Job description

Department: Science and Innovation

Due to growth in the team, we are seeking a driven and a proactive Team Coordinator to join us at the Institute of Physics in the Science and Innovation department.

The role

This is an exciting role that requires administration support to the Science and Innovation department and its activities. The role involves communication, marketing of projects, as well as delivering a number of events and projects.

Responsibilities include:

  • Organising team meetings, events, workshops and bi-annual away-days.
  • Producing minutes and meeting reports.
  • Handling diaries, appointments, making arrangements for travel and accommodation and correspondence.
  • Facilitating the preparation and distribution of departmental publications and reports.
  • Carrying out marketing activities, including preparation of marketing collateral, delivering e-campaigns, arranging advertising and carrying out telephone campaigns.
  • Preparing expenses forms, cheque requisitions, invoices and processing expenses.

The Person

We are looking for a professional who has previous experience in a project coordinator or personal assistant position.

The successful applicant will have excellent communication, written and verbal, and interpersonal skills, personable and committed to customer focus. They will also have the ability to maintain the technical skills and knowledge required to undertake the tasks of the demanding role. Practical experience of working in a customer facing role is essential.

Takes responsibility for personal learning and improvement and has the ability to measure and manage own work, takes responsibility for tasks and decisions; sets clear objectives and measures; monitors process, progress and results.
