This varied role uses event and programme management skills to deliver excellent service in a fast paced environment within the Christian sector as we advance the work of The Maclellan Foundation, one of the largest Christian family foundations in the USA. Objectives/Key Tasks:
To provide event and project-specific administrative support in an accurate, timely and professional manner, including:
- Planning and co-ordinating multiple programmes, to ensure milestones are met to an excellent standard
- Conducting research, assembling and analysing data to prepare reports and documents
- Preparing and editing written correspondence, communications, presentations, publicity etc
- Managing booking and registration processes
- Managing and updating various databases on a regular basis
- Onsite event management; helping set up and run events as well as providing delegate support
- Providing customer service support, via phone and email
- Managing and maintaining schedules, appointments and travel arrangements
- Arranging and coordinating meetings, including minute taking

Responsibilities
- Work in collaboration with the ESC team and stakeholders to design a programme of inspiring energy and climate themed events in Hastings, Rother, Eastbourne, and Wealden, reaching a total of 1000 residents across the year.
- Create engagement opportunities for your team at the events and activities of other organisations and local groups by networking and working with the Communications and Marketing person to promote our services.
- Find interesting speakers and organisations to participate in our events.
- Create public events for our No One Left Behind project, finding new, exciting ways to engage the public in conversation about energy and climate topics.
- Manage the administration and logistics of the events, including room bookings, ticket booking processes, etc.
- Look for opportunities to invite our funder along to events and participate in the activities.
- Manage relationships with staff team and volunteer Energy Champions on local events.
- Create event plans and risk assessments for each event.
- Work with the Marketing and Communications Officer and local volunteers to plan PR and promotion of events to agreed timelines.
- Create and work to agreed budgets.
- Ensure you are collecting the data needed to monitor and evaluate the project.
- Create inclusivity in the event registration and attendance experience to support people with a variety of needs.
- Ensure events feed into the wider work and services of Energise Sussex Coast.
- Provide event reports to manager detailing the number of attendees, write-up of the event, and feedback.

Key Details
• Hours: 30 hours a week, flexible working. Will include some evening and weekend work.

About the role
This is an exciting opportunity for an experienced and dynamic Events Manager to lead on Media Trust’s 2024 calendar of fundraising and industry-facing events, including our upcoming 30th Birthday Fundraising Gala and support with other programme-related events.

Key responsibilities
Events Management

Manage end-to-end delivery of Media Trust events, campaigns and projects of varying size, format and complexity, both in person and virtually

As a Senior Events Manager you will:
- Line manage the Community and Events Executive
- Engage with local and large businesses and corporate bodies to actively engage them with challenge and community events
- Organise and secure sponsorship for special events such as the annual Gala Dinner, Supporters Thank You Evening, Christmas Carol Concert
- Work alongside the Communications Team as well as manage relationships with external designers, printers etc to create and produce a range of publicity materials
- Oversee the maintenance of contact with challenge participants in the lead-up to each event, providing fundraising advice and training support, as well as pre-event motivational activities/meetings.
In order to be successful, you must have :
- Significant experience in Fundraising Events
- Line management experience
- Demonstrable experience leading Community, Challenge and Special events
- Strong organisational and time-keeping skills
- Strong communication skills, both written and verbal
- Enthusiastic and positive approach to supporting event participants
- Confident in talking to groups and attending events, speaking about the charity

To ensure that all telephone calls and correspondence to the centre are answered professionally and promptly.
To produce written progress reports to statutory funders and work alongside colleagues on tender applications for new contracts as and when required.
To ensure the smooth transition and induction of all new residents to the centre, you will be required to assist with supervised drug and/or alcohol testing.
To effectively communicate with colleagues, residents and agencies.
To build and maintain open and productive relationships between all parties.
To facilitate regular team meetings and provide clear and concise communications to the staff team at regular intervals.
To ensure that each member of your staff receives one to one supervision in accordance with the supervision policy.
To attend events when required and at times deliver presentations.
To work alongside the Service Manager to complete objectives and achieve targets set for the service.
To undertake relevant training that may fall outside of their normal working pattern and hours.
To maintain high and excellent standards of practice using a person centred approach to support that places the dignity and integrity of the individual resident at the forefront of priorities.
To deputise for the Service Manager in their absence and assume full responsibility for the running of the service.

To work effectively with the fundraising team, helping to ensure that they have the information needed to complete effective applications, proposals and reports.
Help facilitate visits of funders to demonstrate the impact of Amber’s work.

Financial
To follow all financial policies and procedures as required and in the absence of the Service Manager.
To assist the Service Manager in ensuring compliance with the centre budget, ensure effective budgeting and budgeting controls are in place.
To support the Service Manager in completing and contribute to the annual budget.
In the absence of the Service Manager, take responsibility for resident related income including housing benefit and resident’s service charge.
In the absence of the Service Manager, take responsibility for petty cash, ensuring this is accurately recorded and controlled.
Experience
Relevant professional or management qualification
Experience in management, preferably in the social care sector.
