The District Administrator is the first port of call in the District office and acts as an essential point of contact for all 19 Circuits and their Churches within the District.
The District Administrator will work collaboratively with the Senior District Administrator and be proactive with good organisational skills.
The role will provide administration support in a number of areas to support the Senior District Administrator, with emails, setting up meetings, maintaining records and databases.
Main Responsibilities
- Responsible for incoming emails, telephone calls and meeting and greeting visitors.
- Accurate and effective use of information management systems including general office filing, electronic file management, scanning, archiving, databases, other electronic records, spreadsheets and hard copy paper records, regularly updating as required.
- Write and distribute email, correspondence memos, letters, and forms.
- Assist with maintaining and updating the District Directory and databases.
- Assist with the administration for representative and presbyteral synod.
- Managing and ordering office supplies and research new deals and suppliers
- Maintaining office equipment, i.e. photocopiers and printers for smooth office functionality
- Communicate meetings and agendas to attendees. Take minutes when required and arrange lunches and refreshments.
- Assist with the management of the District Zoom accounts.
- Any other duties and responsibilities identified by the Chair and the Senior District Administrator as are within the capabilities and level of responsibility of the role in order to meet the needs of the District.

ABOUT YOU
We are looking for an enthusiastic and flexible administrator to join our small Care Administration team, playing a key supportive role in the Care team by providing effective and wide ranging administrative tasks and reporting & data services.
The ideal candidate will be a dedicated, organised and reliable individual with at least intermediate proficiency in using Microsoft Excel and experience of using databases due to the involved data and reporting element of this role. You will show determination to succeed and have a solutions-focused outlook. You will be passionate about information management, producing accurate and insightful reports for internal and external stakeholders. About the role

The Role of Safeguarding Administrator

Noah’s Ark Children’s Hospice helps babies, children and young people who are seriously unwell, and their families, make the most of every day. The charity aspires to become a centre of clinical excellence for children with life-limiting or life-threatening conditions.
We’ve been on a major upward trajectory in recent years, with more children being supported and more major hospitals being partnered with. We’ve transformed from being an enthusiastic start-up delivering care in the community, to delivering major impact both in the community and at our stunning state-of-the-art hospice building, The Ark, set on a 7.5 acre nature reserve. With the number of referrals to Noah’s Ark increasing, and the services we offer continually growing, we are in the exciting position of expanding our Care Administration Team. The successful candidate will work closely within the Care team (clinical and holistic) to provide professional and effective support by providing administrative, database, Excel reporting and logistical support.
ABOUT YOU
We have an exciting opportunity for an enthusiastic and flexible administrator to join our small Care Administration team, playing a key supportive role in the Care team by providing effective and wide ranging administrative tasks and data services to the Director of Care, and the wider Care Team (clinical and holistic).
The ideal candidate will provide comprehensive and confidential administrative support, contributing to the efficient and effective operation of the Care Team. You will have a flexible, proactive and adaptable approach to the requirements of this role and to developing administrative, data and reporting needs as the services expand.
You will be a dedicated, organised and reliable individual. You will show determination to succeed and have a solution-focused outlook. You will be passionate about information management, producing accurate and insightful reports for internal and external stakeholders. You will have a keen eye for detail, able to juggle tasks, communicate clearly, with a desire to make a positive difference to the charity.

The Database Assistant will work with colleagues to ensure the team have access to accurate, timely and comprehensive data to support and enable effective fundraising activity.
As Database Assistant you will work with high volumes of data, running regular data diagnostics, and updating records as required. You will also undertake regular database administration tasks, such as adding new users, importing data and amending the database.

Events Administrator
We are seeking an organised, dynamic, and flexible administrator to support our extensive events calendar. This includes large assemblies, forums, and training sessions. The post-holder will maintain accurate attendance records on the database and maintain membership details. They will collaborate closely with staff across teams to ensure that all aspects of organising events are covered from the planning to evaluation stage.
The successful candidate will be very IT savvy with high levels of literacy. They will have solid experience of providing effective administrative support to a range of people and functions within an organisation, as well as experience of planning and administering a range of training activities and network meetings. About the Role
- Working alongside three post approval adoption caseworkers, you will be responsible for providing efficient administrative and business support to the Post Approval and Domestic Adoption Teams;
- Providing administration of all stages of the process after the agency’s decision that prospective adopters are suitable to adopt, in relations to either the overseas country or domestic adoption;
- You will be responsible to the Head of Service, Post Approval Team Manager and Senior Social Workers. Internal relationships will be principally with Case Workers and Senior Business Support throughout the Agency;
- A team player who is comfortable at the prospect of working in a small, busy and growing agency. Being organized, effective and able to work in a creative and flexible manner are essential to the role.

We are a multi-award-winning, creative, and innovative organisation, and the Database Officer is a role at Al-Khair Foundation, sitting within the Database team and delivering on a range of database tasks and processes utilising our Salesforce database. We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.
Your Role
Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.
You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.
Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.
Your Responsibilities
- Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
- Supporting the Fundraising teams with their monthly income recording and reconciliation.
- Liaising with external agencies and the Finance team.
- Checking for and correcting inaccuracies and updating supporter records.
- Running reports for the Fundraising and Finance teams.
- Maintaining and carrying out regular database processes, including data cleansing.
- Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
- Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
- Spotting and reporting database glitches and problems.
- Supporting with the ticketing system as a second point of contact in the Database team.
- Contributing to creating a culture committed to the safeguarding of children and adults and compliant with Al-Khair Foundation’s Child Safeguarding and Adults at Risk Policies.
Who You Are
To be successful, you will be:
- Someone who has experience using a Salesforce database to carry out day-to-day tasks and who understands their importance for organisations such as Al-Khair Foundation. Charity/NGO experience would be an advantage.
- Someone with excellent attention to detail and good numeracy skills.
- A great communicator who can manage a variety of stakeholder requirements and resolve requests in a timely and accurate manner.
- Able to organise your time and own workload effectively and able to work to deadlines in a busy environment.
- Able to learn new processes and systems swiftly and diligently.

- Experienced in carrying out administrative tasks and processes in an office setting, with good knowledge of Microsoft Office, especially Excel.
