The Governance Assistant’s duties and responsibilities include:
Governance

Work closely with the Head of Governance to ensure the charity is compliant with regulatory requirements

Maintain a good understanding of the governance processes and requirements, and work closely with the Head of Governance to ensure they are efficiently and effectively managed

Maintain a good understanding of the implications for the role and organisation of the requirements of GDPR and other relevant legislation

Maintain a good understanding of the need for effective policies and procedures, sustained within a robust review process

Support the efficient and effective day-to-day functioning and co-ordination of the administrative activities associated with governance within the College of Paramedics

Prioritise and time manage the administrative workload appropriately to meet specific deadlines.

Support the Head of Governance on the election of trustees and member representatives as required, working with the Membership, Marketing and Engagement team and liaising with candidates, election services and incumbents.

Provide administrative support for various governance aspects around the Board, Councils, member meetings, reporting and the Chief Executive Group

Provide administrative support for aspects of Board Meetings/Committees and resources in the absence of the Executive Assistant to the Chief Executive

Support with timely production of relevant minutes, reports, action summaries and follow ups alongside the Executive Assistant to the Chief Executive and Head of Governance

Coordinate travel, venue bookings and accommodation for Board, Committees and Councils where appropriate

Provide administrative support to the Royal Charter project

Work closely with the Head of Governance to ensure relevant information is shared with third parties or stakeholders

Oversee the formatting and editing process associated with key documents, in line with branding guidelines;

Develop and maintain effective electronic filing systems ensuring that information is kept securely and is accessible as appropriate;

Attend physical meetings at locations within the United Kingdom, as required;

Undertake other tasks or projects that may arise;
Business Administration

Providing cover and administrative support to the Executive Assistant to the Chief Executive and Personal Assistant in any absence or when the needs of the business demand

Coordinating electronic diaries;

The coordination and business arrangements for College of Paramedics meetings, including serving as a Secretariat for meetings, various established or short-term functions of the College. This includes but is not limited to preparing agendas, taking minutes, action logs, sourcing venues, liaising with delegates, booking travel and accommodation, catering, sourcing audio visual equipment and facilitating remote attendance, collating meeting documentation, recording minutes and /actions;

Assist with the co-ordination of General Enquiries received by the College of Paramedics over the phone or via email/dedicated mailbox, including tracking responses to ensure all enquires are dealt with in a timely manner;

Undertake and complete an ongoing development review process, set by, and reviewed on an ongoing basis.

Helping to drive an energetic content team in the Marketing and Communications department, the Content Manager is responsible for supporting the Senior Content Manager to create, curate and coordinate content within a defined strategy.
With a particular focus on the procurement, migration and rollout of a new digital asset management system, this role ensures the organisation have easy access to effective, engaging content created with an audience-centric approach.
The role also line manages the Library Officer, who works to ensure content is compliant and available for use as appropriate, through managing resources including an accessible digital asset management system, and by providing direct assistance across the organisation.
Role responsibilities

Support in the execution of an audience-focused content strategy aligned with our vision and goals.

Support the curation of high-quality, engaging content, working closely with the Creative Studio team and external agencies to develop assets, ensuring that all content is aligned with brand guidelines and relevant audience insight.

Drive DAMS strategy development, manage training, communication, and change management, and oversee the system, workflow, and metadata roadmap, driving improvements to meet evolving business needs.

Curate and store raw content and all assets in accordance with data protection legislation (GDPR) and ensuring legal protection, developing approaches to contracting, licensing, subject consent and usage, that maintains a sensitive approach to client confidentiality.

Provide support and line management. This will include regular 1:1s and annual reviews to ensure objectives and key results are met.
Person Specification
Technical skills and minimum knowledge:

Experience managing content resources and digital asset management systems, including helping others access and use assets appropriately.

Content planning skills, including brief development, storyboarding and project management.

A strong understanding of different communications channels and the creative content that can be used across them to share stories to drive engagement with our vision and income generation.

Sound understanding of contracting and licensing creative work as well as data protection principles and compliance.

The primary purpose of this role is to deliver live training workshops as part of our Safer Gambling Training and Worksafe programmes. It will also involve the live facilitation of Lived Experience sessions with our Experts by Experience.
This role gives the postholder the opportunity to make a real difference to the lives of those affected by gambling harms, by educating gambling operator staff and workplace colleagues to be able to better spot the early markers of harm, and to interact in a more effective manner.
A strong facilitator and communicator, you will be able to demonstrate a proven track record. You will confidently learn new content and skills as required and able to deliver exceptional in-person or virtual training to diverse audiences. Being interactive, engaging and able to read the room are essentials for this role. You’ll be curious, and always thinking about how you can improve your delivery and the experience of our customers.
As a self-employed Associate Trainer, acceptance of work offered will be dependent on availability and other commitments. We currently offer between 1-4 days contracted work per month, although we anticipate this will increase.
The postholder will be responsible for assessing and paying their own tax. Payment will be made within 30 days on production of a valid invoice.
Key Accountabilities & Responsibilities
- Deliver engaging and interactive training workshops to a range of organisations (including gambling operators) both in-person and online.
- Facilitate our lived experience sessions with our EbE’s (Experts by Experience) to a range of organisations, both in-person and online.
- Support our EbE’s with wellbeing ‘check-ins’ and follow-up support when required, as part of our training workshop process.
- Maintain our high standards, reputation and relationships associated with each programme.
- Travel to allow for the timely and effective delivery of our in-person training workshops.
- Support learners with the training programme.
- Ensure you are aware of the learners’ needs before delivery and tailor your training style accordingly or inform your line manager.
- Capture any learner data that has not been recorded prior to the training and inform the line manager or co-deliverer about the learners’ attendance.
- Ensure all records are maintained in accordance with GDPR/data protection legislation.

Qualifications or Relevant Experience
- Qualification in teaching or training, or extensive relevant experience.
Essential Experience
- Experience of delivering training workshops both online and face-to-face.
- Experience of delivering alone and as a co-facilitator.
- Experience of delivering role-play-based activities in a training workshop environment.
- Experience of delivering skills-based training programmes both online and in-person.
- Experience of delivering externally assured or accredited training programmes (desirable).

This is a UK based role, and whilst most of it can be done from home, candidates need to have, or be willing to relocate to, a base within about two hours travel time from Barnet.
