Job Description – Projects Assistant
Salary: £25,000 per annum

Hours: Full time (40 hours per week including one hour lunch break each day)

Projects Assistant role description
The role involves identifying relevant project and research opportunities; assisting with developing winning bids and delivering successful projects. Examples of recent projects include developing a water scarcity index for BSi and creating an evaluation framework for water saving campaigns. You will report to a Projects Manager and be joining a small but growing sub-team winning and delivering water efficiency research projects. For example, part of your role will be to support the delivery of an existing Ofwat Innovation Funded Water Literacy project which is developing a new training and accreditation offering on water.

The role
FareShare has a vibrant Fundraising team that has achieved incredible growth in support across income streams over recent years. To meet this ambition, we need to continue to grow our income and are looking for a Trusts and Grants Assistant who will be a key part of our Trusts and Grants team.
This is a new role that will lead on securing and managing grants of up to £10,000 and will provide support to the wider team on a range of functions, from bid development and supporter care, to research and prospecting, income reconciliation and record keeping. The role
You will be supporting the Finance Team for CIPD and a key player tasked with producing accurate financial data to enable effective decision-making across the business.
What you’ll be doing
- Using accounting system to process and manage financial transactions related to CIPD UK and CIPD Enterprises and potentially other entities within the group. Posting transactions and month end journals in NetSuite including prepayments, accruals and revenue deferrals.
- Day to day accounting activities include managing transactions in the ledger, ensuring coding is accurate and adjusting miscoding before the month end to minimise time it takes to close the month.

Working Hours and Location
This post is a permanent role, full-time contract (37.5 hours per week) with options for hybrid working.
The successful applicant will be expected to regularly visit all the London campuses ensuring a face-to-face offer for our members. Our current sites are located in Liverpool Street, Vauxhall, Dagenham and North Greenwich. Liverpool Street currently acts as our main hub.
As an organisation, we have an agile working programme which supports staff working from home. However, regular working each week is required onsite (minimum 3 days per week) and flexibility to meet additional business need is required, for example at certain times of the year on campus delivery may be required every day during busy student events (Welcome / Graduation etc). There may be some infrequent weekend and evening working for which time off in lieu will be given.
We have a flexible approach and are open to applications from candidates that may require some variation to the contracted hours or hybrid arrangements (although this is not a fully remote role and a minimum of 30 hours / 4 days is required). Salary Details
The salary is £29,605 - £33,966 (+ £3,000 London Weighing Allowance) per annum.
It is usual to start at the bottom of the grade and will increase incrementally on an annual basis however for a candidate with highly relevant previous experience an offer may be made within the grade range. The salary advertised is the full time salary, if the role is taken on a reduced hour basis the salary (LWA and holiday entitlement) will be calculated pro-rata accordingly.

The post holder will manage the existing e-learning resources as well as develop new e-learning offering to our members and users. Manage the e-learning content

- Demonstrating a good base knowledge and understanding of current employment law to ensure all administration tasks are completed compliantly.
- Ensuring that all payroll instructions are prepared and logged in time for the monthly payroll sign off and submitted to the Finance & Payroll Manager, for example; contractual variations, new starters, leavers, contractual benefits and staff benefits.
- Co-ordinating end to end HR recruitment processes, including Disclosure & Barring Service (DBS) check processing as required.
- Providing an effective Human Resources administration service relating to the employment lifecycle; recruitment, onboarding, leavers and exit interviews.
- Acting as systems administrator for Breathe, configuring the system as required, controlling all user access, managing data flows in and out of the system and ensuring accuracy and data protection compliance and liaising with Breathe to troubleshoot queries as required.
- Ensuring the Breathe HR Database accurately reflects current staff population. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave.
- To Provide HR data and reporting as requested.
- Ensure HR policy and procedures suit remain up to date and accessible to the wider business via central HR folders.

Skills & Experience
- Proven experience as a HR administrator or HR assistant.
- CIPD qualification or HR Certification is desirable or relevant HR experience.
- An understanding of HR processes and systems.

- Computer literate with programmes such as word, excel, etc.
- Good/current understanding of UK employment laws.
- Organisational skills and ability to prioritise.

Main Areas of Responsibility
As a Talent Acquisition Partner, your responsibility will be to deliver a best-in-class recruitment experience for both candidates and the stakeholders across our network of 54 primary and secondary academies, and in our central team. You will help embed a culture of best practice planning, sourcing, screening, interviewing and onboarding, as well as continually reviewing and improving processes to ensure we secure the best talent. Reporting to the Head of TA, you will line manage, coach and develop a Talent Acquisition Coordinator.
Reporting to the Head of Talent Acquisition, your responsibilities will include:
- Working with academy and head office senior leaders on delivering effective and diverse resourcing strategies for mid to long term recruitment needs.
- Meeting with hiring managers to qualify posts, to support in role creation, salary benchmarking and job/skills evaluation, and to plan a campaign and recruitment schedule for each position.
- Providing support, guidance and training to hiring managers on best practice, screening, reviewing applications, and supporting with panel interviews and/or preparation where needed.
- Supporting our in-house executive search function for senior appointments.
- Managing a high-touch recruitment process with both external and internal candidates to ensure the best possible candidate experience.
- Managing a robust full-cycle recruiting process for entry-level hires through to senior-level positions across the academy network and head office team.
- Developing new and existing sourcing strategies for talent pipelines, candidate pools and nurturing talent in line with workforce planning, from entry level to senior leadership.
- Helping develop and implement the use of testing and assessments to evolve our approach to skills/competency based hiring.
- Helping increase diversity and working with the wider People Services directorate on diversity and inclusion initiatives.
- Working with local HR teams and head office recruiters to oversee a the onboarding process and pre-employment screening.

About our charity
The British Association for Holistic Medicine and Health Care (BHMA) is a charity, with a small team, dedicated to promoting holism in healthcare. We are a membership organisation that is 40 years old this year and has produced a respected journal for over 20 years.
Role Overview & Aims
We are looking for someone who will drive the BHMA into a new phase of growth. Someone with passion and dedication who will believe in our purpose and help us achieve this. We want to grow our reach and find new members, journal subscribers and people to enrol on our course. We also want to start producing professional webinars and podcasts in the run up to our conference this Autumn. We would also like to streamline the administrative running of the BHMA to make it more efficient and sustainable, whilst growing our income streams.
How we work
The BHMA operates as a remote team however the hub is in the Bath/Bristol area with our AGM & a conference to be held near Bristol in 2024. We have 2-3 evening Zoom meetings per month and our remote administrator works mornings.
You will work from home using your own computer, however occasional face-to-face meetings would be a bonus.
Roles & responsibilities

Liaise with the trustees and attend meetings to provide regular updates on the ‘health’ of the charity and to share your vision for strengthening marketing and operations.
