OFFICE OPERATIONS AND EVENTS  

• Act as a first point of contact for enquiries coming into both general and programme specific inboxes, via the website and phone. 

• Support on the smooth running of the London office. Tasks may include managing post, stationery orders, preparing and packing resources for training and events, and supporting on any other duties as required. 

• Act as one of the designated fire marshals and first aiders for the London office, with occasional support at other events as required (please note full training will be provided in these posts) 

• Support on the smooth running of organisational and programme events, including staff away days, and school events. Tasks may include managing guests lists and correspondence, liaising with event suppliers/contractors/schools, preparing and circulating briefing packs, attending and supporting at events when required, and any other event administration duties as required. 

PROGRAMME ADMINISTRATIVE SUPPORT   

• Managing programme specific communications related to our Award & Development and Mentoring programmes via email, phone, and website, including but not limited to general enquires and continued engagement with programme participants and volunteers. 

• Ensure accurate and up-to-date records are kept across programme databases (Excel and Salesforce)    

• Managing programme resources, including stock counts, and organising couriers. 

• Processing application data, and event registrations across the two programmes, including due diligence check processes such as DBS, right to work and reference checks. 

• Support with the onboarding of mentors and award recipients across the two programmes, ensure that all personal data and consent forms are collected and stored appropriately and in line with organisation policies. 

• Support in outreach to schools and mentors, including supporting online volunteer networks, as well as creation of email templates and resources 

• Support with the delivery of the Diana Award Development Programme, including scheduling Diana Award recipient blog posts and signposting to opportunities (both internally and externally). 

• Maintaining and updating volunteer expense processes in collaboration with Finance Team 

• Supporting with the organisation of programme events and training such as but not limited to, Online careers fair, career lounges, mentor networking and training sessions, annual volunteer appreciation events, award recipient networking events and opportunities.

There may also be occasions where the administrative team provide support to other programmes/teams as required, however this will be subject to existing workload/capacity.

About the role 

Dementia UK is currently seeking a Database Officer to lead on the delivery of processes within the Database Services team.

As Database officer, your primary responsibility will be managing a substantial volume of data files, from a variety of sources seamlessly importing this information into our fundraising database. You will handle supporter data ensuring a high level of accuracy, while being directly responsible for running the majority of data imports as well as handling enquires coming into the Database Services shared inbox and running regular data cleansing routines.

This is a varied and integral role providing administrative support to Arthritis Action’s Finance, Executive Management, Services Teams and Trustees, working under the supervision of the Operations Manager.

You will also assist the Registered Manager in recording and reviewing documentation in relation to the Supported Accommodation (England) Regulations 2023 and our registration and regulation under OFSTED. In addition to this, you will process voids (vacant rooms) in line with housing management procedures, ensuring that rooms are cleared and liaising with the Facilities Manager to ensure that rooms are habitable as soon as possible.

Introduction

Working in a friendly and supportive team, the Admin and Support Assistant will help to facilitate the day to day running of the Foodbank and will be the first point of contact for many visitors, referral agencies, local partners and donors. In this role you will make a real difference to both the people you serve and the staff members and volunteers you work alongside, ensuring a positive experience for all.

Lewisham Foodbank is run by Transform Network (www.transformnetwork.london), a partnership of local churches. We have the Trussell Trust franchise for the London Borough of Lewisham and are one of a network of 1500 Trussell Trust foodbanks across the UK. The foodbank, which has been operating since November 2012, is founded on Christian principles. Purpose of the Post

This role will support the smooth running of all Lewisham Foodbank operations by providing effective and supportive communications to those who contact the main Foodbank phone line and inbox. The postholder will be based at the New Hope Centre office (353H Bromley Road, SE6 2RP) and will respond to enquiries in a timely manner with relevant information, or direct them to the relevant staff member. The candidate must have excellent interpersonal skills and will communicate well with other team members, clients and external organisations to troubleshoot when challenges arise, sometimes being required to provide information and support to people facing complex and distressing situations. The postholder will liaise and work closely with the rest of the team to ensure safeguarding procedures are followed and communication is in line with our policies and values.

Lewisham Foodbank works on a referral system and works with over 500 local organisations who refer people to our services. The postholder will be responsible for setting up new referral agencies on our system and sending out onboarding information and regular updates to these partners. They will also have responsibility for checking requests for home deliveries and coordinating the preparation and administration of these with a small group of delivery volunteers. This may occasionally require phoning clients and packing deliveries themselves if a volunteer has not been able to attend.

Main Duties & Responsibilities

● Respond promptly to enquiries on the main food bank phone and inbox from visitors, referrals organisations, donors and others.

● Either reply to enquiries or forward to the relevant member of staff.

● Sort emails into relevant folders and update records, when necessary, on the data collection system.

● Assess requests for deliveries and co-ordinate with delivery volunteer teams to prepare and deliver to a small group of clients’ homes.

● Liaise with referral agencies when more information or communication about deliveries is required.

● Keep the database updated with delivery requests.

● Set up new partners as referral agencies on the Data Collection System and send them all the relevant onboarding information.

● Contact referrers where clients have exceeded voucher limits and agree ongoing support in collaboration with the Project Manager.

● Create and send thank you certificates to donors at regular intervals.

● Support administrative volunteers to issue e-vouchers on behalf of job centres and other agencies that are not signed up as referrers.

● Deal with enquiries regarding Acts 435 grants and provide relevant information or signposting.

● Participate in relevant training courses and Food Network meetings.

● Keep up to date with local support and signposting information.

● Occasionally take minutes at meetings.

● Occasionally visit foodbank distribution centres and be prepared to step in to help at centres or the warehouse if there is an unexpected shortage of volunteers.

● To use online data systems and ensure all warehouse paperwork is stored securely in line with GDPR.

● To attend meetings as appropriate, including meetings which may include a time of prayer and reflection.

We are working with an excellent Charity to recruit for a HR and Payroll Administrator. This role is a 12 month fixed term contract, to provide essential support in the smooth day to day running of the Charity, with a key focus on bridging the gap between the HR and Payroll functions.

Key duties:

• Maintain and manage current HR and Payroll information on databases, ensuring all information is added correctly and accurately
• Provide support to the recruitment and onboarding process to ensure each vacancy is filled appropriately
• Support in issuing new contracts and/or updating contracts, hours and work patterns, employee status etc
• Process all salary changes stemming from merit increases, promotions, bonuses, and pay adjustments in the HRIS system (CoreHR)
• Be a point of contact for payroll related queries, including auto enrolment, salary information, sickness, benefits and extra duty payments
