We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

Job Purpose 

Sitting within BSR’s exciting External Affairs & Audit team the Clinical Audit Administrator plays a crucial role in supporting the on-going work of the National Early Inflammatory Arthritis Audit (NEIAA) to gather evidence and drive up the quality of care for patients living with inflammatory arthritis. With touch points across the Rheumatology community, the NHS and health regulators, the NEIAA project is an essential tool in achieving this part of our five-year strategy. At a busy and important time for the NEIAA project this is a fantastic opportunity for those looking to develop their organisational, project management and stakeholder relation skills as we work towards producing our 6th ‘State of the Nation’ report and securing an extension of the Audit contract. 

Main responsibilities

• To provide administrative support to the NEIAA project manager such as setting up business processes, engaging with stakeholders and managing the audit mailbox as the first point of contact.
• Liaise with the governance groups for the audit project and assist with the coordination of NEIAA meetings by preparing agendas, taking minutes, and undertaking follow-up actions.
• To assist in the development of communications around the NEIAA project including with the Annual Report.
• Work closely with the Project Manager to encourage participation with the audit from Trusts and Health Boards.
• To support the project manager in the planning and smooth running of the NEIAA project plan.
• To maintain high standards of confidentiality and information governance across all aspects of data collection and storage.

Your experience will include supporting network devices and concepts, printers, softphones and other business hardware and software.

Within the College Centre for Quality Improvement, we run an exciting programme of NHS-funded national clinical audits, including the National Clinical Audit of Psychosis, which provides important data that is driving forward improvements in care for people with first episode psychosis. About the role

In this role, you will offer clinical supervision to the Macmillan Support Line teams including advisers, nurses, line managers, service knowledge specialists and other groups and individuals as needed. You will be part of a team of 3 part-time clinical supervisors and will be given opportunities to feedback on recurrent themes to the organisation. You will be running regular small group supervision sessions (approximately 3 per day) for 1hr 15’ each, managing a caseload of approximately 25 groups monthly. You will also offer individual supervision where needed.

The successful candidate will demonstrate the following skills and experience:

• You must hold one of the following qualifications: Clinical Supervision Level 6 or above; accredited Counsellor or Psychotherapist (British Association of Counselling and Psychotherapy, UK Council for Psychotherapy, Health Professionals Council)
• Your experience of delivering both 1-1 and group supervision virtually will be essential
• Experience of delivering supervision to colleagues who provide a live, frontline, fast paced health related service is desirable

Your role in our mission

As a Clinical Educator, you will play a key role in shaping the development of professional and clinical standards across London. Your primary responsibility will be to cultivate a culture of excellence in palliative care by ensuring compliance with core and mandatory training as per organisational policy, providing comprehensive training programs, mentoring new staff, and facilitating continuous learning opportunities. We have an exciting new opportunity for a Social Prescribing Link Worker to join our team in Merton.

The Merton Social Prescribing service is one of the most established and mature services in the UK and is celebrating its 7th anniversary this year. We are seeking an individual to join our successful service in Southwest London. This role will help to strengthen the links between Primary Care, voluntary and public services to improve patients’ health and wellbeing.

THE OPPORTUNITY

THE ROLE – SERVICE LEAD

You will be responsible for the ongoing day to day leadership and management of the Employment Advisors (EAs) and Senior Employment Advisors (SEAs) in Talking Therapies service across Ealing, Harrow and Hounslow.

You will liaise with managers, clinicians and GPs across the NHS primary care pathways to ensure that services are coordinated and pathways into, and out of, the service are managed effectively and efficiently.

You will ensure the service operates in line with national guidance related to Employment Advisors in Talking Therapies and gives consideration to wider disability employment and retention support models, whilst striving to achieve and maintain national best practice in this field.

You will ensure the team develops in a manner that facilitates clients being referred to the service quickly, so they do not remain unsupported whilst on sick leave, and then support them to return to work swiftly (where appropriate), or to follow the destination that is best suited to their circumstances, enabling individuals to achieve positive service experience outcomes.

You will work in partnership with key stakeholders and contract managers.

This role will require someone experienced in leading the delivery of a mental health support programme, whilst managing and meeting commissioner performance expectations.

SERVICE LEAD RESPONSIBILITIES AND DUTIES

1. To develop and manage the Employment Advisors in Talking Therapies Service, providing high quality, timely assessment and support interventions, including signposting for specialist external advice such as ACAS, welfare benefits advice, union or specialist employment law advice.

2. To have specialist knowledge and understanding of employment support and retention to be able to promote an early intervention model, which predominately focusing on supporting people into their preferred job choice, supporting them to remain in work, or enabling them to gain early access to advice and support to reduce the risk of not starting or losing their employment.

3. To manage the performance activity, data quality and service delivery of the team and ensure they provide an integrated and effective service.

4. To ensure the staff have an understanding of the process and philosophy of the positive benefits that work can have on an individual’s health, as well as understanding the benefit of early intervention and support for those at risk of losing their employment due to poor mental health, disabilities, health conditions or issues at work.

5. To oversee the development of new initiatives within the Employment Advisors in Talking Therapies Service in line with national best practice and planning capacity for the team to meet the anticipated increases in demand for the service as a result of changes in the economy or incidence of poor mental health.

6. Ensure the service works within national and locally agreed frameworks and develop key performance indicators if none exist.

7. To ensure that the team has appropriate arrangements in place to guarantee that efficient, effective, equitable and economical services are provided to all clients.

8. To respond to complaints and suggestions from clients and carers in accordance with policies and procedures, and to participate as appropriate in the investigation of complaints, grievances, significant events and disciplinary manners in accordance with polices and present the outcome of the investigations to the relevant personnel.

9. To lead the team in the development of knowledge, ideas and work practice.

10. To monitor the workload and performance of team members using electronic systems to monitor performance.

11. Provide reports to senior managers and stakeholders regarding activity and exception reports for information.

12. To provide regular line management supervision to members of the team.

13. Ensure all team staff receive annual Appraisals and have personal development plans in place.

14. To participate in own Appraisal to ensure development and planning.

15. To agree and monitor explicit performance targets with staff relevant to service delivery.

16. To monitor staff sickness and absence and offer appropriate counselling or appropriate actions.

17. To recruit new staff to vacancies that may arise within the service.

18. To promote and foster good relations with other teams and agencies and stakeholders, ensuring that any issues are addressed at the earliest stage.

19. To ensure that full and appropriate use is made of information systems and that all relevant activity and intervention is recorded appropriately to enable access to information regarding individual clients and also aggregated data.

20. To attend regular management and planning meetings, workshops and conferences relating to health issues and employment, as appropriate.

21. To remain well informed about the national agenda for Employment and Retention, health and social care, and the economic picture.

22. To keep abreast with current best practice in the field and continue to foster a network of specialist support for those who are employed but need support.

23. To make presentations, where appropriate, to staff, clinical colleagues or management groups regarding current national or local issues.

24. To implement and support any performance management systems agreed by senior managers. To regularly monitor and audit systems and records to ensure compliance with procedures and standards.

25. To take note of and, where appropriate, act upon any external audits or reviews that are of relevance to the team.

26. To take responsibility for the efficient use of resources within the team.

27. Provide the team with specialist advice for more complex cases as required.

28. To undertake any other duties of a similar nature consistent with the responsibilities of this post and as required by your manager.

The role holder must also:

1. Pass a Disclosure and Barring Service (DBS) check at an Enhanced level.

2. Possess excellent IT skills, including familiarity with Microsoft Office software, as well as experience updating and maintaining databases.
