About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

• Abilities to work independently with initiative.

This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. It is specifically expected that the role will allow for flexible scheduling to accommodate other responsibilities, including caring.

The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Founded in 1960, The British Society for Haematology is a registered charity and professional membership body.  The object of the Society is to advance the practice and study of haematology and to facilitate contact between persons interested in haematology.  The Society has some 1,700 members consisting of doctors, scientists and nurses specialising in the field of haematology.  The Society has the British Journal of Haematology as its official journal and offers a range of grants and scholarships for research.

Role Purpose

This role will be split between the Guidelines and Education teams. 

The main role of the BSH Guidelines is to provide haematologists with up-to-date advice on the diagnosis and treatment of haematological disease and also on laboratory haematology practice, primarily by the production of evidence-based guidelines.

The overall purpose is to provide educational training to haematologists. Our activities include running up to 10 events and courses per year including our flagship Annual Scientific Meeting (ASM) held in April. There are two committees that govern the outcomes of these events.

The Role

The role is to organise and liaise with the relevant personnel and stakeholders to ensure the smooth running of BSH Guidelines and Education. 

The post-holder is expected to work autonomously most of the time although the Senior Education Officer, Senior Guidelines Officer and Chairs of the relevant committees as well as the Guidelines Programme Manager will provide direction and advice as required. 

The post-holder needs to comfortable requesting information from senior medical staff and chasing them if it is not forthcoming. 

 
Essential Skills and Experience: 

• Strong project management and administration experience. 
• An excellent level of IT and AV literacy including standard MS Office applications, analytical and data visualisation software, SharePoint, doodle-polls and video/audio/image editing.

We're looking for someone with experience of verging or similar church support work. Good social skills are essential as is the ability to work as part of a team as well as on your own inititiave.  The ability to work closely with and relate well to all Cathedral staff, ministry team, congregation, volunteers, visitors, and members of the general public will also be required. 

The two Assistant Vergers and Precinct Officers (AVPOs) carry out a wide range of duties under the direction of the Head Verger and Precinct Manager.  Work includes: the careful setting up and delivery of all liturgical matters; ensuring a welcoming, clean, and safe environment for all working in, visiting, or using the Cathedral and Cathedral House and precinct and ensuring the day-to-day smooth running of the Cathedral for all.

Essential experience and skills

• Sympathy with the Christian faith.
• At least one year’s experience as a church or cathedral verger or in a similar role.
• A flexible attitude and willingness to take on a range of duties including practical ‘hands- on’ work.
• Attention to detail and an ability to assess priorities including when under pressure.
• Understanding of liturgy or willingness to learn.
• Ability to be a good team player and work collaboratively with Ministry Team, staff and volunteers.
• Willing to work alone.
• Good administrative and IT skills.
• Good understanding of the importance of security, maintenance and health and safety.
• Good social and communication skills.
• Have an open and welcoming attitude to all including volunteers and members of the general public.
• A trained First Aider (or willing to be trained upon appointment to an appropriate level).·
• Ability to work flexibly over seven days and evenings including holiday periods.

Training and Education Lead

Position: Training and Education Lead: Parental Cover (8 months)

Location: London/Hybrid

Salary: £19,000 for 8 months (pro rated from £28.5k)

Hours: Full-time

Contract: Fixed term 8 months

About the role:

This role is for an events person who can support our training and development courses. These courses are delivered either face-to-face or hybrid and are often delivered by a team of the organisation’s members. We use tools such as WebEx, MS Teams and Slido to support the delivery. There is an agreed schedule for the rest of 2024 for our public (open) training plus some bespoke, in-house training to be agreed upon with clients. There will also be additional in-house training to be secured for the remainder of 2024 and the first part of 2025.

The role holder will work within our professional development team, headed up by the director of professional development. They will report directly to the director and work alongside other team members to deliver an effective apprenticeship programme.

Our working pattern is hybrid, with attendance in the office expected for three days per week, including every Wednesday. You may also be expected to attend events across the UK and overseas.

Key responsibilities include:

• Negotiate contracts with suppliers to meet the agreed requirements and budget, liaising with the DPD as required.
• Organise and attend volunteer Working Party meetings as required.
• Working with the volunteers, external suppliers and DPD, ensure all requirements are clearly defined, appropriate and in place for the course to be delivered.
• Liaise with suppliers and contributors to deliver and sign off the online activity.
• Work with the DPD and others to identify potential speakers.
• Support the DPD to negotiate and agree contracts with speakers.
• Work with clients and speakers to agree on delivery dates.
• Process bookings via iMIS, including sending confirmations to delegates.
• Respond to queries from potential delegates and their employers.
• Support current delegates with queries on their programme and progress.
• Work with the DPD and Financial Controller to put together the draft budget for specific events, bursary scheme, or online development activities.
• Supply up-to-date information on the bursary holder’s progress and course uptake to inform budgetary, marketing, and other management decisions.

About you:

To be successful in this role, you will need experience managing events (face to face and hybrid) including liaising with speakers and managing the technology. You will be able to work with colleagues to identify and contact potential speakers. You will also be able to manage the budget for the course delivery. To be successful at the organisation, you will need to be able to work in a small team, be flexible in accommodating changing priorities and thrive in an ever-changing environment.

You will also bring with you the following skills and experience:

• A qualification or experience in event management including online and bespoke courses.
• Strong planning and prioritisation skills with the ability to multitask.
• Excellent oral and written English.
• Excellent organisational and administrative skills including record-keeping and attention to detail.
• Excellent Customer Service skills.

• Basic financial awareness and understanding for example working to a budget and controlling costs.
• General IT skills including MS Office (e.g. Word mail merges and Excel reporting).
• An aptitude to learn new software/portals and experience with customer databases such as iMIS, webinars and eLearning platforms will be an advantage.
