This role will be a crucial part of Baytree’s Adult Education team, which currently consists of an Academic Manager, one other Academic Administrator (who is reducing her working hours after many years of service for Baytree), two ESOL tutors and the Women’s Service Director.  This new role will work collaboratively with the current Academic Administrator and the rest of the team to ensure the delivery of relevant and high-quality academic, adult education programmes in accordance with secured funding contracts.  The primary focus of these roles is to recruit, welcome and guide potential new students through the admissions process and undertake the administrative tasks necessary to ensure the smooth running of the Adult Education department, particularly the planning and delivery of high quality, relevant adult education courses.

We are looking to recruit a Supported Accommodation Administrator to provide a welcoming environment and lead on the administration of systems that enables the Supported Accommodation services to operate effectively including: housing management, referrals, financial management and health and safety. This is an exciting role in our Supported Accommodation team that will be the first point of contact for the hostel and input information on the client database in order to ensure that all staff have timely and accurate information about residents. You will also assist the Registered Manager in recording and reviewing documentation in relation to the Supported Accommodation (England) Regulations 2023 and our registration and regulation under OFSTED. In addition to this, you will process voids (vacant rooms) in line with housing management procedures, ensuring that rooms are cleared and liaising with the Facilities Manager to ensure that rooms are habitable as soon as possible.

We are looking for an enthusiastic and flexible administrator to join our small Care Administration team, playing a key supportive role in the Care team by providing effective and wide ranging administrative tasks and reporting & data services.

The ideal candidate will be a dedicated, organised and reliable individual with at least intermediate proficiency in using Microsoft Excel and experience of using databases due to the involved data and reporting element of this role. You will show determination to succeed and have a solutions-focused outlook. You will be passionate about information management, producing accurate and insightful reports for internal and external stakeholders. You will have a keen eye for detail, able to juggle tasks, communicate clearly, with a desire to make a positive difference to the charity.

The postholder will provide comprehensive and confidential administrative support, contributing to the efficient and effective operation of the Care Team (clinical and holistic). About You:

The Client Services team is looking for an account executive to build and manage relationships with clients and help them to deliver exceptional supporter-led fundraising. You will be an experienced account executive or account manager working with outsourced business processes for a minimum of 2 years.

Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings. 

• Participate actively as a member of the Leadership Team. 

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose. 

• Help to ensure value for money and the effective use of funds across the organisation. 

Compliance & Regulatory Reporting 

• Manage the ongoing relationships with the external auditors. 

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board. 

• Monitor institutional income and related contracts and ensure that all restricted income, including Zakat, is properly accounted for. 

• Ensure the financial management of MAP is compliant with relevant accounting, legal, HMRC and tax requirements, including VAT and corporation tax, and that the correct returns are made. 

• Submit the necessary returns and maintain our records with the Charity Commission and Companies House on a timely basis.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements. 

Person Specification 

Experience 

• Extensive experience in a finance leadership role within a complex charitable organisation, working internationally. 

• Experience of UK charity finance practice and governance - UK Charities SORP FRS 102. 

• Excellent technical knowledge and skills in accountancy principles, governance, and standards, including preparation of statutory accounts. 

• Successful track record of managing financial systems, and cashflow. 

• Experience of working in a multi-currency organisation. 

• Ability to contribute to the management of in-country finance colleagues, while not taking direct line-management responsibility for them.

The Hammersmith and Fulham service comprises of one high support hostel and two medium support hostels, housing 24 people experiencing mental ill health who may also have other complex support needs including substance use and offending behaviour or who may present with behaviours which can challenge.

About the role:

The primary role of the project is to enable clients to understand their emotional and mental health needs and manage these effectively. The Project Worker will also support clients to develop their living skills, develop & manage relationships, build social networks and access education, training or employment, by completing comprehensive needs and risk assessments with clients and identifying short-term objectives.

The projects provide support 24 hours a day and are staffed by a Night Concierge and Project Workers, this requires regular weekend working. All work undertaken will be in line with planned support. Staff are responsible for making sure that clients are actively involved in the process and that the support offered is full and holistic.

About you:

• Demonstrable experience of working with people experiencing mental health problems and other complex needs.
• A demonstrable understanding of Mental Health Legislation and how it can be applied.
• A good understanding of safeguarding issues and the ability to undertake comprehensive risk assessments related to this.

We are looking for an experienced Senior Corporate Fundraising Manager to work closely with the Head of Programme Funding to drive new donor engagement and secure sustainable, multi-year funding. If you are seeking a dynamic and engaging fundraising role which offers you the chance to play a pivotal role within a small but ambitious organisation, then this could be the job for you.

You will be an exemplary relationship builder and have experience in developing multi-faceted corporate partnerships (ideally with experience and success in employee engagement, corporate sponsorship, and/or operational partnerships).

The role also line manages the Senior Fundraising Officer post, a position that provides administrative and fundraising support across the whole fundraising team.  Please note that we are a small team and so you’ll need to be comfortable rolling up your sleeves to help out team members and to support new business across other restricted income streams.

Key Tasks

• Maintain accurate and up-to-date records of all high value fundraising activity, including proposals, applications, and donor interactions, and be able to regularly report this activity back to the Head of Philanthropy.

• Manage a portfolio of low-mid level prospects and existing donors, developing clear strategies to cultivate relationships and secure continued philanthropic support of £1,000 to £10,000. Ensure all donors in the assigned portfolio are provided stewardship and take responsibility for contacts and annual work plan.

• Develop and deliver a programme of cultivation, stewardship and recognition low-mid level donors and prospects, proactively seeking opportunities to improve the chances of securing repeat gifts through bespoke communications and consistent stewardship.

• Support the Head of Philanthropy and wider High Value Team with stewardship and cultivation of donors and key contacts. These activities may include virtual events, stewardship events, proposal development, annual reporting, and direct marketing appeals.

• Ensure the upkeep of a database and filing system for all existing and prospective donors within High Value Giving liaising with the Finance and Administrative team to ensure reconciliation with financial record.
