About the team
The team deliver a range of services, including training on housing and homelessness prevention, housing law consultancy, online resources and projects to support professionals working directly with people at risk of homelessness to get positive outcomes. The team covers all of England and works closely with teams including Learning and Organisational Development, Training and Support, Business Support, as well as our frontline Services and Legal Services.
About the role
Knowledge is power and we run over 1,600 training courses that attract 40,000 delegates each year. Your challenge, together with three other Operations Assistants will be to take responsibility for the administration and operational delivery of all of our courses, including face-to-face training and online via webinars and e-learning. We’ll rely on you to ensure that each course runs smoothly, all delegates and trainers have the instructions and information they need and that the highest level of customer care is provided. Monitoring a number of inboxes, dealing with customer enquiries and bookings, managing financial arrangements and booking speakers, trainers and venues – all are aspects of this vital and varied role.

About you
To succeed, you’ll need experience of managing a large and varied administrative workload while adhering to deadlines. We are the UK’s student mental health charity. We challenge the higher education sector, health sector, and government to work with students when making decisions that impact them, and make them accountable for prioritising student mental health. ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group. As such, you will have the opportunity to work with the entire Student Minds team and a variety of stakeholders across the health and higher education sectors.
Key responsibilities:
Chief Executive Officer assistance
- Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
- Arrange meetings and itineraries and coordinate travel as required.
- Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.
Meeting management
- Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
- Provide logistical and administrative support for all meetings, arranging suitable meeting premises or software, preparing and circulating agendas and meeting papers in consultation with the relevant participants (e.g. Chair of the Board, CEO and Senior Leadership Team).
- Coordinate catering requirements and liaise with the finance team to make purchases.
- Take high-quality and accurate meeting minutes and circulate them for appropriate approval and sign-off.
- Ensure prompt follow-up with agreed action points and follow through with ongoing delivery of commitments.
Governance support
- Provide administrative support where applicable to meet the charity’s requirements with
- Companies House and the Charity Commission.
- Support with Trustee recruitment, induction and training.
- Support the charity’s continuous improvement and compliance using tools such as the Governance
- Code.
Senior Leadership Team coordination
- Support with coordinating multi-stakeholder meetings, and liaising with internal and external stakeholders.
- Support members of the Senior Leadership Team or their guests with the use of our core systems and software (Google Workspace, Google Meet, Slack, Mural, Zoom).
- Process any travel expenses for the Senior Leadership Team.
- Manage charity records: provide historical reference by supporting procedures for the retention and disposal of records.
- Welcome guests and provide tours of facilities or support guests to use online meeting software where required.
Other duties
- Such other duties as may be reasonably prescribed by the organisation, appropriate to the grade and responsibilities of this post.
- Provide cover for other team members as necessary to ensure seamless operations and support across the organisation.

Job Description – Projects Assistant
Salary: £25,000 per annum

Projects Assistant role description
The role involves identifying relevant project and research opportunities; assisting with developing winning bids and delivering successful projects. Examples of recent projects include developing a water scarcity index for BSi and creating an evaluation framework for water saving campaigns. You will report to a Projects Manager and be joining a small but growing sub-team winning and delivering water efficiency research projects. For example, part of your role will be to support the delivery of an existing Ofwat Innovation Funded Water Literacy project which is developing a new training and accreditation offering on water.
Key responsibilities in the role include:

The role and your key responsibilities
As Marketing Lead, you’ll head up the marketing to our Employer and Higher Education (HE) audiences - from crafting compelling email campaigns to growing our audience on LinkedIn. Employers and HE are our two newest audiences, and you’ll play a key role in driving their increased engagement and growth, ultimately helping us to support as many students as possible to make informed decisions about their next steps.

You’ll also be working closely with our Video team to make sure video content aligns with the marketing strategy, as well as our Employer and HE partnerships teams.

FareShare South West’s (FSSW) fundraising strategy and income streams have developed and diversified rapidly in line with major growth since 2017. The Supporter Care Officer (SCO) is responsible for all donor support processes, systems, strategies and individual giving fundraising appeals, which ensure we have excellent relationships with our donors to retain and grow our IG income. Powerful narratives, storytelling and engagement with donors is crucial to ensure that our funding need and impact is shared with supporters.
The SCO will work with the Fundraising Manager (FM) and Chief Fundraising and Communications Officer (CFCO) to grow our major donor, regular giving, appeal and legacy income alongside sustaining our irregular giving and Gift Aid income. This is a part time position of 28 hours per week over 5 days (or some of these days) with the working pattern to be agreed with the successful candidate.
From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing.
During the four day week pilot, working hours for this position will be reduced proportionately to 22.5 hours per week, spanning Monday to Thursday (or some of these days), with no reduction in salary. This will be a temporary change to the contractual terms with the successful candidate. MAIN DUTIES

Background Information
NHS Continuing Healthcare (CHC) is the name given to a package of healthcare that some people need to receive due to disability, accident or illness. People who are eligible for CHC have the full cost of their care and accommodation funded by the NHS. This relieves families of sometimes astronomical care bills.
