The Loop offers event-based and community-based drug checking and associated harm reduction services. We also provide training courses in drugs awareness, risk communications, harm reduction, spiking, and managing problems in nightlife. Our training programmes have been booked by staff working across public health, substance misuse services, universities, events, security industries and more.
Following the appointment of our first Chief Executive Officer, The Loop would like to recruit an Administrator. We are looking for a dynamic individual to provide professional, effective and efficient administrative support to the CEO and board, as well as supporting the team in the coordination and administration of fundraising, marketing and drug checking service delivery.

About You:
- Proven experience of the trust funding landscape having successfully secured complex trust funds from identification of the opportunity to evaluation stage
- Proven ability to proactively seek and secure new donors and maintaining excellent working relationships with donors
- Experience of working with senior contacts including Trustees and Senior Leaders to identify opportunities and develop funding proposals

PURPOSE OF THE POST
To give infrastructure support to local voluntary and community sector (VCS) groups and social enterprises to enable them to develop and fundraise.
The service will work with local groups to assist them to support the communities they serve more effectively. This involves a number of one-to-one meetings with groups at EHCVS premises and outreach activity.
On occasion the meetings can be set remotely on-line, emails and by telephone, dependent on the needs and practicalities.
To promote and support good safeguarding children practice amongst local community and voluntary sector groups.
To ensure a strong representation of the local community and voluntary sector and contribute to the work of the Ealing Safeguarding Children Board and the Ealing Children and Young People’s Board.
FUNDING MAIN DUTIES AND RESPONSIBILITIES
Formulate a detailed work plan for the implementation and promotion of the development and funding advice service and oversee and manage the service within the set outputs, outcomes, and budget.
To assist VCS organisations with planning and implementing their monitoring, reviewing and evaluation; and support VCS organisations with measuring and communicating impact.
To provide practical information to local groups on appropriate funding streams and their criteria by reviewing their funding proposals and offering feedback.
To advise local VCS groups and social enterprises on a range of legal structures, policies, and charity registration issues; and assist in choosing the most appropriate structures and assist with their registration process.
To plan and ensure implementation of the Training Programmes and its delivery in co-operation with other EHCVS Staff. Where training is outsourced, commission appropriate trainers to deliver relevant training courses in accordance with the training needs identified.
To provide practical information to local groups on appropriate funding streams and their criteria by reviewing their funding proposals and offering feedback.

Prepare written evaluation reports for EHCVS, projects and services.
Support the Funding and Partnerships manager and Development Services Manager with monitoring information collated from service as and when required, Weekly and monthly reporting.
EXPERIENCE AND KNOWLEDGE
Confidant and commercially aware operator who can spot opportunities and build relationship.
Must be willing to step in and support front line work.
Strong experience of relationship management. Excellent interpersonal skills and the ability to build and maintain lasting relationships with suppliers, including corporates and stakeholders.
Ability to research and identify new opportunities and experience of business development.
Ability to prioritise, multi-task and work to tight deadlines under pressure, both independently and as part of a team.
Experience in strategic planning and delivery
At least three years’ experience in Trusts and Foundation fundraising
Proven ability in producing effective, cohesive, motivating, and inspiring proposals and funding reports.
Educated to degree level.

CORPORATE RESPONSIBILITIES

MANAGEMENT AND SUPPORT
The postholder will be employed by Ealing & Hounslow CVS and supervised and managed by the Senior Development Services Manager. The postholder will participate in monthly supervision with their line manager as well as a weekly team meeting and organisation-wide staff meetings. An individual induction and training plan will be agreed on.
TERMS AND CONDITIONS
The postholder will be employed for 21 hours per week.
The postholder will be entitled to 25 days annual leave pro rata in addition to 8 bank holidays. A flexible hour’s scheme will operate (subject to the demands of the service) and the postholder will be expected to attend occasional evening and weekend meetings. Time off in lieu of additional hours will be offered for any additional hours worked.
The postholder will be employed on a 12-month fixed-term contract.
The post is subject to a three-month probationary period. EHCVS offers staff access to a stakeholder pension scheme with up to 3% matching employer contribution following successful completion of the probationary period.

You will have:
- A track record in researching high value Trust funding opportunities, generating a forward pipeline of applications and personally asking for major gifts, alone or with senior colleagues and volunteers.
- Empathy and understanding for the issues faced by older people and a desire to help address these.
- Excellent proposal and bid-writing skills and the ability to articulate compelling funding propositions to secure grants and gifts.
- Sound donor stewardship skills including ability to prepare high-quality donor reports and ensure compliance with funder requirements.
- Excellent verbal communication, interpersonal and presentation skills to gain buy-in and confidence from Trust supporters including senior-level contacts.
- Ability to work collegiately with colleagues across teams to develop and deliver funding propositions, to problem-solve and generate creative opportunities and to engage your funders.
- The ability to meet and manage individual KPIs and contribute towards the delivery of team KPIs

The purpose of the job is to help Minority Rights Group International (MRG) achieve its strategic objectives through commissioning and editing its publications and other published materials, whether in print or online.
The role requires overseeing the publication of approximately 30-40 briefings, reports and online materials a year, including identifying authors and readers, drafting contracts, providing comments on first drafts, compiling readers’ comments, doing the initial editing, bringing in copyeditors and proofreading near-final versions prior to launch.
Main duties and responsibilities
The main responsibilities of the postholder will be:
Planning
- Maintain a publications calendar in order to ensure that MRG’s reports and other materials are produced on time and meet the objectives of the organization.
- Commission publications, including the annual Minority and Indigenous Trends reports, other thematic and country briefings, reports, and web materials including the World Directory, Peoples under Threat and online training courses.
- Oversee as well as participate in the editing, copyediting and proofreading of these publications ahead of launch.
- Ensure that the publications meet MRG’s standards, especially defending and promoting respect for minority and indigenous rights.
- Support the evaluation of our publications, by collecting feedback and following up as necessary.
Core activities
- Liaise with other colleagues to discuss their publications plans and ensure that the publications calendar is up to date. Agree on relevant budgets. Also liaise with the Communications Department to ensure that the publications meet MRG’s communications needs.
- Identify authors with relevant expertise, while ensuring that those with lived experience as members of minority, indigenous and other marginalized communities contribute as much as possible to our publications.
- Commission and review data graphics, such as tables and graphs, when authors need such support.
- Agree contracts, with support from the department Assistant, setting out mutually agreed timeframes for the submission of first and subsequent drafts. Follow up with authors to ensure that deadlines are met and schedules are maintained.
- Identify expert readers. Compile their comments to submit to authors after the initial drafts.
- Edit final drafts before sending to the Director of Policy & Advocacy for review, prior to copy-editing by an external copy editor.
- If necessary, bring external translators on board to translate final drafts into other languages.
- Contribute to the checking of final proofs.
- With the support of the department Assistant, ensure that authors, readers, copyeditors and proofreaders are paid in a timely manner. Manage relevant budgets.
- Document and develop MRG’s house style and terminology, ensuring continuously that we respect and reflect minority and indigenous communities’ right to self-identification.
Other activities
- Establish and manage a network of authors, copyeditors, proofreaders and translators who can be commissioned for various projects, maintaining records updated in the organization’s CRM database.
- Draft short pieces, such as executive summaries and back cover descriptions for our publications.
- Conduct research and draft updates of the World Directory to supplement the work of the regional advisers.
- Contribute to funding proposals for publications and related projects.
- Support minority and indigenous organizations by providing advice and on occasion editorial support for their own publications.
Staff
The postholder is responsible for engaging and liaising with contracted authors, readers, external copyeditors and proofreaders, as well as other resource persons e.g. for data graphics, as needed. The postholder will be supported by a part-time department Assistant.
Financial
The Director of Policy & Advocacy is responsible for the overall departmental budget. The postholder is responsible for monitoring the costs of external authors, readers, editors and proofreaders against project budgets, as appropriate.
General
- Undertake such other tasks as may reasonably be requested by the Director of Policy & Advocacy.
