In this pivotal role of Facilities Manager, you will be responsible for the management and successful delivery of all hard and soft facilities services across the Lambeth Palace estate.

You will work closely with the Head of Facilities & Steward to implement Health and Safety compliance across the estate and make Lambeth Palace a safe and well managed environment for our residents, staff and visitors.

The Role

• Ensure the Lambeth Palace estate is managed to the highest possible standard, ensuring all areas are well presented, safe, secure and compliant for all visitors, residents and staff alike.
• Review and regularly ensure all agreed security measures are in place and are communicated accordingly.
• Ensure all works undertaken across the Lambeth Palace estate are safely assessed and authorised before they are carried out.
• Review Health & Safety risk assessment submissions relating to operations and buildings, identifying and ensuring any corrective actions are completed.
• Work closely with the Hospitality Team to ensure events are assessed properly and robust H&S procedures are in place.
• Manage compliance and ensure best practice in the following areas: asbestos management, fire control management, water systems management, working at heights, electrical compliance, mechanical compliance, lifts, H&S inspections, etc.
• Ensure the proactive management of all hard and soft facilities tasks including, but not limited to office moves, PPM, reactive maintenance, office services and statutory compliance.
• Ensure that all planned and reactive maintenance are undertaken and completed within agreed schedules, frequencies, and statutory requirements.
• Implement and manage facilities contracts SLA's.
• Manage, query and follow up Facilities related tasks.
• Manage all utility contracts, council taxes and licenses.
• Line manage and give day-to-day supervision, direction and motivation to the Facilities Co-ordinators, Facilities administrator and Assistant.
• Manage the Facilities Helpdesk on a day-to-day basis ensuring requests, complaints and questions via telephone, e-mail or in person are acknowledged and acted upon within appropriate timelines and are escalated where required.
• Support and develop best practice standards, procedures, processes and expectations and deliver them to provide a first-class work experience.
• Ensure consistently high levels of customer service are delivered for all hard and soft service facilities and maintenance issues.
• Liaise regularly with contractors, making sure disruption to the Archbishop's family, other residents, staff and Hospitality is minimised and work is completed as quickly as possible.
• Ensure effective communication with the Archbishop's family, other residents, staff, Garden and Hospitality Teams on all work affecting the estate.
• Monitor and report on the Palace's environmental impact and initiating methods to improve sustainability.
• Assist the Head of Facilities & Steward in financial/budgetary management, including verifying and arranging payment of contractors' invoices and reporting on the annual budget.
• Where authority has been delegated, progress the work of the Head of Facilities & Steward in their absence and within agreed parameters, including out of hours working when required.

The Requirements

Essential

Qualifications:

• Hold NEBOSH General Certificate.
• IWFM qualification or equivalent experience.

Knowledge/Experience:

• Proven experience in hard and soft FM.
• Experience of leading, motivating and inspiring a team of facilities professionals to ensure that a diverse range of work is carried out.
• Experienced in leading H&S/compliance issues, including full management and organisation of health and safety records and systems.
• Practical experience of managing Health & Safety and carrying out risk assessments.
• Experience of dealing with a diverse range of stakeholders with a wide range of expectations, each requiring a different approach.
• Experience of overseeing a facilities Help Desk.

Circumstances:

• Whilst the NCIs are committed to wellbeing and work/life balance, a willingness and availability to work outside normal office hours (including some weekends) is required.
• Live within easy commuting distance to Lambeth Palace.
• Available to be contacted and/or attend the site out of normal working hours if required.

Desirable

• IOSH Managing Safely Certificate.
• First aid at work trained.
• Experience, knowledge or interest in the facilities management of historic buildings including full management and organisation of health and safety records and systems in a historic setting.

About the role:

As Facilities Assistant Manager, you will deliver the day-to-day provision of quality support services at World Vision UK, ensuring excellence and the best value to the organisation. You will ensure Health, Safety, Welfare and Environmental Compliance in our activities, training, and empowering colleagues as necessary. You will support remote workers and those at Hubs as per service standards. You will also provide full cover for the Central Services Manager in his/her absence (Operations and People).

• Manage regular and ad hoc external contractors such as security, cleaning, and maintenance, including scope and timing of work, quality control and change requests, within our Safeguarding protocols.
• Monitor, review, and administer Health, Safety, Welfare and Environmental systems to maintain and improve (through training, policy change and empowerment) our performance and to ensure all legal requirements are met. provide staff training and investigate accidents and incidents when required. providing regular reports.

Key skills required for this role:

· A level of education, or equivalent

· Good organisational and administrative skills.  Track record of successful staff supervision/management.

· A practical, solution and service focused approach to problem solving. Knowing what can be done internally, and which contractors need to be brought in when.

· Good interpersonal skills with the ability to multi-task, manage contractors and respond positively to changing priorities.

· Communicates clearly and consistently to multiple audiences.

· Knowledge and experience of current FM best practices, Building Management, physical security etc.

Office Coordinator (Maternity Cover)

The Office Coordinator position is responsible for the general day-to-day operations of the London, UK office.  Due to the nature of this position, work must generally be performed within a 30 hours / week timeframe (M-Fri). This role is an in-office role.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, with other duties upon request:

· General administration as required: call handling and forwarding, front door access controls, post management, post requests, staff access, etc.

· Support of facilities management: oversight of cleaning and maintenance contractors, management of office supplies and procurement, equipment maintenance requests, liaison with building management.

· Facilitating work from home set-ups and procurement and coordinating distribution to personnel as requested.

· Facilitating new starter set-up in collaboration with P&C (HR) & IT inclusive of onboarding, office orientation, etc.

· Responsible for ensuring a clean, safe, tidy, and professional office environment at all times.

· Ensuring the office is health and safety compliant and maintain a knowledge of UK regulations for workplace management.

· Manage any office security systems and accounts, fire drills, fire equipment maintenance, or required inspections. Maintain the fire safety equipment and ensure fire extinguishers are services and smoke alarms / detectors are functioning – conduct fire safety awareness training upon request.

· Manage corporate relationships and partnerships such as shipping vendors, office accounts, and more.

· Ensure the payment of facilities invoices within payment deadlines, including invoice tracking and coding.

· Manage and maintain key office supplies (including pantry supplies, office materials, first aid supplies, etc.). Inventory and maintenance of the storage unit.

· Manage the office access controls / visitor protocols of the office space and coordinate security enhancements / improvements upon request.

· Provides administrative support to the Grant, Contracts & Compliance Department in the coordination of contracts received to and shipped from the London office.

· Supporting staff in the office with questions, inquiries, and support needs.

 We are recruiting a Project Coordinator to oversee the delivery and development of a flagship Community Wellbeing Project, which operates in partnership with Brent Council. The project is a Community Hub hosted in a community space in Stonebridge (not in Sufra’s existing premises). Members of the project can access a Community Shop, a Community Café and Kitchen, and holistic support in the form of Advice casework and workshops. This collaborative project has been made possible due to the support of multiple partners and has already proven highly successful. It is likely to form the basis of a new model of support for people experiencing vulnerabilities that will be replicated across Brent and possibly elsewhere in London.

The Project Coordinator will oversee the delivery of the project, ensuring both the shop and the café operate effectively and in accordance with agreed standards and procedures. The successful candidate will help shape the project in the months ahead, whilst supporting guests, collecting data, and monitoring and evaluating the project. You will be responsible for managing delivery space, facilities compliance and controlling office equipment and supplies. Having previous administrative experience is beneficial but not essential.

To be successful in this role, you must have a good understanding of the challenges young people within our target groups face, to assist them when they arrive in our Centre. In this role no two days are the same, you get to be involved with many different functions of the Trust and interact with everyone who works in the Belfast Centre, this is why planning and organisation skills are a must.

The Central Service Coordinator will ensure Gaddum delivers its organisational objectives by coordinating efficient and effective Human Resources, People and Central workstreams.

Haringey Migrant Support Centre is a community-based organisation, with over a decade of experience supporting migrants in Haringey and neighbouring boroughs.  We provide free and professional advice, casework, referrals and signposting on issues relating to immigration, housing and welfare. In this role every detail counts towards maintaining organisational integrity and compliance assurance. You will play a crucial part in ensuring an effective and consistent delivery of compliance, repairs, maintenance and servicing of components and equipment to YMCA DownsLink Group’s properties, working closely with staff across the organisation, including internal operatives, and external contractors.

In delivering the role, you will provide continued assurance to the business, ensuring it remains compliance across the six (soon to be seven) key areas; namely gas, electric, water (hygiene), lifts (LOLER), asbestos and the imminent addition of the management of damp and mould cases.

This role reports to and supports the Health, Safety and Facilities Manager to ensure we streamline data and associated processes to improve speed and accuracy of data interrogation. You will run reports and produce key performance information at specified intervals on all aspects of compliance to provide adequate assurance to those responsible that accurate records are maintained, and appropriate evidence is retained.

In addition, you will be required to work closely with our Maintenance Administrator to ensure continuous cover is provided during absence or during particularly busy periods.

Hybrid role – mainly based at Reed House in Hove, with an expectation to work out of other locations across the YMCA DownsLink Group area when required. Working a minimum of three days at Reed House / on site and two days from home - working hours of Monday to Thursday, 9am to 5pm and Friday, 9am to 4.30pm.
