Location: Hammersmith, with travel to other Advance sites (some working from home)

About the role:

Reporting to the Director of Finance & Operations, the IT Project Manager will lead the scoping, researching, sourcing, design develop and implementation of several new systems relating to CRM, Case Management, Finance and HR.

The IT project manager will also support the Director of Finance & Operations in managing the relationship with the IT Support contract, providing IT support where necessary and in renewing the IASME (Information Assurance for Small and Medium Enterprises) accreditation.

You will have good research and planning skills and are able to remain calm under pressure. You have good organisational skills including attention to detail and multi-tasking skills.

To be successful as the IT Project Manager you will need the below experience and skills: 

You will have previous experience in IT change management with significant experience of overseeing implementation projects, allowing you to hit the ground running. You will have an excellent understanding of computer systems, security and databases to allow you to ensure

an excellent and reliable IT service is provided to all staff on and off site. You will have strong Project, Stakeholder & Programme management skills and significant experience of delivering major business critical projects including the desired benefits and outcome to time, cost and quality, including the management and maintenance of standard project controls and documents.

You will have a bachelor’s degree in a relevant discipline or equivalent professional experience and 

A PMP, PRINCE2, Agile or other industry standard Programme or Project Management qualification. A good knowledge of Microsoft Server technologies, 365 admin level experience across Teams, SharePoint, OneDrive, Exchange Online etc. is essential for the role. Your experience will include supporting network devices and concepts, printers, softphones and other business hardware and software.

Who are Women’s Aid?

Women’s Aid is the national charity working to end domestic abuse against women and children. We are a federation of over 170 organisations which provide just under 300 local lifesaving services to women and children across England. For almost 50 years we have campaigned on behalf of our members and survivors to shape policy and practice, and to raise awareness of domestic abuse.

Purpose of the Operations Manager role: 

As Operations Manager, the successful candidate will play an integral role in the effective day to day management of key business support services including operations, IT data and premises. The role includes line manage responsibilities of the inhouse team as well as maintaining key relationships with outsourced companies to ensure objectives are met.

Key duties and responsibilities of the Operations Manager:

Operations: 

• Manage the non-pay elements of the Operations Budget, including IT budget. (approximately £400K annually) 
• Ensure that the technical, digital and office environment needs of all staff (across all sites and remote workers) are fit for purpose and adequately resourced
• Compliance with Health and Safety legislation
• Oversee the effective management of communal facilities, office resources and equipment.

Data Protection and Management: 

• Provide subject matter expert advice on GDPR compliance and data protection. 
• Responsible for co-ordinating the Data Champions Group to ensure that all Data Protection Polices are kept up to date. 
• Responsible for all Subject Access and Right To Be Forgotten Requests
• Act as the ICO liaison. 
• Responsible for setting GDPR training requirements
• Manage the Intranet and SharePoint sites
• Responsible for ensuring that the CRM operates in line with WA’s IT and GDPR Policies. 
• Responsible for monitoring the ongoing archiving connection.

IT: 

• Work with the external IT contractors to ensure effective delivery of the WA IT strategy. 
• Ensure effective management and coordination of IT systems, equipment, office machinery, premises, and services. 
• Plan, develop and implement strategies for IT
• Ensure organisation wide compliance with IT policies. 
• Manage responsive IT support, maintain central records for externally provisioned services. 
• Oversee the effective use of databases and file storage

• Ensure a provision of high quality housing management service is provided to residents. 

Financial Management

• Manage the service budget and review monthly management accounts: Set budgets and ensure resources are maximised.
• Promote effective cost control mechanisms and other financial activities.
• Maintain financial management within the service.

Other

• Some of what else is included: Contract management and Internal auditing, admin, and general other duties as required.

KEY CRITERIA

What we are looking for:

• Understanding and/or experience of working with people of complex backgrounds, ex-offenders, mental health, substance misuse, challenging behaviours
• Experience of working with and engaging with diverse groups of people from varying backgrounds
• Previous experience in people management and development
• IT Proficiency, including Microsoft Office, and the ability to navigate and learn new case management systems and other types of organisational software.

About the role

Are you an experienced corporate fundraiser with an interest in working in the international development sector? Are you creative, strategic, highly organised, a confident and effective communicator and strong team player? 

We are looking for an experienced Senior Corporate Fundraising Manager to work closely with the Head of Programme Funding to drive new donor engagement and secure sustainable, multi-year funding. We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Team management

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

The Health and Research Information Manager will be an experienced health education communications specialist, to take a strategic approach to our education work to deliver one of the charity’s key strategic pillars. Women’s Aid is the national charity working to end domestic abuse against women and children. We are a federation of over 170 organisations which provide just under 300 local lifesaving services to women and children across England. Purpose of the Project Manager role:   

As Project Manager, the successful candidate will play an integral role in working across the organisation to ensure that sound project management principles are being used in all aspects of our work. You will support the Head of Strategic Programmes to effectively schedule and monitor the projects, programmes and core business activity across the organisation, in line with our key strategic goals.

Key duties and responsibilities of the Project Manager: 

• Full scale project management of key strategic projects across a project’s full life cycle, to deliver within scope, on time, on budget, and within quality commitments. This includes designing project models, allocating resources, scheduling, monitoring, stakeholder communications, reporting and budget management. 

• Assessing and recommending to the senior leadership team the viability and suitability of new proposed projects.

What we are looking for in our Project Manager:

Smart Works are looking to appoint an exceptional Finance Manager to join our finance team at a time of significant growth for the organisation. Working closely with the existing finance team of four, the Finance Manager will play a crucial role in safeguarding the financial health of Smart Works Charity and its network of eleven centres across the UK. 

The Finance Manager will ensure financial systems and processes are followed, financial tasks are completed before deadlines and key stakeholders receive the financial information they need to make sound decisions. 

An important part of the role is to build excellent working relationships with non-financial employees working across Smart Works, so that information needed by the finance team is obtained in a timely fashion. The successful candidate will also identify opportunities for process improvements and automation.

As a member of our corporate services directorate, you will be proactive in maintaining quality and high availability IT systems by providing first and second-line IT support to over 350 staff across 4 offices and around 200 associates in a smaller capacity. This includes user management, telephone system administration, backups, software compliance, hardware refreshes, documentation, and user training.
