The ISM is now looking for an Assistant to the SLT who will carry out a broad range of duties, from working with the CEO on external affairs and diary management through to being involved in all aspects of Board meetings and looking after the ISM’s offices. You will be comfortable working at a senior level liaising with a wide range of people from Board members to politicians and have excellent interpersonal skills and great attention to detail. You will be proactive, a great problem solver, trustworthy and committed.
You will be joining a professional staff team who are based in Bayswater, London. The role is for 28 hours per week and we envisage that you will work four days per week, three of which will be in the office.

The role
We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working with colleagues at a senior level, in an office environment, performing a range of administrative duties. Given the dynamic nature of the executive landscape, we will rely on the executive assistant to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Objectives of this role
- Support the CEO/COO primarily to ensure the smooth and efficient running of FareShare operations.
- Manage communication and contacts with external stakeholders including network and industry partners and board of trustees.
Main areas of responsibility
- Scheduling and calendar management, as well as content and flow of information to the leadership team, board of trustees and other external stakeholders
- Inbox management including responding to and redirecting emails and other correspondence as directed.
- Liaise with leadership team and other key colleagues across the organisation.

About you

ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group. Key responsibilities:
Chief Executive Officer assistance

Meeting management

- Process any travel expenses for the Senior Leadership Team.

This role will provide support to both the Chief Financial Officer and Chief Strategic Development Officer. This includes a range of responsibilities, full administrative support, secretarial duties, and project coordination for crucial cross-organisational initiatives, ensuring seamless execution and impactful outcomes.
We are seeking a candidate with proven experience in providing high-level support, adeptly managing complex diaries, and skillfully coordinating major meetings, events, and projects. The ideal candidate will have a track record of effectively supporting multi-stakeholder programs, making decisions with agreed parameters, and demonstrating strong communication and leadership skills. Additionally, the ability to prioritise effectively in a dynamic environment and take proactive steps to address challenges is essential for success in this role.

The Role:
This role will cover a wider area of executive support including governance, meeting management, senior leadership team support, managing on-line gatherings, travel management, diary management, correspondence management and relationship management.
The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. They will also assist the CEO in “standard agenda planning” for the board, for example, the induction of the new Board in early 2025.
Whilst the role is for 3 days per week, ideally this would be flexible, with the individual working more days at certain times (for example during the Board week) and less at quieter times.
MU is a small team, (about 25) and there is an expectation that all will show flexibility in helping out on areas not explicit in their role descriptions, when time and their expertise and ongoing workload allow
Who we are looking for
The ideal candidate should be proficient in handling the Microsoft suite, zoom, familiarity with handling databases and finance systems. They should be confident in taking minutes in board meetings, experienced in acting as a project manager, able to use a project tool to facilitate planning of schedules for SLT, Board and committees throughout the year, and possess excellent relationship skills, confident to liaise with board members and provincial presidents from around the Globe.

Work Location
This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

About the Job
As Executive Assistant you will –
Provide administrative support to the Chief Executive and work with the Senior Executive Support to the Board in carrying out their duties in supporting the Board of Trustees and the Leadership Group.
Key areas for impact/influence and responsibilities
Board
· Preparing for Board and Committee meetings.
· Prepare packs for Board meetings.
· Arrange flights, visas, hotel bookings and expenses for Board members.
CEO & Leadership Group
· Manage the calendar of the CEO, booking meetings with staff and external stakeholders.
· Manage the inbox of the CEO (pulling out key emails that need reading/replying / overdue).
· Prepare briefing packs for the CEO when going to external meetings and travelling.
· Organise and monitor CEO's monthly expenses.
· Arrange flights, visas, and hotel bookings for the CEO.
· Book meeting rooms or external venues for meetings.
· Work with the Leadership group to schedule meetings and take minutes of meetings.

Skills and experience required
· Significant experience working as an administrative assistant to senior staff.
· Significant experience in organising meetings.
· Experience in organising complex international travel essential.
· Ability to exercise discretion, and strong judgement and to take appropriate actions without supervision.
· Advanced level in Word, Excel, PowerPoint, and Outlook
· Experience in budget management
· Excellent verbal and written communication
· Demonstrated ability to develop and manage effective administrative systems.
· Proven ability to work on own initiative and to prioritise workload.

Are you an experienced Personal Assistant and passionate to make an impact?
We’re working with a fantastic charity who are looking for an experienced Personal Assistant to join their high performing team. You’ll provide high quality personal and administrative assistance to the Director. You’ll manage the Director’s diaries and appointments, as well as preparing and drafting correspondence as required.
You’ll oversee coordination and collation of reports for Board meetings as well as supporting the Director to ensure departmental deadlines are met for governance activities.
