We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18. We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.
About Help
Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.
This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client.
The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.
About the job
The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.
Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20.
We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.
Key responsibilities
Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.
Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities.
Systems management.
Managing the impacts and interactions between processes and systems which can be complex and far reaching.
Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.
Information review, reporting and continuous improvement.
Create, review and report on operational data and use this information to solve potential problems or strengthen business performance.
Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date.
Stakeholder management
Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.
Quality of service
Ensure all queries and contacts are dealt with professionally, accurately and promptly.
Manage all aspects of the administrative tasks and process required.
The Candidate
Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.
Skills:
· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.
· Interpersonal, line management, coaching, and verbal and written communication skills.
· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.
· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

Money Minded: Professional advice and support because your mental health matters
Money Minded is a new service designed to support adults, (18 years and over) in Ealing, Hammersmith & Fulham, Hounslow. The service provides support with welfare benefits, accessing debt support, housing and well-being/peer support groups/workshops.
The role of the Mental Health Information and Advice Officer will be to provide advice, guidance and customer representation to tri-borough Residents living with Mental Health difficulties. Advice issues may include, housing, benefits, council tax, accessing debt support, signposting etc.
The successful candidate will deliver support to enquirers and manage a caseload of individuals, as agreed with the Service Manager. In addition to advice casework, the Mental Health Information and Advice Officer will also be expected to assist onboarding referrals to the service, as and when needed.
The successful candidate will be required to work alongside the Team Leader and volunteers supporting on the project, within the Advice Quality Standard framework (AQS) and adhere to Mind’s policies and procedures.
Due to the nature of the work, if successful, you will need to have an up-to-date DBS check completed, prior to undertaking unsupervised client work.

Job Purpose
This role sits within our new Men’s Minds project, based in Hounslow. The aim of the service is to improve men’s mental health outcomes by developing a mental health network supported and directed by the voices of its members.
This will be achieved through three service strands: 1) Peer support network, 2) Psychoeducation workshops, addressing common needs of men’s mental health 3) Outreach support to raise awareness of men’s mental health and promote this service.
The Men’s Minds Project Coordinator will work closely with the members in shaping the service and ensuring voices of men in Hounslow are heard and acted upon. This service will be staffed with 1 part-time (25hrs per week) Project Coordinator and a pool of peer led volunteers. The Project Coordinator will be responsible for overseeing the volunteers.

This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Lambeth Step Forward Recovery Cluster is an accommodation based service, set across Lambeth including hub sites situated in Brixton and West Norwood. The service provides care and support to over 60 customers living with enduring long term mental health. We also provide a service for two short-term post hospital discharge schemes for customers, who need support following hospital admission.
The role of our Support Worker play's a crucial role in fulfilling our customers expectations, making a positive difference and where appropriate supporting customers to step down to a lower level of support. Our Support Worker's are guided and mentored by 2 team leaders alongside a Contract Manager and as part of the team you will be developing and sustaining a good quality service to all our customers. The Rape and Sexual Abuse Support Centre (Rape Crisis South London) is looking for a committed, professional and skilled Helpline Support worker to provide high quality emotional support, information and signposting in our Support Line team.
The 24/7 Rape and Sexual Abuse Support Line is a partnership between Rape Crisis England and Wales, the Rape and Sexual Abuse support Centre (RASASC - Rape Crisis South London) and two other Rape Crisis Centres (ARCH Teesside and Lincolnshire Rape Crisis). The post-holder for this role is employed by RASASC (Rape Crisis South London).
The post-holder will provide emotional support, information and signposting to survivors of any form of sexual violence, of any gender, aged 16 and upwards, and their supporters via phone calls and chats. Helpline Support Workers also provide support to colleagues and volunteers as part of their daily duties. Helpline Support workers have experience of either providing emotional support on a telephone helpline or experience providing support to survivors of sexual violence. Richmond Carers Centre, a network partner of the Carers Trust, is a registered charity providing information, support, advice and a voice for carers living and caring in London Borough of Richmond upon Thames.
Helping Carers to Live Well is our organisational aim. We provide a targeted service to young carers, aged 5 – 18 years. Young carers, provide vital emotional and practical support to a family member with a care need including sibling young carers. Their care role can have an impact on their wellbeing, education and social opportunities. We are looking for someone with the skills and ability to offer a coordinated approach in supporting young carers in the London Borough of Richmond upon Thames.
As Young Carers Support Worker you will be part of a small, dedicated team which directly deliver a range of services for young carers, including information and advice, emotional support and mentoring, promoting awareness of young carers and delivering a wide selection of group activities, both term-time and in the school holiday programme. Using all your skills, you will work with the young carers’ team to deliver, review, and continually develop services for young carers to best meet their identified needs.
With your proven knowledge of working with children and young people, families, carers or other vulnerable groups on an individual and/or group basis, you will recognise the importance of being client focused and have a commitment to enhance the lives of young carers and their families, including knowledge and awareness of sibling young carers and vulnerable families. You will be able to demonstrate a broad knowledge of young carer’s needs, a wide range of skills in relation to service delivery to support young carers and have a sound understanding of social care provision in both statutory and voluntary sector environments.
You will be self-motivated and positive in your approach to working with both young carers, their families and team members, and have a willingness to embrace our organisational values. Being innovative and creative, you will identify and implement a range of support mechanisms for young carers, enhancing their wellbeing and supporting them to achieve identified goals. Strong administrative, time management, IT and organisational skills are essential. Your ability and willingness to regularly work outside normal working hours is required.

The Service:
