Job description

Location: Sidley House, Trafford
Reporting to:     Development Manager
Hours: 22.5hrs 9am-4:30pm (Tuesday, Wednesday, Thursday)
Salary: £12,000

Job Purpose To complete general administrative tasks and to support the day to day office operations of the charity.

Working at Once Upon a Smile’s head office at Sidley House, you will be the first point of contact for bereaved families and other professionals contacting the service. You will need to communicate sensitively; ensuring families are given clear information about the support Once Upon a Smile can offer.

As a small team, flexibility is essential, staff may be required to carry out other duties
within bereavement services other than those listed below.

Main duties:

All administrative duties required to facilitate the delivery of high-quality bereavement services.

Support with the preparation of materials and organisation of a range of programmes including; residential weekends, memory days, bereavement groups and other family events.

Welcome and respond to visitors to Sidley House.

To participate in the taking of notes during assessments under the direction of the Bereavement Development Manager.

To participate in the arrangements for scheduling appointments.

To update records on our database and other electronic and paper formats, and to support the effective management of office filing systems

Make trips for tasks including collecting resources and general office supplies.

Liaise with outside agencies and referrers.

Dealing with incoming/outgoing post.


Selection Criteria:

To enable us to shortlist it is vital that you provide us with sufficient information to demonstrate how you meet or exceed the criteria outlined in the vacancy description.
 

Essential Criteria:

Excellent telephone manner, a sensitive and caring disposition

Excellent minute taking skills, interpersonal skills

High degree of accuracy required whilst working under pressure

Administrative/secretarial experience

Ability to handle sensitive/highly confidential information

Familiarisation with databases, spreadsheets and presentation packages, excel, word, PowerPoint

Demonstrate that you can work as part of a Team


Desirable Criteria:

Previous experience of working in a bereavement setting would be an advantage but is not essential.
