About the role
As our Senior Finance & Operations Officer, you will be at the heart of our organisation’s success. Working closely with the Director, Finance and Operations, you will help to manage financial processes, streamline operations, and ensure both our UK and EU teams are properly resourced to drive our mission forward. You will interact daily with a broad range of stakeholders in the UK and the EU including senior level staff, external consultants and suppliers in the while also working closely with Finance, HR & IT colleagues in the US.
Key responsibilities
Financial Management (30%)
- Support on day-to-day financial activities including financial reporting, accounts payable and accounts receivable.
- Develop and implement best practices to optimise operational efficiency and effectiveness.
- Collaborate with the team to develop and monitor project budgets.
- Support decision-making through insightful financial analysis.
Operational Support (40%)
- Be the first point of contact for all enquiries from the campaigns and fundraising teams in the UK and EU.
Contracts Lifecycle Management (30%)
- Oversee the lifecycle of all supplier contracts: creation, submission and signing. (Legal contract knowledge is not required.)
About you
You will be a confident, dynamic individual with a can-do attitude who has a proven track record of juggling competing priorities and meeting deadlines in a fast-paced environment. The role is varied and has a significant financial element so strong numeracy skills, a solid knowledge of financial management principles paired with good communications skills are important. Job Description
Job Title: Trusts and Foundations Officer
Reporting To: Trusts and Foundations Manager
Salary: £28,500 - £31,000 per annum (dependent on experience)
Location: Hybrid working from home and from five locations across London. We have four depots with offices in Park Royal, Deptford, Poplar and Enfield. There is a fully serviced office situated in Canary Wharf which is being piloted for 2024. Anticipation to be in a depot office or Canary Wharf at least twice a week.
Contract type: Permanent Full-time, 37.5 hours per week
About The Felix Project
The Felix Project is London's biggest food redistribution charity and the largest end-to-end food redistribution charity in Europe.
Our vision is a London where no one goes hungry and good food is never wasted.
We rescue surplus food from businesses, supermarkets, restaurants and farms. This food is nutritious, in-date, and safe and includes a high proportion of fresh vegetables, fruit, meat and fish. If we did not rescue this food, it would be at risk of going to waste. Instead, we deliver it free of charge to London charities, schools, food banks, COVID food hubs and other organisations serving people in need. Our food is a vital lifeline for children and families, people on low incomes, people who have lost their jobs, the homeless, refugees, domestic abuse survivors, the elderly and keyworkers.
We were founded in 2016 in memory of Felix Byam Shaw, by his father, entrepreneur Justin Byam Shaw.
Purpose of the Job
The Trusts and Foundations Officer will support the step change in growth of the Statutory, Trusts and Foundations income stream for The Felix Project. The team is expanding and is challenged to raise £2 million in income in 2024 from Trusts and Foundations. This target will continue to grow over the years.
You will collaborate closely with both the Trusts and Foundations Manager and the Senior Trusts and Foundations Manger to manage the warm portfolio through excellent stewardship, and to build on this strong foundation to create a high-quality pipeline of new funding opportunities to reach our aspirational income targets. The strategic direction of the team is set by the Head of Statutory Funding, Trusts and Foundations who reports to the Director of Income Generation and Marketing.

The role
The Receptionist will report to the duty manager(s) with a dotted line reporting to the assistant director of innovation.
The role will require managing the front desk and will include greeting visitors, answering the phones, handling financial transactions, members’ accounts, day-to-day bookings, prospective members’ inquiries and providing general administration support to provide a smooth running of the reception area. RFC Recreation Club: The aim of The Rec Club
- The Rec Club is responsible for providing a safe and welcoming environment for our club users, alongwith facilitating schools, groups, clubs, and Royal Free outpatients/ rehabilitation discharged patients, for their health and fitness sessions in one of the many areas of the club.
- The club has 2 studios, a swimming pool, a sports hall, and a gym, all of which are used daily by our members and the local community with a footfall of around 1000 people per day.
Receptionist Job Purpose and Key Responsibilities
- Greet and welcome visitors in a professional and courteous manner.
- Answer phone calls
- Schedule bookings for prospective and existing clients
- Oversee the club's booking system including updating and maintaining member records, taking payments for membership & usage of the club’s facilities, processing and issuing new membership applications and collecting insurance information.
- Maintain a tidy and presentable reception area.
- Receive and distribute incoming mail and deliveries.
- Provide general administrative support, including photocopying and filing.
- Assist with scheduling appointments and coordinating meetings for the club manager.
- Update and maintain club records and databases.
