Job Description : Manager of Centre Operations

Job Title :                 Manager of Centre Operations

Salary :                     £ 35,000.00

Job Location :         Ace of Clubs, Clapham, SW4 7AP

Hours :                      Full-time (37.5 hours per week)

Reports to :             Ace of Clubs Trustees Management Committee

Responsible for :   Centre Staff

Purpose of Job.

To oversee and proactively manage  the day-to-day operations and activities of Ace of Clubs Centre.

Key duties :

To ensure overall safety of building (e.g. electrical, fire, gas, building safety; legionella/asbestos/PAT records).

To ensure overall safe-running of the centre for users (e.g. compliance with employee handbook and health and safety regulations).

Ensure smooth-running of kitchen services and ensuring compliance with highest standards of hygiene and health and safety regulations.

To ensure the smooth-running of centre’s day-to-day activities (both welfare and administrative).

To manage and participate in advice and advocacy services for clients (such as health, housing, education, employment, rehabilitation).

Develop and maintain external partnerships that facilitate the provision of a range of services within the centre (e.g. NHS dental van, in-house NHS nurse).

Develop, maintain and progress strategies for improving the Centre’s public relations, image and presence.

Using social media platforms for promoting and developing Ace of Club’s public reputation and presence.

To ensure staff are managed properly (including personal reviews, training and development, holiday and absence management).

General duties.

Ensure that all duties are carried out in accordance with policies, procedures and regulations as stated in Ace of Clubs employee handbook.

This job description is not exhaustive and the post-holder may be required to undertake other appropriate duties, responsibilities and projects from time to time.

Key relationships.

Internal : Trustees Management Committee, Company Secretary, Fundraising Manager, Shops Manager.

External : Welfare agencies, charitable organisations, charitable partners.

Person Specification.

Qualifications.

Good basic education to GCSE.

Minimum level C (or equivalent) in English and Mathematics.

Degree (or further education) expected but not a pre-requisite.

Relevant experience in the charity sector will carry greater weight than academic qualifications.

Experience.

A proven track record of a minimum of three years of successful management of an outreach centre in the charity sector.

Experience of managing projects for the homeless and vulnerable adults.

Energy, enthusiasm and flair to work hard and maintain the efficient running of the centre.

Proven ability to manage and develop relationships.

Proven database experience.

Staff management – including training and development.

Experience of handling cash, banking income and donations, maintaining appropriate records.

Accustomed to using social media platforms for promoting and developing public relations.

Knowledge of Universal Credit, and local government benefits.

Experience of dealing with welfare agencies.

Skills and competencies.

Excellent organisational skills.

Ability to plan, balance and cope with competing priorities.

Proven time management skills with regard to prioritising and meeting deadlines. 

Excellent written and verbal communication skills, and presentation abilities.

Staff management experience.

High standard of numeracy, computer competency, digital skills.

Experience of interacting with members of senior management (such as Directors at Board Level, or Trustees).

Personal attributes.

Highly motivated and ability to work alone or as part of a team.

Self-motivated and able to motivate others.

Ability to develop and maintain strong working relationships with staff, volunteers, donors, sponsors and trustees.

A proactive and creative approach.

Commitment to delivering quality services.

Other.

Cross-cultural sensitivity to, and understanding of, the needs of  Ace of Club’s client group.

Good diplomatic skills.

 

Recruitment process.

Stage 1 :          Submit C.V. and cover letter through Charity Job, online.

Stage 2 :          Short-listed candidates invited to preliminary interview

                        with Ace of Clubs interviewing committee.

Stage 3 :          Finalists invited to interview with Ace of Clubs Trustees Management Committee,

                        involving presentation from candidate according to previously notified criteria.

Finally :           Successful candidate will be required :

  • to be security approved (e.g. DBS)
  • to provide two referees (previous employer & personal)
  • to commit to 6 month probationary period
