through a variety of direct marketing methods such as direct dialogue, DRTV, digital, and direct mail. They will be encouraging regular monthly gifts or support via one of our main products such as general Regular Giving and Sponsorship, our Lottery, Value Exchange programme and other methods of committed giving as they arise.

The role
We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. As a Logistics Officer you will play an integral role in IHP’s work arranging the shipping of donated medicines and medical supplies, for example our essential health packs and antibiotics, ensuring their secure transportation to diaster hit and vulnerable communities such as Sudan and Gaza.

The purpose of this role is to provide efficient and comprehensive administrative support to the joint directors of development and engagement (D&E), and director of policy and strategy (P&S). The NI is looking for its next Events Officer to oversee the setting up and online booking of a range of events – mainly conferences and dinners – as well as overseeing the subscriptions to its Journal. The role is a busy one and the person recruited with require good experience with events booking CRMs as well as working with volunteers and other team members in a small team.
Responsibilities
Main duties include:
Manage all event bookings administration, including:
o Set up of online booking for events through CRM
o Set up and maintain webpages for each event through CMS adding sponsor logos and additional information as required.
o Ensuring invoices for events are issued and paid, updating any on CRM that were issued manually including sponsorship events
o Ensuring relevant communications such as joining instructions are circulated to attendees
o Issue sponsorship contracts, invoices and monitor payments of same
o Providing support for delivery of events including producing delegate lists, dietary requirements etc
o Liaising with suppliers and stakeholders to ensure all events run smoothly.
Manage the admin and event email inboxes, answering all queries in a timely and professional fashion; forwarding queries to colleagues as appropriate where outside your area of expertise.
Assist in maintaining the CRM to ensure data quality eg by removing duplicates, amending incorrect details, updating information and resolving login issues.
Work closely with the Branch Representatives and the Marketing and Communications Manager to set up all events including paid-for and free-to-attend, plus any external suppliers where necessary.
Manage all journal subscriptions including renewals and responding to subscription enquiries.
Actively recruit new subscribers for Nuclear Future.
Manage credit control for events and journal subscriptions and actively work to manage debtors ensuring all invoices are paid.
Undertake any ad-hoc tasks as directed by the CEO to ensure a smooth-running organisation.

About the post of CEO
You will report directly to the Board of Trustees, ensuring excellent governance of the Charity, regulatory compliance with the Charity Commission and Companies House, and will collaborate with Trustees on designing and executing the 2024-2027 strategy. You will lead and support a team of seven staff, supporting 500+ older and disabled Neighbours annually with a large team of volunteers. You will ensure excellent management of charity’s finances and that adequate funding is in place to maintain all charitable activity, monitoring and evaluation. You will have strategic leadership experience and have previously led teams. JOB DESCRIPTION
Strategy and Operations
1. Develop, implement, and lead execution of the charity's annual operational plan and 3-year strategic plan.
2. Identify appropriate level of staffing, volunteering, ensuring that all staff and volunteers are appropriately interviewed, vetted, inducted, trained, developed, and supported to deliver against their objectives.
3. Ensure appropriate upkeep, security, and management of the charity’s premises, including all relevant contracts and payments.
4. Ensure that the charity’s IT systems are fit for purpose and compliant with relevant law.
People
5. Line management of seven staff members, and responsibility for staff and team development, cohesion and appraisals.
6. Recruit and support social club facilitators and appropriate consultants to provide additional resource to the charity as required.
7. Lead staff member for safeguarding, liaising directly with Hammersmith and Fulham Adult Social Care.

Finance and Fundraising
10. Develop, implement, and lead charity’s financial and fundraising planning and management, ensuring that the charity operates at least at break-even, ideally with a small surplus.
11. Ensure that the charity has a diverse range of income across various streams, inclusive of (but not limited to) public sector, trusts and foundations, corporate income, events, and online giving.
12. Ensure that the charity is receiving value for money with all expenditure, ensuring contract review on a timely basis as appropriate.
13. Ensure appropriate cashflow projections so that expenditure does not exceed income in any one year unless pre-agreed with trustees.
14. Ensure that appropriate financial controls are in place so to protect charity and anyone handling money on behalf of the charity.

Governance
16 Ensure compliance with charity and company law, inclusive of writing, presentation and filing of annual report and accounts and other Company Secretary duties.
17 Organise, attend, record and report at board meetings every two months, inclusive of finance and operations reporting and the regular cycle of governance reviews.
18 Plan, organise and attend AGM and annual strategy session.
19 Ensure appropriate level of risk management and insurance are in place for the charity.
20 Ensure all relevant policies, procedures and financial controls are in place, inclusive of annual review.
Communications and Impact
21. Represent and promote the charity in public, sourcing media opportunities as appropriate so to increase visibility.
22. Represent the charity on appropriate networks and forums so to develop stakeholder relationships and source opportunities for cross-partner collaboration.

You will need database experience. We use E Tapestry, but Raisers Edge or other charity database experience is relevant.
