Events Administrator

We are seeking an organised, dynamic, and flexible administrator to support our extensive events calendar. This includes large assemblies, forums, and training sessions. The post-holder will maintain accurate attendance records on the database and maintain membership details. They will collaborate closely with staff across teams to ensure that all aspects of organising events are covered from the planning to evaluation stage.

The successful candidate will be very IT savvy with high levels of literacy. They will have solid experience of providing effective administrative support to a range of people and functions within an organisation, as well as experience of planning and administering a range of training activities and network meetings. Our staff are expected to have a positive influence on culture and values within the organisation and reflect those positive values externally with stakeholders.

BUSINESS OPERATIONS MANAGER

This is an exciting opportunity to join a small, dedicated team based in Wakefield.  Playing a key role as Business Operations Manager you will be a crucial member of the Management team, leading the back-office and supporting the Chief Executive Officer.

You will be part of the newly created Management Team, providing Business Operations Support for the Organisation as a whole.  This is a challenging but exciting opportunity to design and embed efficient business processes and assist colleagues to improve business practices to maximise efficiency and to help take this established Membership Services Organisation to the next level.

As the Deputy Team Leader (Court Services), working alongside Team Leaders you will be responsible for the delivery of the Witness Service within your court/s.

The motivation behind the LifeSkills programme is to inspire millions of young people and equip them with the key skills to move forward into the 21st century workplace. The programme focuses on teaching skills such as CV writing, interview skills, networking, problem solving, creativity, resilience, communication and managing online reputation. This combined Programme Manager, Facilitator role will be instrumental in raising awareness and developing skills in schools across Wales.

This post requires daily travel within South Wales.

The role will involve:

• A thorough understanding of the ready-made online resources to facilitate LifeSkills workshops, online and in person
• Creation and management of a deployment plan to achieve agreed targets for students and engagement of Barclays staff
• Maintaining systems for timely and accurate monitoring, evaluation and reporting of the effectiveness of the LifeSkills programme in line with contract requirements
• Sharing best practice and collaborating within and across BITC’s programme managers/facilitators in Scotland and Northern Ireland

The successful candidate will be:

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

• Abilities to work independently with initiative.

The role:

You will provide administrative support to the medical team and support the efficient running of the Medical Office. This will involve administrative tasks including staff annual leave, maintaining the electronic filing system plus diary and meeting management.

Detailed job description and main responsibilities

As a key member of the team, the Grants Officer will work closely with the Head of Charity and colleagues across the team to build a sustainable funding pipeline to help generate significant growth by securing grants by:

• Personally securing substantial gifts from Trusts and Foundations (up to £150k)
• Delivering income targets, in line with the annual budget, from a portfolio of Trusts and Corporate Foundations
• Responsibility for researching Trusts and Corporate Foundations in alignment with a wide variety of projects and appeals that address the needs of BTH
• Developing high-quality bids/applications/cases for support for a variety of funders
• Managing stewardship activities for Trusts and Corporate Foundations, including tracking of reports and payments
• Working proactively with contacts within the Trust to identify and scope opportunities to maximise impact and income
• Working effectively with operational and clinical staff to develop and implement opportunities to foster and strengthen long-term relationships with donors and Trust representatives
• Supporting and developing new engagement events and communications
• Supporting the wider team with large communication, stewardship, or impact reporting activities
• Work collaboratively with the Charity Team to develop a new system for collaborative working in regards to Corporate Foundations, COTY applications, and other written bids for support.

• Develop regular activity reports and updates on donor funded activities that clearly indicate progress and impact
• Use, update and develop the CRM database to record approach and grant information, meaningful activities and learning, and to generate portfolio management reports.
• Work collaboratively with the Charity Team to develop and implement engagement and stewardship plans in alignment with existing corporate giving plans, including special events.
• Host visits to BTH by donors or Trustees, ensuring the visit maximises the opportunity to improve the relationship.
• Engage with colleagues across the Trust to identify success and excellence stories to share with our supporters.
• Produce materials such as Impact Reports, website information, Cases for Support and Newsletters appropriate for Major Donors and Trusts with support of the Communications team.
• Ensure that all written communications and materials produced comply with design standards; brand guidelines and appropriate legislation (e.g. style guides, document templates, legal wordings, charities legislation requirements etc).

Qualifications

Essential criteria

• Evidence of high-levels of numeracy and literacy and good general level of education
• Degree qualification, in relevant business-related subject, or equivalent experience to degree level

• Fundraising specific training to degree level, e.g. proposal writing, negotiation skills etc., or equivalent experience

About CleanupUK  

We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. Litter-picking brings people closer together, enables neighbours to meet one another other and helps create a greater sense of pride and community in local areas.

Historically, we have delivered litter-picking focussed community engagement projects in London and Birmingham. Our current focus is developing partnerships with community organisations across England to expand our reach and increase impact.

Main duties of the role 

• To provide a pro-active, high-quality administration and support service to the Operational Team, Chief Executive and the Corporate Partnerships team. 

Operational Team: Deals with logistics, processes and day to day functions of our work on the ground with community partners and volunteers.
