BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

The Head of Finance will manage the high-performing finance team consisting of a Management Accountant, Assistant Accountant and Finance Business Partner. Sitting in the Business and Resources Directorate the team are instrumental to the successful running of the RCR. About the role

This role will provide financial and operational leadership and management for CCLC particularly focussed on the Legal Practice Unit and the Migrant Children’s Project but with support for the Child Law Advice Service and Coram International where required. Managing a small finance team, the role will hold primary responsibility for core financial functions within CCLC including legal aid billing and management and tracking of grant and other charitable funding. Through systematic and efficient financial management, the post holder will play a pivotal role in CCLC’s financial sustainability. The role will act as a key point of contact with Coram’s central finance team and a range of internal and external stakeholders on financial matters.

The role will also oversee the smooth running of the London and Colchester offices through line management of operations and administrative staff.

The role would suit a high organised and efficient business support professional with experience of financial management within the legal or charity sector. In particular, candidates with experience of legal billing and more specifically, civil legal aid billing, would be welcomed.

This is a largely office-based role in order to fully provide support to the finance and operations team. However, some remote / hybrid working may be possible depending the experience of the candidate after the initial settling in period (to be negotiated with the successful candidate).The finance team are split between the London and Colchester offices and the post holder should expect some travel to both locations. The large majority of the legal and policy team are based in London and as such regular (at least twice weekly) presence in our London office will be expected. However, on other days the candidate could be based in the London or Colchester office.

• Job Title: Senior Finance Officer
• Location: Nottingham Office/Hybrid
• Salary: £25,000

This role is part of a small Finance team that supports the work of Headway - the brain injury association. The role is line managed by the Finance Manager and liaises with every team within the organisation.

What you will do

As a Senior Finance Officer, you will be responsible for maintaining all aspects of the purchase and sales ledgers for both the charity and retail company, supporting colleagues, and resolving queries from suppliers and customers. You will monitor the purchase invoice mailbox and online purchase invoice accounts, ensuring that all invoices are downloaded promptly and passed on to relevant colleagues for authorisation.

You will be responsible for recording all purchase and sales invoices on our accounts system, Exchequer and ensuring that all bank transactions are entered on a timely basis. You will also be responsible for preparing and entering key monthly journals, including but not limited to charity and retail income, charity merchandise sales, depreciation, credit card expenditure, pre-paid rent and service charges. The majority of this work will use our Excel linked auto-loaders, but some manual entry will also be required.

You will complete monthly supplier account reconciliations and be responsible for raising any concerns or discrepancies with the Finance Manager.

You will maintain the stock system for the online merchandise shop, updating it with new stock and prices, using the information from the system to create the monthly cost of sales journal.

The Senior Finance Officer will work with the Finance Manager to ensure that all monthly and month-end routines are completed in line with team and organisational deadlines and complete any other finance tasks that may be required.

The Job

The Finance Officer will work closely with the Business & Operations Manager (BOM). GISF is funded by various donors on different projects with overlapping resources. The Finance Officer will ensure expenditure is allocated to relevant projects and donor funds and will assist in the preparation of GISF’s annual budget, proposal budgets, and implementing budgeting and grant forecasting systems with GISF’s leadership team and project managers. The role will is offered on a part time basis with the possibility of increasing number of hours worked if required.

Finance

• Invoicing – reviewing and paying invoices, invoicing members – ensuring compliance, authorisation requirements, flagging and investigating discrepancies and responding to related queries
• Provide financial support to the procurement process, from raising requests to assessing tenders for value-for-money and compliance.
• Validate travel expenses in advance of staff travel, and process expenses on return.
• Maintain the filing system for financial documentation
• Ensure payment documents’ compliance with GISF internal financial procedures and donor regulations.

Grants

• Provide clear and relevant financial guidance for the management of ongoing projects

Corporate

Person Specification

 Essential Skills/Experience

• Relevant qualification in accounting – AAT or equivalent
•  Knowledge and experience using Xero or similar platform

• Advanced knowledge of Excel (e.g. ability to create and manipulate pivot tables and use functions such as VLOOKUP and SUMIF) (This will be assessed)

Do you have accounting experience and the ability to support and supervise a small team? Phyllis Tuckwell is looking to appoint an Income Supervisor to lead and coordinate the Income team within our Finance Department.

The main responsibilities are to:

• Supervise a small income team and volunteers.
• Manage, control, analyse and reconcile income onto the financial ledger and the donor database.
• Manage the entry of all direct bank receipts and income from online giving platforms, including set up and monitoring all standing orders and associated bank reconciliation.
• Oversee weekly cash counts for banking via G4S security.
• Act as the main point of contact with the finance department for all retail operations staff and ensure all retail shop income is recorded correctly and reconciles to the retail system.
• Be the main point of contact and information for all income issues, liaising with other departments as required.
• Manage the Gift Aid declaration process including the correct entry on donor database and the scanning process.

The successful candidate will have:

• AAT level 4 / MAAT or be qualified by experience to this level.
• A detailed knowledge of financial accounting and double entry bookkeeping.

• Proven experience of implementing & managing strong financial controls.

We are looking for a CCAB qualified finance person with a minimum of 3 years’ experience in a charity or not-for-profit programme finance context. The role will work with the Chief Financial Officer and Programme Leads to manage our financial relationships with these funders and the end-to-end finance activities across our funders and programmes.

Experience and Skills

The successful candidate will:

• Qualified accountant with a minimum of three years post qualification experience.
• A strong desire to work for a climate change, not for profit organisation is essential. Experience in not-for-profit or charity organisations is essential.
• Strong Excel skills are essential with the ability to work competently with minimum supervision.
• Solid organisational skills and good attention to detail.
• Strong communication skills, both written and verbal.
• Hybrid Working but ideally at least 2 days per week in the London office.

About Our Client

The Director of Finance is responsible for the financial management of St George's Weybridge, a £30m business with over 500 staff. The post holder will fulfil a wide range of responsibilities and roles in connection with the financial strategy, accounting and general financial management of the School. The post is the most senior finance professional on the staff and reports directly to the Bursar, who is effectively the CFO/COO. As such, the Director of Finance has frequent direct contact with Governors and the Heads and attends the Governors' Finance and Risk Committee meetings.

The Director of Finance is a member of the Business Senior Management Team and leads a team of 8 staff, comprising the Management Accountant, Payroll and People Accountant, Fees Controller, Interim Project Accountant, Purchase Ledger Assistant and two Finance Assistants. A new role of Financial Accountant has been established and the successful candidate will have the opportunity to influence this role and appointment.

Job Description

• Formulate the financial strategy of the School alongside Governors and the Executive Leadership Team (consisting of the two Heads and the Bursar).
• Attend meetings of the Finance and Risk Committee of the Board of Governors, preparing financial reports and papers and leading on financial items tabled for discussion or decision.
• Attend and contribute to ad-hoc Governor meetings and discussions as required.
• Alongside the Bursar and the Heads, implement the School's strategic financial plans.
• Work closely with ELT to formulate operational spending plans and priorities.
• Work closely with the Director of HR on people strategies.
• Exhibit the behaviours and standards befitting a senior leader of St George's Weybridge, demonstrating and promoting the School's ethos and values.
• Lead and manage the staff in the Finance Department.
• Bring financial risks and opportunities to the attention of the Bursar and Governors.

• Preparing annual budgets and termly forecasts, including cash flow projections for the current and future years.
• Maintain, review and ensure compliance with the School's Financial Procedures Manual.
• Preparation of internal financial management reports, accounts and briefing papers, including monthly management accounting information to include cash flow statements and forecasts.
• Control of the treasury management function in order to ensure the most efficient and secure deployment of cash.
• Ensuring compliance with external regulators, including HMRC, the Charity Commission and Companies House.
• Being responsible for accurate and timely tax returns and tax reclaims, with professional advice where necessary, preparing recommendations for mitigating potential VAT and any other tax liabilities.

The Successful Applicant

• Formal Accounting qualification and experience of working in the commercial, educational or charity sectors.
• Experience of compliance with legislation and regulations relevant to the position
• Experience of contract negotiation
• Excellent communication skills, both oral and written.
• Ability to analyse and manipulate financial data.
• Competent in the use of IT, notably MS Office applications and the ability to use modern financial software tools.

Join us as our Director of Finance and IT at War Child UK, a pivotal role within our Leadership Group reporting directly to Helen Pattinson, CEO. Your role is to lead our finance and IT, but as a member of our leadership group to take joint responsibility with other Directors for leading the organisation.

As Finance and IT Director, you'll lead the optimisation of our finance and IT systems to streamline recording and reporting of financial transactions. Your analytical skills will be essential as you explore cost and income centres, supplying vital data necessary to significantly enhance our fundraising efforts.

Beyond day-to-day operations, you'll play a strategic role in long-term financial planning, fostering collaboration across the War Child Alliance. Together with fellow leaders, you'll steward the wider organisation, ensuring War Child UK is ready for success and equipped with ambitious financial investment frameworks.

Success in this role also entails ensuring our IT systems maintain the highest standards of excellence, delivering accurate and timely financial performance insights. You'll contribute to a vision where War Child UK achieves extraordinary results within a financially sound Alliance, empowering members to maximise their impact while being accountable for every penny raised.

You will be a qualified accountant with exceptional strategic and operational experience. You do not necessarily need to have prior international development experience, although you will need to demonstrate that you can build effective working relationships with overseas counterparts. Experience of working within a complex fundraising environment would be highly advantageous though.  For this role, we are also as keen to hear from experienced directors who are excited by what we do as we are from those for whom this would be their first senior leadership role.
