We have an exciting opportunity for an experienced Executive Assistant to join the Executive department of Samaritan’s Purse International (SPI) and the Billy Graham Evangelistic Association (BGEA), supporting the Executive Director (ED) and wider Senior Management Team (SMT). The role is part time (21 hours per week) and based from our head office in Coventry.
The post holder will need to have meticulous attention to detail, be highly organised and have excellent administrative skills. A key aspect of the role is building collaborative relationships internally and externally. Proven experience working at Executive Director level is essential.
Duties will include:
- Providing full administrative and secretarial service to the ED and SMT
- Providing administrative support to the Board members of SP and BGEA
- Building of relationships both internally and externally
- Manage and maintain electronic diary accurately, liaise with the ED and SMT to input and manage appointments
- Undertake general administrative duties as requested by the ED and SMT
- Organise meetings/conferences/special events, provide agendas/directions to attendees. This to include all ED meetings and SMT strategic and tactical meetings.
- Organise travel for ED and SMT
- Organise visits by international visitors, including schedules of appointments
- Attend meetings, take notes/minutes to circulate to attendees in an accurate and timely fashion
- Daily use of Microsoft packages
- Assist the SMT with administrative tasks to aid in the efficient running of the team
- Attend SMT meetings and provide agendas, papers and notes
Occupational Requirement

About the team
The Shop Support Team Administrator role sits within our Shop Support Team in the Income Generation directorate at Shelter, you will report into the Shop Support Team Manager.
About the Role
Providing comprehensive support to our Shops and Retail function is what’s required here. You’ll be the first point of contact for staff, customers and supporters and also be responsible for all aspects of the shop supplies orders process - from price checking to placing orders. And, when it comes to finance or new goods admin – like processing invoices, raising new product codes or assisting with stock takes, again we’ll count on you. Ensuring new shops have the necessary supplies and signage, maintaining till number records, updating spreadsheets and managing the shop’s online handbook – all are aspects of this interesting, varied and vital support role.

About you
To succeed, you’ll need a background in admin, excellent communication and time management skills and a proven ability to work across a range of tasks simultaneously while maintaining strong attention to detail. We are looking for someone to run our helpline and perform general administration office duties from our Birmingham office. A large part of this role is to provide emotional support to traumatically bereaved members when required.
Candidates must have a history of providing emotional support to emontionally distressed or vulnerable people.
