Due to the rapid expansion of Day One Trauma Support and the recent launch of our three-year strategy, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is a requirement to ensure that the Finance Department has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way. 

We are looking for an experienced and enthusiastic Finance Assistant to join our small and dynamic team to work alongside our Director of Finance and Resources and Finance and Operations Manager, along with providing general administrative support to the Finance and Operations Manager and wider team as required to help ensure the smooth day-to-day running of the charity. 

Reporting to the Finance and Operations Manager, this role will work as part of the Finance Team to ensure the accurate and timely processing of financial transactions, month end reconciliations, preparations for payroll and providing support in the production of management and statutory accounts, and in ensuring the charity’s compliance with financial regulations.You will be comfortable managing competing priorities and working collaboratively with colleagues across the organisation.

This role is ideal for someone with strong administrative skills who enjoys working in a collaborative, values-driven environment. 

As part of an expanding and ambitious organisation, there are considerable development opportunities for the successful candidate and the ability to help shape the infrastructure of the charity. 

The post holder’s primary duties and responsibilities are as follows: 

Finance Assistant 

• Process purchase orders, purchase invoices, staff expenses, and payment runs. 

• Raising invoices and maintaining credit control processes. 

• Record and reconcile income received from grants, donations, fundraising activities, and other sources. 

General Office Administration and Operational Support 

• Provide general administrative support to the Finance and Operations Manager and wider team as required. 

• Help coordinate office supplies, equipment, and routine operational requirements. 

• Assist with arranging meetings, preparing documentation, and taking notes where required. 

• Respond to telephone, email, and visitor enquiries, directing queries appropriately when required. 

• Assist with practical operational matters to help ensure the smooth day-to-day running of the charity. 

• Undertake other reasonable administrative and operational duties commensurate with the role.

General 

• Build awareness of the charity’s purpose through building strong and effective relationships with external stakeholders. 

• Be prepared to travel across the region and, on occasion, to other sites and national meetings as required. 

• Willingness to undertake continuous development and training for the role, including mandatory Day One and role specific training. 

• Additional ad hoc duties as and when required. 

• Maintain accurate financial records on our accounting software (Xero). 

• Reconcile bank accounts, credit cards and control accounts on a regular basis. 

• Assist with month-end and year-end finance processes. 

• Provide payroll information to the external payroll provider on a timely basis. 

• Support the preparation of monthly management accounts, year-end accounts and financial reports. 

• Assist with budget development, monitoring and reporting where required. 

• Support the annual audit process where required. 

• Respond to finance-related queries from staff, suppliers, funders, and stakeholders. 

• Ensure compliance with charity finance procedures, policies, and relevant regulations and promote these within the charity. 

• Monitor the Finance inbox on a daily basis, responding promptly and professionally to queries, and escalating matters to the Finance and Operations Manager when required. 

• Undertake other finance and administrative duties as required. 

• Ensure all restricted funds income and expenditure is coded correctly. 

• Undertake any required training and development.

Forest Farm Peace Garden is a small East London charity offering ecotherapy and community gardening to support people’s mental health and wellbeing.

About the Role

Cord’s turnover is about £2.3M a year. About 85% of Cord’s funding is restricted, coming from institutional donors like the EU and governments, and 15% (about £300K) is unrestricted coming from a committed UK supporter base and other private fundraising streams.

In 2026, Cord is registered in the UK and has offices in five other countries and programme activities in a further seven countries.

Cord has a range of finance systems, procedures and reporting practices to meet the needs of our operations in each location. Our finance function facilitates operations across the organisation to ensure there is good financial management, effective financial control, and compliance as well as a culture of support and learning.

This role is responsible for bookkeeping for Cord’s UK operation. The organisation’s income is received directly to the UK, the UK expenditure (£700K) and the organisation’s main treasury management is within the UK. The UK Finance Officer processes the monthly payroll for the UK (11ppl) and international staff (8ppl), processes international payments and fund transfers. The role also supports to the Finance Manager to implement the Finance Workplan and it produces a range of reports that support the effective financial management of the organisation. 

This role would suit someone with experience of working in finance within a charity, who is motivated by the work that Cord does and is interested in undertaking a long-term role. Working in a close-knit team you will play a key role in delivering an outstanding supporter experience while ensuring accuracy, efficiency, and empathy in all interactions.

Responsibilities:

• Act as the first point of contact for supporter enquiries via phone, email, and post, managing a high volume of inbound requests
• Provide professional, empathetic, and timely responses, resolving queries and escalating where necessary
• Maintain and update supporter records using Microsoft Dynamics 365 (including Direct Debit changes, preferences, and opt-ins/outs)
• Process donations accurately and ensure prompt acknowledgements

About You:

• Recent experience in a supporter care, customer service, or database-focused role within the not-for-profit sector
• Confident using CRM/database systems (ideally Microsoft Dynamics 365)
• Exceptional attention to detail and a process-driven approach
• Strong written and verbal communication skills, with the ability to personalise responses and demonstrate empathy

We are looking for a friendly, organised and reliable Administrative Associate to join our international charity team at our Berlin office. In this varied role, you'll provide essential administrative and operational support across the organisation, while acting as a key point of contact for colleagues, partners, visitors and members of our global community, many of whom do not have English or German as their first language.

You will play an important role in helping our Berlin office run smoothly and professionally, while also contributing to the continuous improvement of internal systems and processes that keep teams connected and effective — including close coordination with our Executive Team in London.
Working collaboratively across departments, you will use initiative to identify opportunities for improvement and support the implementation of practical solutions using platforms such as Airtable and Google Workspace (Docs, Sheets, Calendar and Gmail).
Excellent written and spoken German and English are essential for this role. You will be the first point of contact for our Berlin office, communicating confidently and empathetically with individuals from diverse backgrounds — and representing UWC International to visitors, suppliers and partners in Germany.
