Main responsibilities will include:
Administration

- Produce budget forecasts for APD and provide monthly updates on current financial position to the Deputy CEO and Head of Budgets, Contracts & Policy

Strategy

Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.
Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation. About you:
You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support. About the Role: This is an interesting and varied role. As the post holder you'll be not only be setting up, administering and delivering schemes and activities to benefit Barnet’s looked after young people, you'll also be creating marketing materials and supporting fundraising events. Promoting the work of our charity is key too through updating our website, writing our quarterly newsletter and social media channels, as well as supporting the running and administration of the charity.
About You:
You'll have experience of managing and delivering projects, schemes or activities and supporting administrative tasks including keeping accurate records, financial tracking and expenditure.
You'll also have experience of creating engaging content for newsletters, websites and/or social media channels especially Twitter, Facebook, LinkedIn and Instagram and building effective relationships with internal and external stakeholders to deliver common goals.
Having a passion for Live Unlimited’s vision and objectives is very useful in this role. We particularly welcome applicants with experience or being a looked after child, care leaver or personal experience of the care system.

Working hours: 28 hours (4 days per week) Could be split across five days. Core hours: 10am-4pm
Salary: £135.35pd for 4 days per week (£35,191 FTE) The role is for 12 months with a view to possible extension dependent on funding. Would consider suitable candidates interested in working 21 hours (3 days per week).

About the PVRI
We’re a small charity with a global reach and an important purpose: to reduce the burden of pulmonary vascular disease.
PVD is a serious condition which can lead to heart damage and trigger symptoms like breathlessness, chest pain, fatigue, poor growth, fainting and light-headedness. It can reduce both quality of life and length of life, but it isn’t widely recognised, or well-understood.
We bring together an international network of professionals to improve clinical care, education and PVD research. The network comprises thousands of clinicians, scientists, academics and industry partners, supported by our small team in Bermondsey, London. Together we deliver conferences, e-learning, an academic journal, and we raise awareness of the condition.
Much of the work is done by international working groups, and we’re seeking a new Project Coordinator to provide administrative and project support to those groups.
About the role
The job involves co-ordinating and servicing meetings across different time zones, maintaining workgroup records, developing surveys, pulling together academic papers for publication, event planning, and project work.
We’re looking for someone with excellent organisational and administrative skills, strong interpersonal skills and the ability to write and adapt complex information to produce clear, accurate and accessible documents in English. The successful candidate will be responsible for the accurate and timely processing of all purchases, payments and returns, including supplier invoices, staff payments (salaries, expenses and advances), project and contractor payments and credit card transactions. Responsible for project reporting against budget.
Key responsibilities (full responsibilities listed in the application pack):
- Ownership of the purchase ledger system, administering the entire process of invoice receiving, checking, coding, distributing for approval, posting to the accounts software (currently Sage), setting up domestic and international payments for authorisation, and electronic filing of documents.
- Administering all credit card returns including distribution of statements to colleagues, checking and coding returns, collating documents, submitting for line-manager approval, posting to Sage and following up on outstanding items.
- Administering staff and contractors expense claims, advances, returns and funds transfer requests, including checking and coding, submitting for budget-holder approval, arranging payment both domestic and international, and electronic filing of documents.
- Recording project expenditure against budget and drafting project financial returns to meet funder deadlines.

This role will be a crucial part of Baytree’s Adult Education team, which currently consists of an Academic Manager, one other Academic Administrator (who is reducing her working hours after many years of service for Baytree), two ESOL tutors and the Women’s Service Director. This new role will work collaboratively with the current Academic Administrator and the rest of the team to ensure the delivery of relevant and high-quality academic, adult education programmes in accordance with secured funding contracts.
