Partners for a New Economy (P4NE) is an international donor collaborative of philanthropic foundations, hosted by Swiss Philanthropy Foundation, with the vision of our economy redesigned for nature and all people to flourish. Our six funding Partners are based in the UK, Switzerland, Denmark and the United States, and our current staff team, led by Director Jo Swinson, has 5 people (3.3 FTE) all of whom work remotely (currently based in the UK, Denmark and Switzerland).
Responsibilities to include:
- Managing the Director & Programme Officer’s diaries
- Arranging online and in-person meetings and events
- Booking travel and accommodation for the Director and Programme Officer
- Working closely with the Programme Officer and Director to provide administrative support around our grant-making
- Providing support and completing administrative tasks, as required, to contribute to the activities of the P4NE team

Temple Church is located in the Temple, City of London. The role:

What we need:
You will be an excellent leader with effective interpersonal skills. Your recent experience will be at the director level or equivalent in the third sector, public sector, military or commerce. You will have a proven track record of leading or significantly contributing to the leadership of an organisation similar in size and complexity to the Temple Church. Proven experience in managing and delivering projects and income generation is essential. Arthritis Action is seeking an enthusiastic, organised and adaptable Office Administrator to join our team and ensure the smooth running of our office.
This is a varied and integral role providing administrative support to Arthritis Action’s Finance, Executive Management, Services Teams and Trustees, working under the supervision of the Operations Manager.

ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. The position:
The primary focus of the position is to support the operational side of the organisation and the Managing Director. You’ll need to be good at multitasking and highly collaborative.
You will work closely with other department team members to facilitate support for the wider team. This role will report to the Head of Operations, whilst working closely with the Managing Director.

Hours:
This is a part time position of 28 hours per week over 5 days (or some of these days) with the working pattern to be agreed with the successful candidate.
From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing.
During the four day week pilot, working hours for this position will be reduced proportionately to 22.5 hours per week, spanning Monday to Thursday (or some of these days), with no reduction in salary. This will be a temporary change to the contractual terms with the successful candidate. The appointed person must be prepared to increase their working hours to 28 hours per week if a return to a five-day working week is decided.

You will be someone who enjoys supporting others in an administrative role and is happy to get involved in a wide variety of people and operations-related tasks. This role will require flexibility, a keen eye for detail, and good problem solving skills.
You have the ability to handle sensitive information and will work closely with the Operations team and Managing Director to uphold and continually improve our governance & processes.
You’ll be able to work independently and as a member of a team in a fast-paced environment and be excellent at prioritisation and managing multiple tasks effectively and efficiently.
Primary Duties:
Administrative (30%)

Supporting the Operations team with a variety of administrative tasks relating to people, systems, finance, governance, and compliance

Organising purchasing of products, equipment and subscriptions as the team requires

Managing the subscription renewal calendars, ensuring timely review for renewals

Provide logistical support for whole team meetings, events and workshops, budgets and quarterly reports

Support the order of the team drive, organising items as needed and responsible for helping maintain the UK naming conventions across the team

The Migraine Trust is the only UK migraine charity providing information and support, campaigning for awareness and change, and funding and promoting research, and has been leading and bringing the migraine community together since 1965. One in seven people in the UK live with migraine. This complex and debilitating neurological disorder can significantly affect many aspects of life including work, school, personal relationships, and feelings of isolation.
Every year over two million people visit The Migraine Trust website for the most up to date information, and thousands contact the helplines for information and support on all aspects of migraine. The Migraine Trust campaign for increased awareness and understanding of migraine, better access to treatment, and national policy change to improve the lives of people who get it.
The Office Administration Assistant will support the smooth running of the office, offer administrative support to the Chief Executive, Senior Leadership Team, Board of Trustees and from time to time the wider team. The postholder will also support the Finance function.
Key responsibilities
* Office Management: Oversee the efficient operation of the office within a shared charity hub, including procurement of supplies, maintaining relationships with IT support contractors, and organising team meetings and events.
* Finance Assistance: Support the Head of Finance and Operations with data entry, invoice processing, and bank reconciliations, ensuring accuracy and compliance with financial procedures.
* Board and Executive Support: Collaborate with the Chair, CEO, and Senior Leadership Team to plan and organise trustee meetings, manage board papers, and provide administrative assistance as needed, including travel arrangements.
* HR Administration: Maintain HR records, support recruitment processes, and facilitate staff onboarding, ensuring compliance with HR policies and regulations. Additionally, assist with staff engagement surveys and GDPR compliance efforts.
* Administrative Support to British Association for the Study of Headache (BASH): From time to time, you will provide Finance/Admin support to this small charity which has close ties to The Migraine Trust.
The role involves handling of confidential information, engagement with external stakeholders and managing a varied workload. This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy, and attention to detail. In addition, you will be highly organised and able to prioritise proactively, take ownership, and drive change to make things happen. The Migraine Trust are more interested in your potential than in a perfect career or education. The role is home-based with around 1 day a week in the office near Borough High Street. The role is 21 hours per week and ideally these hours would be done spread across at least three or four days a week, such as Monday, Wednesday and Friday, or Monday-Friday with shorter days, due to the nature of the role as sometimes things need doing urgently. The Human Dignity Trust (HDT) is a London-based legal charity that provides technical legal assistance to defend the human rights of LGBT people globally. HDT are embarking on an exciting growth phase, thanks to significant successes in the organisation's work in strategic human rights litigation and legislative reform in countries that criminalise LGBT people.
The steady growth in the organisation has driven organisational change and the opportunity to hire a newly created Operations Team, of which the Finance and Operations Administrator will be key.
The Finance and Operations Administrator will provide finance and administrative support on a range of business activities, reporting to the newly appointed Head of Finance and Operations and working alongside the new HR and Facilities Manager. The role will support a range of finance and office management functions and support the streamlining of work to drive efficiencies across HDT.
Key Responsibilities:
- Finance Administration: Process all AP/AR transactions, expenses, payment runs, journals, and reconcile balance sheets; support Head of Finance and Operations with finance committee presentations, spreadsheets, and financial reports; identify ways to streamline finance processes and finance systems.
- Corporate Support: Coordinate and provide secretarial functions for Board and Sub-Committee meetings including taking and distributing minutes; register/de-register trustees (Companies House / Charity Commission); provide CEO support including diary management, meeting schedules and correspondence.
- Office Support: Support for all office facilities, equipment, and supplies; manage day-to-day IT systems, liaising with external IT supplier; first point of contact for enquires; maintain all office procedures including data entry, document, travel booking and file management; support HR and Facilities manager with HR database matters and HR reporting.
