Key Tasks

• Maintain accurate and up-to-date records of all high value fundraising activity, including proposals, applications, and donor interactions, and be able to regularly report this activity back to the Head of Philanthropy.

• Manage a portfolio of low-mid level prospects and existing donors, developing clear strategies to cultivate relationships and secure continued philanthropic support of £1,000 to £10,000. Ensure all donors in the assigned portfolio are provided stewardship and take responsibility for contacts and annual work plan.

• Develop and deliver a programme of cultivation, stewardship and recognition low-mid level donors and prospects, proactively seeking opportunities to improve the chances of securing repeat gifts through bespoke communications and consistent stewardship.

• Support the Head of Philanthropy and wider High Value Team with stewardship and cultivation of donors and key contacts. These activities may include virtual events, stewardship events, proposal development, annual reporting, and direct marketing appeals.

• Ensure the upkeep of a database and filing system for all existing and prospective donors within High Value Giving liaising with the Finance and Administrative team to ensure reconciliation with financial record.

• Work closely with the Philanthropy team and other colleagues to maximise all opportunities and support a dynamic, successful, and professional team

• Ensure that data security is maintained and that legal and regulatory requirements are fully complied with.

Organisational Background

The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.

Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.

Part-time Fellowship Programme Assistant Role & Responsibilities

· Produce a weekly list of payments.

· Produce financial paperwork.

· Schedule Fellows’ placement disbursements on SalesForce (SF) – those having simple funding allocations and support the schedule of more complex funding requests when needed.

· Update disbursement details once paid on a weekly basis.

· Input payments made via our Pleo card to SF and link allocations.

· Update details for new grant requests (funding request status, disbursement details, and relevant allocations) and ongoing requests when needed.

· Support management of Fellowship-related grants (English, hardship, mentoring, small grants).

· Create payments and allocations for opportunities on SF once an award letter has been issued.

· Track invoice status and notify colleagues to initiate the invoicing process.

· Send invoice requests to our bookkeeper and update the relevant opportunities and payments on SF.

· Draft invoices when needed.

· Update opportunities and payments on SF for invoice paid/funding received.

· Analyse data for reporting to stakeholders and donors.

· Assist during the yearly audit.

Responsibilities also include related activities that might arise in relation to the Fellowship Programme as required by the Executive Director or Deputy Director/Fellowship Programme Manager.

Responsibilities of the role

Finance – approx. 40%

Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

• Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

• Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

• Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

• Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.  

• Set up weekly payment runs for approval by the Head of Finance.

• Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

• Complete month end tasks, enabling to the Head of Finance to close the month, including selected balance sheet reconciliations.

• Keep Gift Aid records up-to-date and assist the Head of Finance with the preparation of Gift Aid claims.

• Assist with the year-end audit, ensuring all relevant paperwork is tidily filed.

• Collaborating with the fundraising team, exploring fundraising and donation collection mechanics, identify new developments in the sector and helping to embed any system changes.

• Train and support the charity team on the charity’s finance processes.

• Provide cover for the Governance & Team Co-ordinator in periods of absence.

Grants – approx. 60%

• Support the Grants Team to process charity applications for funding, including communicating with interested parties, summarising applications, compiling relevant information, conducting research as required and helping to organise related meetings and Grants Panels.

• Preparing and processing funding agreements, reporting forms and other associated paperwork for grants.

• Working with charities to collect and develop storytelling information such as quotes, pictures and case studies, and support sourcing participants and contributors for radio interviews and other editorial pieces as needed.

• Supporting the team in the organisation, planning and delivery of our skills training programme for charities.

• Writing copy for our website and newsletters, and ownership of our communication planner for our charities.

• Managing the Grants Team inbox and being the first point of call for queries.

• Leading on the management of data and uploading of information on our database (Salesforce), complying with GDPR requirements.

• General administrative tasks across the both the Grants and wider charities team, undertaking adhoc projects and supporting initiatives and events as requested.

The Head of Finance will manage the high-performing finance team consisting of a Management Accountant, Assistant Accountant and Finance Business Partner. About the role:

As a Finance Assistant, you will support the finance department in its day-to-day operations. This includes handling internal and external queries, managing transactions, and ensuring timely availability of accurate financial information. Your responsibilities will include:

• Daily cashbook management of multiple bank accounts using Excel functions
• Administration of purchase and sales ledgers and PO system
• Preparation of biweekly payment runs
• Month-end account and balance sheet reconciliations
• Management of credit card processes
• Handling Accounts email inbox
• Providing training and support for staff on PO and mobile expense processes
• Resolving supplier and customer disputes
• Assisting with public queries via phone and email
• Filing and administration of finance documentation

Qualifications:

• Required: 3+ years of experience in a finance team or relevant accounting studies
• Desirable: Studying towards an accounting qualification

Experience:

• Required: Understanding of finance processes such as purchase ledger with PO and sales ledger

St Paul’s Cathedral School are pleased to be exclusively partnering with Robertson Bell in search of a new Financial Controller to join their team on a permanent basis. St Paul’s Cathedral School is an independent, co-educational boarding and day school for boys and girls aged 5 to 13 (Reception to Year 8). 

The Financial Controller will report into the Bursar and be responsible for for the whole of the School’s day-to-day accounting function to ensure effective procedures and robust controls are in place for all aspects of the function.

The organisation:

Situated in the heart of the City of London, at the East side of the Cathdral, the School enjoys state-of-the-art facilities for academic work, music, performing arts and sport in a single-site campus. With around 275 pupils (with up to 36 Cathedral Choristers who are boarding pupils), the School is small enough to ensure that each pupil receives individual attention, yet large enough to offer an array of academic and extra-curricular opportunities that a Prep school could deliver. There are 84 members of staff, comprising teachers, teaching assistants, music instructors and a support team. 

The role:

• Assist the Bursar to seek commercial income opportunities and monitor and advise on school investments through liaison with external investment managers.
• Deputise for the Bursar in all finance matters and at governor committees, or at SLT meetings when requested by the Head. 
• Support the Bursar’s financial and audit responsibility.
• Check Income & Expenditure (I&E) variances and explain and compare findings to previous year, to budgets and to forecasts.
• Prepare weekly cashflow forecast and monthly management accounts.
• Compile and analyse the annual school budget, setting and monitoring. 
• Prepare initial input data for new arrivals, departing staff, music teachers and additional overtime payments. 
• Modernise the finance IT package and update the finance manual.
• Oversee and administer school fee collection, process supplier payments and invoices.
• Prepare and present the annual accounts for the annual statutory audit and liaise with the auditors and implement audit findings. 

The successful candidate will be:

• A fully qualified Accountant (ACA, ACCA, or CIMA) or at Finalist level.
• Experienced in budgeting, forecasting and producing management accounts.
• A fantastic communicator.
• Experienced in developing and implementing financial systems and internal controls.
• Confident assisting with annual audits and in the preparing of annual accounts.

This position will be based officially at the head office in central London next to St Pauls Cathedral and will require the postholder to work from the office with occasional hybrid working. Campbell Rd Young Peoples service provides support and housing for 55 young people in Tower Hamlets that are either leaving care of affected by youth homelessness. The Support Worker role will be to manage a caseload of approx 7-10 young people .You will be expected to deliver positive outcomes for all our young people and support them to reach independence, keep safe and maintain their tenancy's. Aside from support workers delivering support there is a strong element of housing management associated wit this role, for example managing rents, raising/monitoring repairs and health and safety.

Located close to the historic Camden Market, the TMO provides housing services and community activities for residents of the estate. Sustainably funded by Camden Council long term, this is an ideal opportunity for a candidate with experience in management and a real interest in social housing, who values the autonomy of working in a small and close knit organisation.

As estate manager, your main duties will be to:

1. Give the TMO the strategy it needs to deliver an excellent housing service for residents.

2. Ensure that the TMO is adequately and responsibly resourced.

3. Ensure that the TMO complies with the Management Agreement signed with Camden Council, all applicable legislation, and current best practice.

4. Provide effective day-to-day leadership, management and supervision of staff.

5. Uphold a service culture which puts residents’ satisfaction at the heart of delivery. 

6. Ensure the effective delivery of the TMO’s housing management functions.

7. Work in partnership with the committee to deliver continuous improvement and good value across all TMO managed and contracted services.

This could be you if you have:

• 4 years+ experience of managing staff, and at least 2 years experience of reporting to a board;

• experience in procuring contracts and managing contractors;

• a proactive, can-do attitude, and an ability to motivate a team;

• excellent numerical and IT literacy, including a record of preparing and scrutinising budgets;

• Either a Level 4 Certificate in Housing, or an undergraduate degree (2:1 or above), and are prepared to enrol in the 1 year online Level 4 course by the Chartered Institute for Housing. 

The TMO is prepared to fund the Level 4 course, and to support a bright manager with a successful track record of delivery to transition into social housing.
