About the team
At Shelter Bristol we provide housing advice and support to people across the city and strive for change to address the underlying systems that are causing the housing emergency. The range of support also includes legal representation, practical DIY assistance, and welfare benefits advice, so people can address their housing and other related issue. We also raise awareness of housing rights within the community so people can take their own actions and work in partnership with other local organisations.
About the role
You will be the first point of contact for in-person and telephone callers to the service - taking client details, providing information and working with advisers to direct enquiries to the right people.
You’ll provide administrative support functions and have responsibility for designing and developing office systems and processes, data input, extraction and analysis and finance administration. Helping front line staff with case administration, assisting the Hub managers with ad-hoc projects and seeing that our office equipment is properly maintained – all are aspects of this interesting, varied and vital role.

Editorial Assistant role
This is a permanent, part-time role for an Editorial Assistant, working remotely (UK). We are looking to recruit a bilingual, French and English speaking, Grants Officer to join our dynamic team of dedicated sexual and reproductive health and rights specialists. The role is a Bath-based position and will work closely with team members in the UK and overseas, including our Grants Support Team, our Finance Team and our Fiduciary Risk Team.
MAIN RESPONSIBILITIES
- Using our online Grants Management System Fluxx, oversee a portfolio of grants through a grant implementation process from grant set up through to grant closure, ensuring compliance with internal procedures
- Act as the operational focal person for grantees and provide support throughout the grant cycle on contractual, operational and reporting matters, drawing on and coordinating expertise from the Grants Managers and Fiduciary Risk Team (FRT)
- Provide support in the preparation and implementation of new grant calls, and support the selection and Due Diligence process when necessary, responding to all applicants whether successful or unsuccessful
- Regularly monitor the completion of pre-contracting conditions by grantees, and obtain appropriate sign-off internally
- Coordinate, draft and issue Grant Agreements and Addendums using our online system
- Provide regular and up-to-date information to operational management by tracking and monitoring grants, and sharing best practice and lessons learned across the portfolio of grants with other staff members and stakeholder

This is a UK based, full time (37.5 hours/week) permanent position, reporting to the Grants Operations Manager. AmplifyChange is based in Bath, and we operate on a hybrid working model. Raising Futures Kenya is an award-winning small UK charity, working closely alongside a wonderful partner NGO in Kenya to deliver a hugely successful vocational training and business skills programme called Seed of Hope.

Purpose of the position
The primary role of the Governance Assistant is to provide administrative support to the workstreams under the Head of Governance, which include but are not limited to, annual work plan, royal charter, bylaws, elections, policies and procedures and GDPR compliance.
The Governance Assistant will act with integrity, positivity, energy, and adaptability, using their skills to build effective relationships and work within a shared vision.
The Governance Assistant will be a member of the Business Administration Team and will focus on supporting the Head of Governance to ensure the maintenance of high-quality governance processes within the organisation.

The Governance Assistant’s duties and responsibilities include:
Governance

Work closely with the Head of Governance to ensure the charity is compliant with regulatory requirements
-
Maintain a good understanding of the governance processes and requirements, and work closely with the Head of Governance to ensure they are efficiently and effectively managed
-
Maintain a good understanding of the implications for the role and organisation of the requirements of GDPR and other relevant legislation
-
Maintain a good understanding of the need for effective policies and procedures, sustained within a robust review process
-
Support the efficient and effective day-to-day functioning and co-ordination of the administrative activities associated with governance within the College of Paramedics
-
Prioritise and time manage the administrative workload appropriately to meet specific deadlines.

Support the Head of Governance on the election of trustees and member representatives as required, working with the Membership, Marketing and Engagement team and liaising with candidates, election services and incumbents.

Provide administrative support for various governance aspects around the Board, Councils, member meetings, reporting and the Chief Executive Group

Provide administrative support for aspects of Board Meetings/Committees and resources in the absence of the Executive Assistant to the Chief Executive

Support with timely production of relevant minutes, reports, action summaries and follow ups alongside the Executive Assistant to the Chief Executive and Head of Governance

Coordinate travel, venue bookings and accommodation for Board, Committees and Councils where appropriate

Provide administrative support to the Royal Charter project

Work closely with the Head of Governance to ensure relevant information is shared with third parties or stakeholders

Oversee the formatting and editing process associated with key documents, in line with branding guidelines;

Develop and maintain effective electronic filing systems ensuring that information is kept securely and is accessible as appropriate;

Attend physical meetings at locations within the United Kingdom, as required;

Undertake other tasks or projects that may arise;
Business Administration

Providing cover and administrative support to the Executive Assistant to the Chief Executive and Personal Assistant in any absence or when the needs of the business demand

Coordinating electronic diaries;

The coordination and business arrangements for College of Paramedics meetings, including serving as a Secretariat for meetings, various established or short-term functions of the College. This includes but is not limited to preparing agendas, taking minutes, action logs, sourcing venues, liaising with delegates, booking travel and accommodation, catering, sourcing audio visual equipment and facilitating remote attendance, collating meeting documentation, recording minutes and /actions;

Assist with the co-ordination of General Enquiries received by the College of Paramedics over the phone or via email/dedicated mailbox, including tracking responses to ensure all enquires are dealt with in a timely manner;

Undertake and complete an ongoing development review process, set by, and reviewed on an ongoing basis.

This is a new role to deliver projects to raise our profile, enhance our brand visibility, drive engagement, raise income and help us to develop positive relationships with our key stakeholders and audiences.
Key responsibilities, reporting to the Head of Marketing and Communications:
- General: Provide day-to-day marketing and communications support to the wider organisation and to promote our programme delivery and our philanthropy advice offers.
- Web: Regularly review and update existing website content, including responding to requests from across the team.
- Social media: Manage the social media calendar, including sourcing and creating content, across all platforms – in line with our content and marketing strategy.
- Engagement and evaluation: Grow engagement with our channels and evaluate our social media and web activity as well as manage our Google analytics, producing reports as required.
- E-communications: Create e-newsletters, e-bulletins and deliver other email marketing as needed and manage relevant mailing lists in line with GDPR.
- Storytelling: Build our storytelling resources (case studies, photos, film) to enable us to demonstrate the impact of our work and to inspire more donors to support us and groups to apply for grants.
- Copywriting: Create copy as needed for marketing collateral and publications, reports, campaigns and website.
- Press and PR: Research stories, produce press releases and case studies, maintain media lists and record and evaluate media coverage.
- Brand Management: Manage our library of brand assets. Liaise with grant recipients regarding the acknowledgement of our funding and use of our logo. Review and establish a new online Photo Library, ensuring imagery is collected and stored in line with GDPR.
- Printed materials: Manage the design and production of reports and marketing collateral.
- Events: Support the delivery of organisational events and attend relevant external events to promote our programme delivery and our philanthropy advice offers.
- Video editing and creation: Develop our capacity to produce our own video content to support our marketing and communications activities.
- External suppliers: Liaise with printers, web agency, caterers and other suppliers when required.
- Contribute as a team member to the overall development of the Community Foundation.
- Undertake any other reasonable duties and responsibilities as directed by the Head of Marketing and Communications.

- A natural storyteller with excellent written skills. Experience of writing engaging and inspiring copy for different audiences, channels and functions desired.
- Social media savvy. Experience in managing content and growth across multiple channels desired.
- A good eye for design with a strong understanding of brand. Experience of using software packages to create basic print materials as well as digital and video content desired.
- Embraces technology. Experience of using a range of digital communication channels and tools, and comfortable with content management systems, email management software and social publishing tools desired.
- Excellent interpersonal and communication skills, including the ability to build and maintain relationships with internal and external stakeholders and supporters.
- Excellent administration skills and attention to detail.
- Highly organised and happy to juggle projects and activities and respond swiftly to circumstances when required.

This is a full-time (Monday - Friday working 9am - 5pm) position and with opportunities for hybrid working with some time each week in our office in central Devizes. Occasional travel throughout Wiltshire and Swindon will be required so the ideal candidate will be based in the county and therefore a driving licence is desirable.
