About the Role
Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London.
We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills.
You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.
This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

Taking charge of the day-to-day financial activities and office administration of the organisation.

Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines.

Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

Preparing invoices and receipts to stakeholders as required.
-
Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review.

Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.
-
Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.
-
Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed.

Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance. TOILs will be provided when the meeting is held outside your normal working hours.

Assisting the CEO with board papers and circulating them to board members before board meetings.

Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

Arranging meetings for the CEO when required.

Assisting staff and board members with queries on finance or administrative matters.

Essential Skills

Accounting, finance, or economics qualification.

A minimum of two years’ experience in bookkeeping and administration roles.

Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

Understanding of the chart of accounts structure, cash/accrual accounting basis.

Understanding of the expense claim process.

Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

About the Role:
- Manage a team of IT professionals, providing guidance, performance feedback, and professional development opportunities whilst creating a sense of teamwork by pulling together colleagues with differing skillsets and expertise.
- Implement processes for tracking procurement, deployment, maintenance, and retirement of all IT assets including hardware, software, and licenses. This will require collaboration with our managed service provider.
- Act as the ITSM tool global administrator, assisting country program offices with maintenance, support, access, development of processes & training.
- Develop, update, and enforce IT policies and procedures in alignment with industry standards and organisational goals.
- Manage the IT departments hub on the internal intranet platform, ensuring that it provides up-to-date information, news, and resources to employees.
- Oversee the transition of completed IT projects from the internal IT operations team, with potential collaboration from 3rd parties to the MSP service delivery team.
- Collaborate with the finance department to code, integrate, and maintain IT-related financial transactions in the organisation's financial systems ensuring accurate allocation of costs, budgets, and expenses related to IT operations.
- Provide oversight and leadership to the Global IT Operations team to ensure a high-quality service is delivered that meets the needs of the stakeholders.
- Establish and maintain a centralised knowledge base repository containing technical documentation, troubleshooting guides, best practices, and user manuals.
- Ensure that IT policies are communicated effectively to all relevant stakeholders and are consistently followed.
- Evaluate and implement automation tools and technologies to streamline repetitive tasks, improve efficiency, and reduce human error.
- Develop technical relationships with key suppliers and business partners.

Responsibilities of the role
Finance – approx. 40%
Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.

Set up weekly payment runs for approval by the Head of Finance.

Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

Job Description
The IRC UK’s Finance Team seeks to achieve excellence in financial management by providing accurate and timely financial information to IRC management and programs and by adhering to established financial practices and accounting principles. The Finance Assistant – Operations assists the UK Finance team in delivering its objectives and providing effective support to IRC UK. - Validate travel expenses in advance of staff travel, and process expenses on return.
- Maintain the filing system for financial documentation

Grants

- Work with programme managers to ensure programme projections are updated, and organise monthly meetings to review BvA and projections, to ensure programme implementation is aligned with expected budget consumption.
- Provide financial inputs to formal grant reporting.
- Prepare budgets to support GISF proposals for new funding.
Corporate
- Assist in the preparation of GISF’s annual budget, including briefing the Treasurer and Board as required.
- Develop quarterly budget reports and forecasts for submission to the Board of Directors.
- Contribute to the update and development of GISF’s financial policies and procedures with the Business and Operations Manager
- Coordination with the Finance departments of GISF’s partner organisations.

Person Specification
Essential Skills/Experience
- Relevant qualification in accounting – AAT or equivalent
- Knowledge and experience using Xero or similar platform
- Knowledge and experience of using an expense processing platform
- Advanced knowledge of Excel (e.g. ability to create and manipulate pivot tables and use functions such as VLOOKUP and SUMIF) (This will be assessed)
- Good communication skills and good written and spoken English
- An eye for detail and a systematic approach to work

We are looking to recruit a bilingual, French and English speaking, Grants Officer to join our dynamic team of dedicated sexual and reproductive health and rights specialists. The Grants Officer provides support to the Grants Support Team and Grants Operations Manager across a portfolio of grants, ensuring grants move efficiently and in a timely manner through the grant management cycle. The Grants Officer will be trained to become an advanced user of our online Grants Management System Fluxx and will guide and support users who are less conversant with the system. The Grants Officers also support operational management of the fund with the development and maintenance of efficient operating and reporting procedures.
AmplifyChange is a bi-lingual fund. Due to the current team composition, fluency in French is required, as the postholder will support our Francophone grantees, who are based across West-Africa and occasionally the Middle East and North Africa (MENA) region.
The role is a Bath-based position and will work closely with team members in the UK and overseas, including our Grants Support Team, our Finance Team and our Fiduciary Risk Team.
MAIN RESPONSIBILITIES
- Using our online Grants Management System Fluxx, oversee a portfolio of grants through a grant implementation process from grant set up through to grant closure, ensuring compliance with internal procedures
- Act as the operational focal person for grantees and provide support throughout the grant cycle on contractual, operational and reporting matters, drawing on and coordinating expertise from the Grants Managers and Fiduciary Risk Team (FRT)
- Provide support in the preparation and implementation of new grant calls, and support the selection and Due Diligence process when necessary, responding to all applicants whether successful or unsuccessful
- Regularly monitor the completion of pre-contracting conditions by grantees, and obtain appropriate sign-off internally
- Coordinate, draft and issue Grant Agreements and Addendums using our online system
- Provide regular and up-to-date information to operational management by tracking and monitoring grants, and sharing best practice and lessons learned across the portfolio of grants with other staff members and stakeholder
- Track grantee reporting deadlines, supporting timely report submission by grantees
- Monitor grantee disbursements in collaboration with the Fiduciary Risk and Finance teams

REPORTING AND ORGANISATION
This is a UK based, full time (37.5 hours/week) permanent position, reporting to the Grants Operations Manager. AmplifyChange is based in Bath, and we operate on a hybrid working model. Requests for flexible working arrangements will be considered. We can only accept applications from those with proof of the right to work in the UK. Occasional national and international travel may be required.
SALARY AND PACKAGE
Basic salary range: £ 26,000 - £ 29,500 (dependent on experience)
