Purpose of the Operations Manager role:
As Operations Manager, the successful candidate will play an integral role in the effective day to day management of key business support services including operations, IT data and premises. The role includes line manage responsibilities of the inhouse team as well as maintaining key relationships with outsourced companies to ensure objectives are met.
Key duties and responsibilities of the Operations Manager:
Operations:
- Manage the non-pay elements of the Operations Budget, including IT budget. (approximately £400K annually)
- Ensure that the technical, digital and office environment needs of all staff (across all sites and remote workers) are fit for purpose and adequately resourced
- Compliance with Health and Safety legislation
- Oversee the effective management of communal facilities, office resources and equipment.
- Responsible to complete, monitor and maintain the Operations Risk Management register.
Data Protection and Management:
- Provide subject matter expert advice on GDPR compliance and data protection.
- Responsible for co-ordinating the Data Champions Group to ensure that all Data Protection Polices are kept up to date.
- Responsible for all Subject Access and Right To Be Forgotten Requests
- Act as the ICO liaison.
- Responsible for setting GDPR training requirements
- Manage the Intranet and SharePoint sites
- Responsible for ensuring that the CRM operates in line with WA’s IT and GDPR Policies.
- Responsible for monitoring the ongoing archiving connection.
IT:
- Work with the external IT contractors to ensure effective delivery of the WA IT strategy.
- Ensure effective management and coordination of IT systems, equipment, office machinery, premises, and services.
- Plan, develop and implement strategies for IT
- Ensure organisation wide compliance with IT policies.
- Manage responsive IT support, maintain central records for externally provisioned services.

What we are looking for in our Operations Manager:
- Experience and knowledge of a variety of software packages, particularly MS products

Head of Wellbeing and Grants – The Solicitors’ Charity
We’re looking for a Head of Wellbeing and Grants to provide collaborative leadership to the Wellbeing and Grants Team and its operations, which are the centre of the Charity’s core charitable activities. As well as running a personal caseload, you’ll work with the team to develop a systematic approach/methodology to case management practice and review, rooted in case management best practice.
Salary c£56,500 to c£63,500 rising to c£57,500 to £64,500 after a 6-month probationary period. The point on these salary ranges at which you will be paid is dependent on your location.
Flexible working arrangements are possible, including homeworking with occasional attendance in person at meetings, largely in central London. Most staff work from home, though we also have an office in southwest London (SW12).
The Head of Wellbeing and Grants role
We have recently agreed our strategy for 2024-2026 and one of the focus areas will be, with the CEO and others, to ensure the successful implementation of the 3-year Strategy, focussing on the Wellbeing and Grants aspects of the strategic aims.
As holder of this senior role, you will lead in collaboratively designing and implementing a consistent methodology for, and systematic approach to, new and existing clients contacting the Charity. You’ll also ensure that the tools and technology used to do this are in place, used consistently and reviewed regularly. As well as management oversight of the Wellbeing and Grants Team, you will also hold a personal caseload and be expected to support Case Managers with particularly challenging cases.
We’re looking for someone with at least 10 years’ experience in casework practice in a client support or advice setting dealing with conversations with people with complex needs and sometimes in distress. And with at least 3-5 years’ experience in leading/managing a client support function like casework or grants/awards team.
Other key demonstrable skills and experience include having completed other relevant qualifications/training and courses in the sphere of advice and support work e.g. counselling, case management practice, therapeutic approaches et al.

The Head of Global Operations is a key member of the Global Resources Team, responsible for professional business support at both a strategic and an operational level across the organisation. Venue Management
MIH has a part-time Venue Manager who is responsible for the general upkeep and maintenance of the ‘Liberty Hall’ kitchen venue. The Head of Operations will oversee them and support key areas of venue management in the following ways:

Manage relationship with venue partner ‘Clapton Commons’ to ensure key services of venue are running smoothly and represent MIH in oversight committee meetings;

Coram is the UK’s oldest children’s charity founded by Thomas Coram in London helping vulnerable children and young people since 1739. One of the nine members of the Coram group, Coram Children’s Legal Centre (CCLC) is the UK’s specialist centre for children’s rights in education, immigration, community care and family law, and provides significant international legal systems consultancy. The centre is located on the Coram Campus in central London with bases in Colchester and Leeds. We champion access to justice through information and advice, legal practice and representation, policy and strategic litigation. Our Legal Practice Unit provides advice and representation primarily under legal aid contract. Our Migrant Children’s Project promotes the rights of refugee and migrant children, young people and families through the delivery of advice, practice change through training and capacity building to professionals and systems change through research, policy and advocacy.
About the role
This role will provide financial and operational leadership and management for CCLC particularly focussed on the Legal Practice Unit and the Migrant Children’s Project but with support for the Child Law Advice Service and Coram International where required. Managing a small finance team, the role will hold primary responsibility for core financial functions within CCLC including legal aid billing and management and tracking of grant and other charitable funding. Through systematic and efficient financial management, the post holder will play a pivotal role in CCLC’s financial sustainability. The role will act as a key point of contact with Coram’s central finance team and a range of internal and external stakeholders on financial matters.
The role will also oversee the smooth running of the London and Colchester offices through line management of operations and administrative staff.
The role would suit a high organised and efficient business support professional with experience of financial management within the legal or charity sector. In particular, candidates with experience of legal billing and more specifically, civil legal aid billing, would be welcomed.
This is a largely office-based role in order to fully provide support to the finance and operations team. However, some remote / hybrid working may be possible depending the experience of the candidate after the initial settling in period (to be negotiated with the successful candidate).The finance team are split between the London and Colchester offices and the post holder should expect some travel to both locations. The large majority of the legal and policy team are based in London and as such regular (at least twice weekly) presence in our London office will be expected. However, on other days the candidate could be based in the London or Colchester office.

The role:
- Managing, integrating, and coordinating the activities of the Internal Audit Team and overseeing and ensuring the delivery of a planned program of audit visits to branches
- Reviewing, testing, and monitoring of branch activities to ensure compliance with internal and external financial regulations and legal requirements.
- Undertaking branch audits and fraud investigations when problems are identified at a branch, regional or national level, to minimise the risk of exposure and safeguard the Union’s assets.
- The post holder will report findings to Senior Management, NEC, and to external parties as and when circumstances dictate.
- Ensuring that the production of reports and similar communications present the financial affairs of UNISON in an appropriate manner to members, committees, Secretariat, Senior Managers, as well as other external agencies.
- Liaising with relevant committees, legal parties (internal and external) and any relevant third-party representatives on legal cases and proceedings.
- Putting forward and following up on recommendations to mitigate risks identified to Senior Management, Regions and Branches and maintaining the audit log, records and working papers to high standards.
- Developing and updating internal audit procedures, relevant policy and process documentation including handbooks, training materials and guidance ensuring they are fit for purpose and communicated effectively.
The successful candidate will:
- Hold a recognised CCAB accountancy qualification with proven post-qualification experience in audit and financial accounting
- Be experienced in managing an Internal Audit function in a large and complex organisation.
- Have the ability to lead audits and investigations to conclusions and report to the necessary internal and external bodies.
- Have highly developed interpersonal and communicative skills.
- Hold the ability to advise on financial and operational matters concerning compliance with internal governance and external regulatory and legal requirements to a wide range of audiences.

The Role
As Head of IS and Data Management you will be responsible for implementing our IS and Data Strategy and driving efficiency using technology across Sanctuary. You will lead on the strategic development, management and operating of the IS systems and data infrastructure whilst managing and motivating the teams to deliver an efficient service across the Charity.

The Institutional Relations team is responsible for donor engagement and influencing, institutional funding, and partnerships in the UK. It comprises the Head of Institutional Relations, a Commercial Contracts Manager and three Programme Funding Officers.
As part of HI’s 2016-2025 strategy, we have ambitious targets for growth in institutional funding from UK donors, and more broadly, a focus on building strategic relationships with key UK donors and partners. Given the changing external funding environment and evolving context in the UK, we are looking for an individual who is willing to be flexible and adapt to the context in order to meet the organisation’s needs and have the biggest impact for people with disabilities.
The main purpose of this post is:
· Improving our track record for UK and other funding by increasing internal understanding of donors and funding mechanisms in your portfolio, supporting high quality submissions, grant management and donor compliance
Strengthening relationships with, and generating and managing funding from UK and other institutional donors and partners
MAIN DUTIES AND RESPONSIBILITIES
Promoting our work and building relationships with institutional donors
Supporting the work of the Head of Institutional Relations, you will have sound knowledge of the donors and funding mechanisms in your portfolio, and contribute proactively to influencing their funding strategies and priorities. Duties include:
· Maintain a good understanding of HI’s programmes, strategy and approach and communicate this externally.
· Identify and build relationships with a portfolio of large public and private institutional donors and their key suppliers (e.g. INGOs and for-profit development companies), mobilising colleagues from UK and across the global organisation as required.
· Work with country programmes to develop country-level action plans to engage with local representatives of UK donors and partners, in order to strengthen in-country relationships, influence donors’ country-level plans and access in-country funding opportunities. This will also involve supporting the development of multi-year operational plans and advise on the funding possibilities offered by UK institutional donors.
· Anticipate future trends and the expectations of the donors and funding mechanisms in your portfolio, influence their policies and strategies, and negotiate and consult with them on institutional funding matters, in liaison with the appropriate colleagues from the UK team and federal network.
· In coordination with the Head of Institutional Relations and the Chief Executive, monitor and where needed, contribute to collective work and advocacy initiatives in collaboration with partners and INGO networks (such as the Start Network and targeted Bond groups) with the aim of raising HI’s profile and influencing UK donors in line with our influencing priorities.
Generate and manage institutional funding from UK donors
You will follow and champion HI’s internal institutional funding procedures to identify and analyse funding opportunities from UK sources, contribute to project submissions, and carry out grant management duties. You will:
· Monitor, identify, analyse and communicate all relevant funding opportunities from donors in your portfolio (including development and humanitarian grant opportunities and commercial contracts). This will involve facilitating internal go/no go decision-making for new opportunities and advising, and supporting programme colleagues on positioning and consortium-building when relevant.
· Lead the review and analysis of the requirements in new funding agreements and contracts, advise internal stakeholders on compliance and ensure appropriate contract negotiation and due diligence processes are followed.
· Implement internal procedures for contract/grant management and support the submission of reporting and payment requests according to donor requirements.
Improve our track record for UK institutional funding
You will be responsible for increasing internal understanding of UK donors and funding mechanisms in your portfolio, supporting high quality strategic submissions and donor compliance. You will:
· Create internal communications, train and brief finance, programme and technical staff (including country programmes) on the donors in your portfolio, ensuring they have the tools and knowledge to comply with donor rules, understand donor priorities and focus areas, and maximise the potential for funding.
· Support proposal development, advising on donor requirements, expectations and preferences.
· Build strong relationships and internal links with technical and programme teams and contribute to internal working groups on issues related to institutional funding.
Other duties
· Maintain a positive and collaborative working relationship with HI UK colleagues and the Federal Institutional Funding, and Operations teams.
· Actively contribute to the HI UK operational plan and team work plans, and internal staff meetings.
· Ensure high quality, accurate internal reporting and information management for your portfolio.
· Keep abreast of developments within the sector by liaising with counterparts in other NGOs, and relevant networks.
