This is a newly created role and there is a great deal of untapped potential here for a proactive leader to support the CEO and SLT to create efficiencies in how we manage our internal infrastructure (IT Systems and processes), Finance and charity Governance, and HR/people to ensure we maintain and develop a thriving and nurturing working environment. The individual will have significant involvement in the strategic vision of the organisation as a whole. With a broad portfolio, the role combines both operational and strategic elements and must be able to flex up and down accordingly. 

Salary: £27,000 - £30,000 per year based on experience (Pro rata if part-time)

Terms: Permanent. Full-time or part-time with a minimum of 4 days/week (0.8 FTE). 

Location: Remote. We will strongly prefer candidates who can be based in the UK.

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

The Trussell Trust are seeking a Philanthropy Executive to join our high-performing Major Donor team. The Philanthropy Executive supports the work of the team with executive tasks and in managing the stewardship communications for a specific caseload tier of supporters. We are the UK’s student mental health charity. ROLE PURPOSE

As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group.  As such, you will have the opportunity to work with the entire Student Minds team and a variety of stakeholders across the health and higher education sectors.

Key responsibilities:

Chief Executive Officer assistance

• Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
• Arrange meetings and itineraries and coordinate travel as required.
• Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.

Meeting management

• Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
• Provide logistical and administrative support for all meetings, arranging suitable meeting premises or software, preparing and circulating agendas and meeting papers in consultation with the relevant participants (e.g. Chair of the Board, CEO and Senior Leadership Team).
• Coordinate catering requirements and liaise with the finance team to make purchases.

Senior Leadership Team coordination

• Support with coordinating multi-stakeholder meetings, and liaising with internal and external stakeholders.

• Process any travel expenses for the Senior Leadership Team.

NECESSARY REQUIREMENTS

• At least two years experience in operations management, preferably within the charity sector. 

• A self motivated individual, capable of independent working.

• Ability to translate vision into a working practice. 

• Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.

• Excellent communication and interpersonal abilities, with the capacity to work collaboratively with a diverse range of stakeholders.

• Familiarity with budgeting and financial management processes.

• Proficiency in Microsoft Office and other relevant software applications.

• Commitment to the mission and values of the Big Green Heart.

DESIRABLE REQUIREMENTS

• Experience of working in a start-up environment, supporting the operational needs of a fledgling organisation. 

• Familiarity with using KNACK database.

The Central Service Coordinator will ensure Gaddum delivers its organisational objectives by coordinating efficient and effective Human Resources, People and Central workstreams.  

The successful candidate will be reporting to the Head of Finance and working as part of a small but high performing team: They will be a key reference point for the organisation’s leaders to ensure those they manage have the best possible opportunities to thrive during the course of their employment at Gaddum. 

The postholder will be responsible for overseeing central systems and processes relating to organisation-wide People Services as required by the Senior Leadership Team and Trustee Board.  

This role is subject to a Standard DBS Check.

Then this could be the role for you. At the Digital Poverty Alliance, we are looking for our new Policy & Insights Manager. You must be able to inspire us and our partners and spearhead our public affairs work, including through our National Delivery Plan to unite action to end digital poverty by 2030.

We bring together charities, corporates and government to address the underlying issues stopping families gaining full access to digital services such as education, healthcare and employment. We seek social change through our National Delivery Plan, whilst also delivering solutions in local areas that help real people and provide evidence for change. 

This is an exciting, high profile and fast-paced role, joining our small team and working alongside partners, National Delivery Committee members and our wider stakeholders to effect real change for people. You will report directly to the Chief Executive, working alongside our Head of External Affairs.

A big part of our social change ambition is delivered through our public affairs work; influencing policy makers so that our ambitions are shared with government, companies and with everyone able to deliver to our vision of a world where everyone is able to connect successfully with the digital world where and when they want to.  You will also be responsible for drafting white papers, analysing trends and data, and identifying new insights.  You will support our Industry Forum, working with existing and new members to broaden the group.

The DPA aims to work through partners in delivering to our core mission and, as such, we retain only a small core team with support from our PR agency. As such, you’ll lead on delivering our policy and public affairs work, from briefing MPs to developing our policy positions.

Whilst the role is remote based, you will regularly need to attend in-person meetings and events in central London (daytime and evening), as well as undertaking travel across the UK. Given the need to attend meetings in Westminster and Whitehall, you will need to live within commuting distance of London.

Key focus areas

• Building relationships with public, private and third sector organisations, including the wider DPA community.
• Working to convene and collaborate with organisations and individuals committed to ending digital poverty.
• Work with colleagues across local, regional and national governments and across political parties to advocate for policies to promote digital inclusion.
• Undertaking research and analysis to understand digital poverty and the impact of policies to address it.
• Managing policy and research projects including the ongoing development of the national delivery plan and supporting ‘proof of concept’ projects.
• Developing commercial and research partnerships with organisations and supporting the development of the industry forum.
• Communicating the DPA vision and perspective through verbal and written communication.

We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

They take responsibility for processing the day-to-day transactions of the company across purchase ledger, sales ledger and the cash book, and ensure the smooth operation of the office. They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.

The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.

Consideration will be given to applicants wanting to work part-time at an appropriate level to meet the requirements of the role.

We are seeking to recruit an individual with purpose, passion and integrity to lead our Health team. In this role, you will use your skills, knowledge and experiences to help ensure movement and physical activity is embedded into health and care systems. You will work with partners across the system, in the leadership of GM Moving; our whole system approach across the city-region to reduce inactivity and grow a movement for active lives for everyone, with a specific intent to reduce physical activity and health inequalities. 

Hours: 22 hours per week 

Salary: NJC Points 49-53 Band H, £58,072 – £66,182 p.a. pro rata (salary to be at entry level except for exceptional circumstances)
