You will provide support to our Cost-of-Living Crisis Clinic Consultant to co-ordinate the efficient service delivery of our busy Cost-of-Living Crisis Clinics, used by clients who need assistance to make successful applications for: welfare benefits; social housing; lower utility and broadband tariffs; and crisis and general grants.   You will work with a wide range of people internally and externally, providing support and supervision to volunteer advisers and helping clients.

You will be a confident communicator who will have the right blend and balance of strong administration skills with excellent interpersonal and customer-facing skills and legal knowledge, working for a charity supporting and enhancing the lives of people in the local community.

This role is central to Westway Trust’s commitment to deliver activities and events to the benefit of the North Kensington community. You will also work from and help to co-ordinate the delivery of our Cost-of-Living Crisis Clinic at our outreach site, St Luke’s Community Centre, EC1V.

Key responsibilities of the role include but not limited to:

General Duties

• Being the initial point of contact; receiving calls and emails from clients and referring agencies, , and booking client appointments in an efficient and timely manner
• Setting up and clearing away after Cost-of-Living Crisis Clinic sessions, (currently, Tuesdays, at St Luke’s Community Centre, 90 Central Street, Islington, EC1, and Wednesdays at Westway Trust, 1 Thorpe Close, Ladbroke Grove, W10).  Sessions start at 9.00am and finish around 1.00pm
• Meeting, greeting and orienting (showing where the facilities are and H&S guidance) clients and volunteers
• Triaging clients on to our database and referring clients who are out of scope to other relevant organisations
• Assisting clients to complete online and paper forms both face-to-face and remotely
• Liaising in a positive manner with our stakeholders, eg. clients, other teams within Westway Trust, our funder, a City Law firm, and our hosts, Westway Trust and St Luke’s Community Centre
• Responsibility for monitoring our work, completing simple reports, writing case studies, making sure volunteers complete their data entry after advising clients, and running case management statistics using AdvicePro, our case management system) (training on AdvicePro will be provided)
• Recruiting, inducting, training and supervising volunteers both corporate (from the City) and lay (students and local residents)
• Casework; writing up case notes about clients helped
• Attending relevant meetings and training and keeping resources up-to-date
• General administration including: photocopying, scanning and record keeping, and coordinating the general day-to-day activities of the Cost-of-Living Crisis Clinics

Appeals & Representation Duties

Responsibility for our legal appeals representation service, including:

• Triaging clients, including reading appellant’s hearing bundles to assess the merits of their case
• Case management of appellants’' appeal cases, (ie, smooth management of appellants' cases from inception to post-hearing)
• Attending hearings
• Guiding and case managing lawyers/law students on applications for leave to appeal/set aside to the Upper Tribunal/Judiciary, (from the Lower Tribunal).  Full training will be given

Qualifications: You will have or be working towards a law degree or equivalent.

Responsibilities include participating in the operational and administrative activities of the finance function, leading to the accurate recording of financial information for accounting purposes, as well as managing financial records, and supporting our grant-making processes.

Responsibilities of the role

Finance – approx. 40%

Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

• Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

• Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

• Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

• Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.  

• Set up weekly payment runs for approval by the Head of Finance.

• Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

• Complete month end tasks, enabling to the Head of Finance to close the month, including selected balance sheet reconciliations.

• Keep Gift Aid records up-to-date and assist the Head of Finance with the preparation of Gift Aid claims.

• Assist with the year-end audit, ensuring all relevant paperwork is tidily filed.

• Collaborating with the fundraising team, exploring fundraising and donation collection mechanics, identify new developments in the sector and helping to embed any system changes.

• Train and support the charity team on the charity’s finance processes.

• Provide cover for the Governance & Team Co-ordinator in periods of absence.

Grants – approx. 60%

• Support the Grants Team to process charity applications for funding, including communicating with interested parties, summarising applications, compiling relevant information, conducting research as required and helping to organise related meetings and Grants Panels.

• Preparing and processing funding agreements, reporting forms and other associated paperwork for grants.

• Working with charities to collect and develop storytelling information such as quotes, pictures and case studies, and support sourcing participants and contributors for radio interviews and other editorial pieces as needed.

• Supporting the team in the organisation, planning and delivery of our skills training programme for charities.

• Writing copy for our website and newsletters, and ownership of our communication planner for our charities.

• Managing the Grants Team inbox and being the first point of call for queries.

• Leading on the management of data and uploading of information on our database (Salesforce), complying with GDPR requirements.

• General administrative tasks across the both the Grants and wider charities team, undertaking adhoc projects and supporting initiatives and events as requested.

The Grants Programme Assistant will support both the Executive Director and the Assistant Manager across the remit of the SCLF’s work to help it deliver its objectives. This is a unique and interesting opportunity to join the organisation at a key point in its ten-year trajectory as it works to support schools to continue their language provision post 2026 and help shape what that future might look like. 

The postholder will play a key role when it comes to supporting the Executive Director and Assistant Manager in their day-to-day roles and get very involved in the operations of the Foundation. The work will cover wide remit of areas including: financial administration, supporting with termly funding reports-and-request process for schools, preparing internal expense requests and maintaining the expenses log. You will support with the annual Grant Agreement extension process, general programme administration, the annual data requests and the organisation of annual assessment visits to Centres. The postholder will maintain relationships with the Foundation’s network of schools and other institutions. Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Conducting weekly payment runs via our online banking system

Organisational Background

The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.

Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.

Cara Objectives ‘To assist academics who have been, or are, or are at risk of being, subject to discrimination, persecution, suffering or violence on account of race, religion, nationality, membership of a particular social group, or political opinion, to relieve needs among them and their dependants and ensure that their specialist knowledge and abilities can continue to be used for the benefit of the public.’

‘To advance education by supporting academics and their educational institutions in countries where their continuing work is at risk or compromised, to ensure that such academics and institutions can continue to fulfil their critical role as educators for the public benefit.’

Part-time Fellowship Programme Assistant Role & Responsibilities

· Produce a weekly list of payments.

· Produce financial paperwork.

· Schedule Fellows’ placement disbursements on SalesForce (SF) – those having simple funding allocations and support the schedule of more complex funding requests when needed.

· Update disbursement details once paid on a weekly basis.

· Input payments made via our Pleo card to SF and link allocations.

· Update details for new grant requests (funding request status, disbursement details, and relevant allocations) and ongoing requests when needed.

· Support management of Fellowship-related grants (English, hardship, mentoring, small grants).

· Create payments and allocations for opportunities on SF once an award letter has been issued.

· Track invoice status and notify colleagues to initiate the invoicing process.

· Send invoice requests to our bookkeeper and update the relevant opportunities and payments on SF.

· Draft invoices when needed.

· Update opportunities and payments on SF for invoice paid/funding received.

· Analyse data for reporting to stakeholders and donors.

· Assist during the yearly audit.

The Assistant Archivist will join the Paul Mellon Centre (PMC) at a time of consolidation: formally established just over ten years ago with much of the essential groundwork laid, the archive is now a thriving repository with offers, acquisitions and reader engagement growing at a rapid pace. This position is situated within a small team of five information professionals who work closely together to embed professional best practice and deliver a high standard of service to internal and external audiences.

Who We Need

We are looking for someone who will support the Archivist, Records and Data Protection Manager to successfully manage the demands of a busy and growing repository.

You will assist with the everyday work of a small specialist archive including, in particular, reducing the cataloguing backlog and helping ensure that all archive collections held at PMC have been appraised, catalogued and are accessible to interested audiences. You will help assess offers and liaise with donors regarding the acquisition of new material. You will assist with the promotion of the archive collections, supporting the Centre’s commitment to audience reach and fulfilment. You will have specific responsibility for overseeing the day-to-day operations of the Public Study Room and copying service. You will work to embed best practice across all areas with a view to securing Archive Accreditation.

This role would suit an experienced professional who embraces all aspects of core archival work, thrives on juggling competing demands but also relishes seeing projects through to completion. The PMC is an educational charity that champions new ways of understanding British art history and culture. We publish, teach and carry out research, both in London at the Centre and through our online platforms. Our archives, library and lively events programme are open to researchers, students and the public. Key Tasks

• Maintain accurate and up-to-date records of all high value fundraising activity, including proposals, applications, and donor interactions, and be able to regularly report this activity back to the Head of Philanthropy.

• Manage a portfolio of low-mid level prospects and existing donors, developing clear strategies to cultivate relationships and secure continued philanthropic support of £1,000 to £10,000. Lewisham Foodbank is run by Transform Network (www.transformnetwork.london), a partnership of local churches. The foodbank, which has been operating since November 2012, is founded on Christian principles. Purpose of the Post

This role will support the smooth running of all Lewisham Foodbank operations by providing effective and supportive communications to those who contact the main Foodbank phone line and inbox. The postholder will be based at the New Hope Centre office (353H Bromley Road, SE6 2RP) and will respond to enquiries in a timely manner with relevant information, or direct them to the relevant staff member. The candidate must have excellent interpersonal skills and will communicate well with other team members, clients and external organisations to troubleshoot when challenges arise, sometimes being required to provide information and support to people facing complex and distressing situations. The postholder will liaise and work closely with the rest of the team to ensure safeguarding procedures are followed and communication is in line with our policies and values.

Lewisham Foodbank works on a referral system and works with over 500 local organisations who refer people to our services. The postholder will be responsible for setting up new referral agencies on our system and sending out onboarding information and regular updates to these partners. They will also have responsibility for checking requests for home deliveries and coordinating the preparation and administration of these with a small group of delivery volunteers. This may occasionally require phoning clients and packing deliveries themselves if a volunteer has not been able to attend.

Main Duties & Responsibilities

● Respond promptly to enquiries on the main food bank phone and inbox from visitors, referrals organisations, donors and others.

● Either reply to enquiries or forward to the relevant member of staff.

● Sort emails into relevant folders and update records, when necessary, on the data collection system.

● Assess requests for deliveries and co-ordinate with delivery volunteer teams to prepare and deliver to a small group of clients’ homes.

● Liaise with referral agencies when more information or communication about deliveries is required.

● Keep the database updated with delivery requests.

● Set up new partners as referral agencies on the Data Collection System and send them all the relevant onboarding information.

● Contact referrers where clients have exceeded voucher limits and agree ongoing support in collaboration with the Project Manager.

For a small but vital refugee charity, we are recruiting an Interim Head of Finance for 3 + months, starting ASAP. Reporting to the CEO, the main accountabilities will focus on providing insightful monthly management accounts and reporting to the Senior Leadership Team and Trustees / Board, and to ensure the correct allocation of expenditure to a high number of grant funds. In this role, you will play a vital role in overseeing our in-house and community-based Sport Project. Your aim: To help make physical activity accessible to those experiencing homelessness.

About the role:

As the Sports Manager, you will be responsible for The Sport Project. You will be overseeing the day to day running of the project and management of the team including Sports Coordinators, freelancers, volunteers, and peers. You will be leading on expanding the reach of the project, forming partnerships with like-minded organisation and charities and advocating for the importance of physical activity within the homeless sector.

In your role, you will also manage relationships for grant givers and funders, including being responsible for budgets, reporting and reconciliations. Additionally you will support the team in the wider role out of the project across the homelessness community, at time this may involve helping to deliver a proportion of physical activity and helping to engage wider groups of participants and staff.

The approach taken with clients will be psychologically informed, incorporating an understanding of complex trauma and addiction. The outcomes for your role, include developing positive and sustained relationships with external partners and helping to make physical activity accessible.

About you:

• Experience managing staff or volunteers and freelancers.
• Experience and knowledge of managing projects or partnerships.
• Experience working with people from a variety of backgrounds and in different settings.
• Your toolkit includes practical expertise in group dynamics and co-production, or you have the enthusiasm and aptitude to develop these skills.
• Experience of working or supporting vulnerable people, rough sleepers or people with mental health, physical health or substance use support needs.
• A non-judgmental approach to working with multi-disadvantaged/complex needs clients and to promote a strengths-based approach and an understanding of and commitment to Equality, Diversity, and Inclusion.
• Strong team-working and interpersonal skills, maintaining a collaborative approach to delivering .service objectives across work specialisms.
