The Integrations & Imports Team manage a wide range of data sources which feed into our CRM (currently The Raiser’s Edge). We also help to ensure data quality pre- and post-import as well as resolving causes of errors.

About the Role

The Integrations & Imports Team handles large volumes of incoming supporter data which is vital for our fundraising, campaigning, and volunteering activities. Due to internal opportunities, we are seeking a fixed term Senior Imports Officer to work in a very varied role to:

• Help the Team ensure seamless and timely delivery of high-quality data
• Spot and fix data problems
• Help check and clean data
• Maintain existing and develop new imports as required 
• Work with and support colleagues within the Team and in other stakeholder teams across Crisis

The Programme Officer role will report to the Programme Manager and sit within the Programmes Team.

The Programme Officer will be responsible for coordinating and delivering a number of our services.  You will have a clear focus of delivering high quality programmes that are run smoothly, efficiently, within budget and achieve the desired outcomes and objectives for both the partners and the young people.

You will support others within your team to deliver high quality programmes from programme initiation through to evaluation that will directly contribute to the company's growth strategy and impact.

The Programme Officer will also be a key member of the department and contribute to systems and maximising efficiency, delivering programme coordination to an excellent standard that produces high impact for our young people and partners.

In this role, you will work closely with our Youth Ambassadors, Facilitator Team and Digital Communications and Marketing team.

The Community Fundraising Officer will be responsible for building and maintaining relationships with community groups, schools and other organisations fundraising for Haven House Children’s Hospice. The Community Fundraising Officer will support groups, schools and organisations doing their own events and fundraising activities, work toward agreed income targets, and assist the two Managers in the team with planning and delivering key Haven House events and programmes.

This role will report to the Community & Events Manager and will be responsible for maximising income from across our community through providing an exceptional level of supporter care. The Community Fundraising Officer will work closely with our Database Manager to ensure accurate recording and reporting of income and supporter information.  This role will also manage a brilliant team of volunteer Community Champions who attend local events and speaking engagements on behalf of Haven House.

We are looking for someone to work on a variety of projects who is able to build strong relationships in our community and to take responsibility for the wide variety of relationships across our community.

Salary: £27,000 - £30,000 per year based on experience (Pro rata if part-time)

Terms: Permanent. Full-time or part-time with a minimum of 4 days/week (0.8 FTE). 

Location: Remote. We will strongly prefer candidates who can be based in the UK.

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

• Abilities to work independently with initiative.

Desirable Skills

We are seeking a Finance Officer with a keen eye for detail, and an aptitude for learning new skills, to take on purchase ledger and payroll administration duties in our Finance Department.   You will have either begun on the path of attaining a financial qualification or had some experience in a similar role.  The successful candidate will be responsible for the accurate and timely processing of all purchases, payments and returns, including supplier invoices, staff payments (salaries, expenses and advances), project and contractor payments and credit card transactions.  Responsible for project reporting against budget.

Key responsibilities (full responsibilities listed in the application pack):

• Ownership of the purchase ledger system, administering the entire process of invoice receiving, checking, coding, distributing for approval, posting to the accounts software (currently Sage), setting up domestic and international payments for authorisation, and electronic filing of documents.
• Administering all credit card returns including distribution of statements to colleagues, checking and coding returns, collating documents, submitting for line-manager approval, posting to Sage and following up on outstanding items.
• Administering staff and contractors expense claims, advances, returns and funds transfer requests, including checking and coding, submitting for budget-holder approval, arranging payment both domestic and international, and electronic filing of documents.
• Recording project expenditure against budget and drafting project financial returns to meet funder deadlines.

The Role

As FareShare continues to build broad and successful partnerships with key food suppliers across the UK, the Impact Reporting Officer will play a vital role in managing data and effectively demonstrating our impact to the food industry. This position is central to achieving our mission of saving usable surplus food and feeding communities.

This role is a reporting and systems lead, providing administrative and analytical support to the Food Team with a primary focus on consolidating and managing food volume data. Demonstrating to companies the difference their food makes  in an informative and engaging way is a key driver of continued support and motivation for the food industry. We seek a fast learner who can engage across various internal systems, including FareShare’s national WMS, Power BI, and our CRM Salesforce.

Working closely with the Food Team, the role will extract and manipulate data from our systems, presenting it meaningfully in reports and updates for our key food partners. Additionally, this role will collaborate with FareShare’s in-house technology department (The Info Centre) to champion and support the maintenance and accuracy of systems used within the Food Team, ensuring account records are up-to-date, and live reporting is both accurate and beneficial to account managers while adhering to GDPR policies.

This role will champion the further embedded usage of our CRM system (Salesforce) to better manage multifaceted relationships with our partners across the food industry. Having a clear and aligned view of the relationships across the industry is central to our ability to achieve our ambitions in partnership excellence. This role will both support the teams in keeping the CRM accurate and work with the Info Centre in suggesting and implementing builds and developments to the CRM that enhance our ability to successfully track and monitor key relationships.

Alongside the ownership of our impact data, this role will also contribute to cross-departmental data analytics projects and support the Marketing team to gather qualitative impact stories. Across both qualitative and quantitative impact data, this role will look to translate all of this into meaningful insights for companies that highlight FareShare’s work and ultimately help to deliver more food for those that need it.

Main areas of responsibility

Impact Reporting

• Design, build and implement impact reporting activities across the Food Team, ensuring consistency, accuracy, and alignment with key partner joint partnership plans
• Develop and implement best practices for impact reporting to effectively communicate the difference made by partners’ food .
• Support the gathering of qualitative impact stories, working collaboratively with charity partners and individuals to compile compelling narratives.
• Bridge the gap between qualitative and quantitative impact data, translating both into meaningful insights that resonate with key stakeholders.
• Develop content that effectively communicates the broader impact of our initiatives to both corporate and charity partners.

Data Analysis and Insights

• Provide comprehensive reports and analyses on food partner volumes, aiding Commercial Manager presentations and reports to food partners, including Tesco reporting requests.
• Utilise analytical skills to extract meaningful insights from various internal systems, contributing to informed decision-making and strategy formulation (including where possible providing data to marketing team and to support commercial decisions across the procurement team).
• Collaborate with Commercial Managers to support data gathering for monthly reporting and quarterly/annual forecasting and targeting.
• Contribute to cross-departmental projects and discussions as the Food Team data lead

CRM System Enhancement

• Champion the embedded usage of the CRM system (Salesforce) to enhance relationship management with partners in the food industry.
• Collaborate with the Info Centre to suggest and implement CRM builds and developments that improve tracking, monitoring, and reporting capabilities.
• Provide hands-on support to the Food Team in improving the effective use of Salesforce, ensuring all team members are proficient in utilising its features.
• Work collaboratively to identify opportunities for CRM optimisation and efficiency gains in managing partner relationships.
• Support in the ongoing assessment of the Partnership Excellence pillar using our CRM

Food Data Accuracy

• Support the maintenance and accuracy of our food volume data across visualisation tools like Power BI, including full ownership of the food team Power BI report.
• Collaborate with the Info Centre to streamline processes related to live reporting, ensuring accuracy and relevance for account managers.

Troubleshooting, System Support and Training

• Work closely with the Food Team to understand how systems, including CRM and Power BI, are utilised for decision-making, strategic planning, and day-to-day operations.
• Offer troubleshooting support, identifying and resolving issues related to system usage and data management.
• Support in the delivery of training on existing systems with the ambition of building a stronger data culture across the Food Team and wider organisation

About this job

Please note this is a part-time role 3 days/or 21 hours per week (Fridays must be worked but the other 2 days per week are flexible). The role is initially for an 18 months fixed term contract.

As a key member of our Services and Support team, you’ll be working with MS Society volunteer groups that provide transport services to their members and/or own property. You’ll also be supporting members of the Customer Services team to help them fulfill their health and safety responsibilities within each of the MS Society’s offices. This role includes travel across the UK to provide support and/ or training as required.

You’ll be working with our external auditors to manage the audit process, monitor and record compliance with the ‘MS Society Health and Safety risk management framework’ on property and transport and ensure materials in the framework are consistently and effectively used.

• A NEBOSH National General Certificate
• Trained Display Screen Assessment Assessor
• Be a Member of Institute of Occupational Safety and Health
• Experience of working with in house Health and Safety systems that cover risk areas associated with a volunteer group network.

Deliverables 

Provide first-class supporter care to Animal Free Research UK’s supporters

• Be the first point of contact for supporter enquiries and comments across all communications channels, including social media, and provide an exceptional supporter care service
• Ensure that all supporter communications are responded to, and gifts are thanked, within agreed internal service level agreements and according to policies and procedures
• Draft and maintain a suite of approved on-brand standard supporter care responses
• Maintain an up-to-date library of standard operating procedures for supporter care processes

Efficiently and effectively maintain the donor database

• Ensure a complete, accurate, and timely record of all donor, supporter and advocate communication and gift activity in the donor and advocacy CRM databases
• Liaise with the Finance team to ensure gifts are appropriately coded and any issues related to gifts are promptly addressed
• Process cheque, card, cash and CAF donations received through offline channels
• Ensure Gift Aid is claimed and validated against Gift Aid declarations

Medical Aid for Palestinians (MAP) is a leading UK charity dedicated to improving the health and dignity of Palestinians affected by conflict, occupation, and displacement. With a focus on the occupied Palestinian territory and Palestinian refugee camps in Lebanon, we provide vital health and medical care to those in need, particularly in crisis zones like Gaza. The ideal candidate will have responsibilities that include monitoring compliance with MAP’s financial and procurement policies, developing strong cash and treasury management policies, and managing financial accounting systems. Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings. 

• Participate actively as a member of the Leadership Team. 

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose. 

• Help to ensure value for money and the effective use of funds across the organisation. 

Compliance & Regulatory Reporting 

• Manage the ongoing relationships with the external auditors. 

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board. 

• Monitor institutional income and related contracts and ensure that all restricted income, including Zakat, is properly accounted for. 

• Ensure the financial management of MAP is compliant with relevant accounting, legal, HMRC and tax requirements, including VAT and corporation tax, and that the correct returns are made. 

• Submit the necessary returns and maintain our records with the Charity Commission and Companies House on a timely basis.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements. 

Person Specification 

Experience 

• Extensive experience in a finance leadership role within a complex charitable organisation, working internationally. 

• Experience of UK charity finance practice and governance - UK Charities SORP FRS 102. 

• Excellent technical knowledge and skills in accountancy principles, governance, and standards, including preparation of statutory accounts. 

• Successful track record of managing financial systems, and cashflow. 

• Experience of working in a multi-currency organisation. 

• Ability to contribute to the management of in-country finance colleagues, while not taking direct line-management responsibility for them.

Job Description  

This is a great time to join PCR’s Events & Community team as we expand the team off the back of raising over £1.3m (against a target of £800k) in 2023-24. We’ve had a really successful year with good results across our portfolio, so we’re excited to be recruiting a brand-new role to focus on PCR’s bespoke events and finding the successful events of the future! 

We are therefore looking for a proactive team player to join us and lead the innovation and delivery of our programme of PCR-owned fundraising events. This will include our flagship challenge Snowdonia for Science, as well as leading product development of new challenge, community fundraising and special event propositions. The Bespoke Events Manager will also work with colleagues across the organisation to support other strategic and stewardship events.

The position reports to the Head of Events & Community, and will line manage one Events & Community Officer. Collaboration will be a big part of the role, especially with the Virtual & Challenge Events Manager (VCM) who leads our virtual fundraising and third-party challenge events. 

Key Responsibilities 

As Bespoke Events Manager, we would be very keen to work with you to develop and shape this into an exciting and meaningful role for you. We prioritise our team member's development, and there will be a percentage of time available to work on other areas of the portfolio for development and interest. However, your main focus would be;

Project Management 

• Project manage PCR's flagship challenge, Snowdonia For Science. An amazing community event now enering its 16th year and forcast to raise £100k in 2024. This event is well-established but with plenty of room for you to make your mark, grow and improve the event. 
• Project manage new events and community products as they are developed and tested, including end-to-end planning and delivery
• Design and deliver ambitious fundraising budgets for your projects which contribute net income towards PCR's lifesaving mission. 
• Create good relationships with suppliers, venues, agencies and consultants to ensure great value.
• Lead the stewardship of fundraisers taking part in your events, boosting income and using feedback to continually develop positive journeys, experiences and opportunities for supporters 
• Alongside the Head of Events & Community and others, support the development and delivery of other events, including high value fundraising and stewardship events, and plans for a conference style event in collaboration with PCR's Research & Comms and Patient Projects teams. 

Product development and innovation 

• As a key part of the role, you’ll spend a good proportion of your time developing and testing new fundraising propositions, taking a test & learn approach. For this, there are realistic budgets and an understanding of the investment needed to try new ideas. 
• Product development will include special event product testing and at least one new community fundraising product in 2024-25. 
• Maintain a good level of understanding of PCR’s existing (and target) supporters in order to create and implement products and stewardship that motivate and inspire them. 
• Alongside the Head of E&C and the VCM, embed a culture of innovation and supporter insight in the team. 
• Proactively collaborate internally, working with other teams to identify opportunities for new events, activities and stewardship journeys that meet Prostate Cancer Research’s objectives. 

Team leadership 

• Line manage one Events & Community Officer, overseeing their work, guiding them to improve & innovate in their role, and supporting their professional development.
• Work closely with the Head of E&C and the VCM on team strategy, capacity planning and ways of working.
• Alongside the VCM, take a lead role on developing processes and infrastructure across the team including for stewardship, content, data and compliance. 
• Attend and contribute to meetings, sharing new ideas and learnings that might be useful for the wider team.
• Work with the Head of E&C and the VCM to embed and model PCR’s organisational values in the Events. Our values include: innovation, collaboration, accountability and championing the patient voice. 

As with everyone in the Public Fundraising team, the Bespoke Events Manager may also get in involved with other projects and tasks as appropriate to support all our activities.
