Job description

AIMS

To help and direct clients and telephone callers in a welcoming and professional manner.

MAIN RESPONSIBILITIES

To deal with all reasonable queries/issues from

Personal callers –

  • Be the first point of contact

  • Inform staff and volunteers when a visitor arrives.

  • Check the availability of staff and volunteers to accept visitors.

  • Escort visitors to their destination if no one is available to collect them.

Telephone callers –

  • Take calls and messages

  • Provide simple signposting 

OTHER ACTIVITIES

Primary contact point for personal callers.

  • Greet all personal callers.

  • Establish why they are visiting Age UK Brighton & Hove

  • Contact and liaise with members of staff and volunteers.

  • Be vigilant of any relevant Health & Safety issues and ensure all visitors are aware of relevant Age UK Brighton & Hove Health and Safety policies whilst on the premises.

  • Ensure each visitor is made comfortable until collected or escorted to their destination.

 

Checking availability of staff and volunteers to accept visitors.

  • Monitor the Sign in sheets and Outlook Calendars

  • When visitors arrive check with appropriate service.

  • Be sensitive to any special needs or requirements the visitor may have, for example not all parts of the building are accessible to disabled visitors so staff and volunteers may need to deal with visitors in Reception or another part of the building.

  • Make each visitor comfortable if they have to wait.

  • If necessary escort visitors to the Information and Advice desks after confirming the Advisor is available to receive them.

  • Nail Cutting clients – ask client to wait in the reception area if the Nail Cutter already has a client in the clinic.

 

Escorting visitors to their destination in the building if no one available to collect them.

  • Visitors must not wander through the building unsupervised.

  • Normally visitors will be collected by the person they have come to see or by some other member of staff.

  • After establishing a member of staff or volunteer is available to receive but cannot collect the visitor, the volunteer can escort the visitor to them.

Taking telephone calls

  • Use the agreed greeting message

  • Transfer calls to the appropriate extension

  • Use Message Slips or email to convey full and accurate information

  • Providing other help as needed.

 

to get  involve and take part in Age UK Brighton & Hove events and fundraising activities as and when they arise whenever possible. 


 

QUALIFICATIONS, EXPERIENCE, SKILLS, QUALITIES 

 

  • Some experience of dealing with members of the public in a professional way.

  • Confident telephone manner.

  • Ability to remain diplomatic and cooperative with AUKBH workers and members of the public at all times.

  • Accurate and organise

  • A friendly welcoming approach

TIME (hours, length, flexibility)

 

  • We hope you can volunteer for a few hours per week.

  • Team meetings.

  • Occasional training sessions.
