Purpose of the Operations Manager role:
As Operations Manager, the successful candidate will play an integral role in the effective day to day management of key business support services including operations, IT data and premises. The role includes line manage responsibilities of the inhouse team as well as maintaining key relationships with outsourced companies to ensure objectives are met.
Key duties and responsibilities of the Operations Manager:
Operations:
- Manage the non-pay elements of the Operations Budget, including IT budget. (approximately £400K annually)
- Ensure that the technical, digital and office environment needs of all staff (across all sites and remote workers) are fit for purpose and adequately resourced
- Compliance with Health and Safety legislation
- Oversee the effective management of communal facilities, office resources and equipment.
- Responsible to complete, monitor and maintain the Operations Risk Management register.
Data Protection and Management:
- Provide subject matter expert advice on GDPR compliance and data protection.
- Responsible for co-ordinating the Data Champions Group to ensure that all Data Protection Polices are kept up to date.
- Responsible for all Subject Access and Right To Be Forgotten Requests
- Act as the ICO liaison.
- Responsible for setting GDPR training requirements
- Manage the Intranet and SharePoint sites
- Responsible for ensuring that the CRM operates in line with WA’s IT and GDPR Policies.

IT:
- Work with the external IT contractors to ensure effective delivery of the WA IT strategy.
- Ensure effective management and coordination of IT systems, equipment, office machinery, premises, and services.

What we are looking for in our Operations Manager:

The Head of Global Operations is a key member of the Global Resources Team, responsible for professional business support at both a strategic and an operational level across the organisation. As Process Improvement Specialist, you will:

About you:
To be successful in this role you should be truly process driven, with experience of implementing new processes and streamlining existing ones, with a knack for understanding a problem, analysing, and then fixing it. You’ll need to be a people person, as you’ll be business partnering colleagues and ‘meeting them where they are’, as they map out their processes and identify areas for improvement. You’ll need to be very detail orientated, and it would be beneficial if you have some Six Sigma certification to support your experience in process improvement. Under the leadership of the Chief Operating Officer, the Finance, IT, Governance and Risk, Efficiency and Sustainability, Facilities and Legal teams provide professional business advice and central support to Dogs Trust. These traditionally ‘back-office’ teams work closely with the rest of Dogs Trust to enable them to work more efficiently and effectively to deliver our mission. Current turnover is in excess of £110m and is still growing and staffing levels are approaching 1,500 FTE. The Efficiency and Sustainability function is being introduced as a new department in a response to the growing need to work in a more cost effective, sustainable and strategically commercial way.

About the role
The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.
The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. There is the opportunity to support membership and services, including giving tours to prospective members.
In addition to assisting with the administration of E-books, the role requires processes associated with the management of the print journal collection, including serials and donated materials, such as checking in new issues and ensuring publications are shelved correctly, applying stamps, recording invoices, recording changes in publishers' information and preparing completed volumes of serial parts for binding and checking.
There is potential to grow and develop the role, which will join our busy Acquisitions and Discovery team and assisting with administrative tasks associated with cataloguing along with supporting the Library’s internal Digitisation processes as required.
About you
Flexible and adaptable, with an ability to get on with a wide variety of people, even under pressure, you will have proven experience of working in a Library environment and of basic clerical/administrative routines.
You will have exceptional organisation and communication skills with the ability to convey information clearly and courteously, with a methodical approach to tasks, including physical duties such as shelving.

About the role:
As the Sports Manager, you will be responsible for The Sport Project. You will be overseeing the day to day running of the project and management of the team including Sports Coordinators, freelancers, volunteers, and peers. You will be leading on expanding the reach of the project, forming partnerships with like-minded organisation and charities and advocating for the importance of physical activity within the homeless sector.
In your role, you will also manage relationships for grant givers and funders, including being responsible for budgets, reporting and reconciliations. Additionally you will support the team in the wider role out of the project across the homelessness community, at time this may involve helping to deliver a proportion of physical activity and helping to engage wider groups of participants and staff.
The approach taken with clients will be psychologically informed, incorporating an understanding of complex trauma and addiction. The outcomes for your role, include developing positive and sustained relationships with external partners and helping to make physical activity accessible.
