Introduction 

 

Special Olympics Swansea, Neath & Port Talbot (SO SNPT) exists to support and develop sports coaching and competition opportunities for people with an intellectual (learning) disability. Therefore, we require an individual to assist the region to register competitors/athletes using the Special Olympics Great Britain (SOGB) Athlete Membership (SAM) Process. 

 

Eligibility Officers are key to the SAM Process by helping prospective athletes or Unified Partners to complete the necessary forms and provide the required eligibility information to register with SOGB. 

 

By completing this registration process, we ensure all SO SNPT competitors (athletes or Unified Partners) meet basic criteria, are eligible, and confirm that there is no health reason that would stop them from taking part. This allows us to make certain each individual can be covered by SOGB’s Insurance Policy. Information provided during this process enables SO SNPT to remain accredited to Special Olympics Wales and allows us to assess the development and support needs of our membership.

 

Eligibility Officers sit on the SO SNPT Steering Group; this committee governs the Region. The Steering Group meets regularly to, amongst other responsibilities, decide how best to allocate Region resources and funding. It is estimated that this role may require you to volunteer approximately 12 hours a month.

 

The Role

 

  • Support interest from a new athlete or Unified Partner

  • Process information from the Health & Information Form

  • Gather Eligibility Endorsement Material

  • Complete SAM forms with the athlete or Unified Partner

  • Receive status update and/or confirmation of SAM registration from National Office

  • Steering Group Member – requires regular meeting attendance and voting on the allocation of resources within the SO SNPT  Region (see Steering Group Information at the end of this document)

 

Responsibilities 

 

  • To manage, promote and adhere to SAM process within the Region

  • Liaise with athletes, family members, relevant professionals involved with the athlete, and National Office

  • Collect, process, and keep safe personal data and sensitive information related to athletes and Unified Partners

 

Person Specification

 

Essential Criteria 

 

  • Clearly understand Special Olympics GB Eligibility Criteria, and specifically the difference between an intellectual (learning) disability and a specific learning difficulty

  • Understand and adhere to our Privacy Policy

  • Be able to coordinate and collate sometimes complex information, from a variety of sources

  • Effective and appropriate communication skills 

  • Strong administrative and organisational skills

  • Computer literate – scanning, emailing, protecting documents

  • Commit to learn and understand how to support athlete and Unified Partners to exercise their rights with regards to GDPR  e.g. apply for access to their data or have their data permanently removed

  • Undertake SO GB training to understand how to handle a breach in data protection

 

Desirable Criteria 

 

  • Experience helping people with intellectual disabilities

  • Experience within the sports sector

 

Notes

 

  • In order to apply for this role you will need to complete the Volunteer Registration Process

  • This role requires an enhanced Disclosure and Barring Service (DBS) check, which will be requested as part of the Volunteer Registration Process by Special Olympics GB National Office or the Region/Club Steering Group

  • This is a voluntary, unpaid role. The Region, Special Olympic Wales, or Special Olympics GB do not usually pay for volunteer travel expenses, though this may be considered in exceptional circumstances

  • Two year role - unless appointed by Special Olympics GB National Office, the Steering Group are required to vote and elect new Steering Group members at least every two years, including the Eligibility Officer

 

Steering Group Information

 

Each Special Olympics Great Britain accredited Region or Network is led by a voluntary Steering Group. This group of individuals represent stakeholders from within the Region/Club and regularly meet to discuss activity and developments, but who also vote to agree on how resources are allocated to Special Olympics activity. The Steering Group is responsible for discussing, agreeing (by vote), co-ordinating and supporting:

  • Regular Meetings and Communication

  • Administration and Membership of the Steering Group

  • Finance & Income Generation

  • Branding & Marketing

  • Relationships & Partnerships

  • The Sport Coaching Programme

  • Involvement in Competition activity for all sports delivered

  • Membership Registration

  • Policies and Governance Agreements

  • Region/Club Accreditation

 

The Region annually accredits to Special Olympics Wales and in doing so, its Steering Group adopts a Governance Agreement (for Branches) or Club Charter (for Associates) that outlines the expectations of the Region and the support available from Special Olympics Wales/GB.
