Purpose of the People & Culture Assistant role:
To work as part of the People and Culture team to provide a professional, high quality, timely, customer focused HR recruitment/contractual administration/transactional service to key internal stakeholders, job applicants and support closely on people and culture activities especially the Learning and Development workstream.
Key duties and responsibilities of the People & Culture Assistant:
To provide high quality HR administrative support across the full spectrum of the employee lifecycle, including:
· Conducting pre-employment checks for new starters (references, DBS, Right to Work in UK)
· Recruitment administration (writing and posting adverts, shortlisting, arranging interviews)
· Absence management
· Preparation and issue of contractual documentation (including contract variations)
· Payroll updates
· Maternity/Paternity administration
· Administration of performance management and improvement systems (probation, Appraisals, PIP forms)
· Termination of employment (all categories, including writing leaver documentation and conducting Exit Interviews)
· Upkeep of electronically stored personal records
· Conducting regular HR Audit checks to ensure integrity of data is maintained
· Supporting the P+C Manager on all other aspects of HR administration
What we are looking for in our People & Culture Assistant:
· Experience of working in a complex administrative role within HR
· Experience of using HR/Payroll/recruitment ATS online systems
· Good numeracy and literacy skills
· Awareness of employment legislation
· Ability to effectively organise and work to tight deadlines with excellent attention to detail
· Ability to work independently and a willingness to contribute to team efficiency through sharing information and supporting others
· Experience of providing informal training/coaching to colleagues in relation to administrative tasks
· Proficient in the use of software packages and Microsoft office software

The role
We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working with colleagues at a senior level, in an office environment, performing a range of administrative duties. Objectives of this role

- Manage communication and contacts with external stakeholders including network and industry partners and board of trustees.
Main areas of responsibility
- Scheduling and calendar management, as well as content and flow of information to the leadership team, board of trustees and other external stakeholders
- Inbox management including responding to and redirecting emails and other correspondence as directed.
- Liaise with leadership team and other key colleagues across the organisation.
- Manage information flow in a timely and accurate manner.
- Support the CEO/COO with travel and accommodation arrangements.

We are looking for a Research and Policy Assistant to contribute to and support the Trust’s research, evaluation and policy monitoring activity. This includes collecting and communicating research and policy evidence and information, to inform the development of the Trust’s current and potential programmes of work.

Role Requirements

About the role
The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.
The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. Key responsibilities:
Chief Executive Officer assistance
- Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.

- Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.
Meeting management

The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. Work Location
This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London.
