HR/ People Officer - Volunteering (Hybrid)

We’re looking for a People Officer to help achieve our vision of London alive with nature, where everyone can experience and enjoy wildlife. Joining our People & Organisational Development team, you’ll initially have a strong focus on helping to shape and continuously improve our volunteering programme across our sites. This role will then have the opportunity to develop into a generalist HR/People role.
This role could suit someone with similar experience in a volunteering support/ coordinator role who is interested in developing a career in HR/People, or someone from an HR background within the charity sector.
Role & Responsibilities
Initially, your role will predominantly be focussed on improving and transforming volunteer management and experience at our organisation for the first 12 months. There will also be HR/People elements which long term, will expand further into more of a generalist role.
- Act as the supporting partner to our volunteer managers, guiding them through processes and best practice and providing regular training
- Support our volunteer managers with recruitment and onboarding of volunteers
- Support with the implementation of our new volunteer management system, and it’s ongoing administration
- Seek ways to improve our current volunteer programmes, ensuring volunteer managers are supported and volunteers have an excellent experience with us
- Support on the creation of a recognition programme

SPANA - The Society for the Protection of Animals Abroad is the global charity for working animals in low-income countries. Since 1923, we have supported the welfare of working animals, including donkeys, horses, camels and elephants, in communities that depend on working animals for water, transport, agriculture and their very survival. Today, we support working animals across 26 countries, through a series of global projects and partnerships.
We are looking for a Global Resources Coordinator to ensure operations within our global resources team run smoothly and efficiently. Responsibilities include providing general administrative support to different teams within Global Resources, manage supply of office resources and equipment, arrange travel, managing relationships with key suppliers, coordinating schedules and meetings and supporting HR administrative duties.
While we classify this role as hybrid, it's worth noting that the vast majority of your work can be done from the comfort of your own home. Occasional in-person visits to our London office (located in Borough High Street), and all-staff gatherings will be necessary. Our full time hours are 34.5 hours per week and we offer core working hours between 10am and 4pm.
Key responsibilities
- Assist staff and visitors with travel booking and coordination when travelling overseas, including booking flights, arranging visas and travel vaccinations.
- Main contact for travel agent building good working relationship.
- Support the Global Resources Director to coordinate and track all insurance policy renewals.
- Liaise with insurance brokers on renewals to ensure competitive costing and ensure timely renewal for all insurance premiums.
- Maintain and order office supplies, stationery, and equipment from the most competitive suppliers.
- Manage and maintain the fixed asset register.
- Assist with recruitment processes, including posting job adverts, preparing weekly vacancy listing, supporting interviews, checking references, and drafting employment contracts.
- Support induction processes for new joiners.
- Maintain the employee absent management system and support with any changes/updates.
- Preparation of documentation for all aspects of the employee life cycle, including leavers, changes to terms and conditions, maternity and paternity and flexible working requests.
- Support the Global People and EDI Manager to coordinate the appraisal process, ensure appraisals are conducted and collate training needs into a report for review and action.
About you
- High level working knowledge of Microsoft Office applications.
- Proven experience providing administrative support across teams in a fast-paced environment.
- Ability to maintain complete confidence.
- Ability to work effectively on own initiative.
- Strong interpersonal and communication (written and verbal) skills, with the ability to develop and maintain good working relationships with staff always showing tact and discretion.
- The ability to work accurately, with attention to detail.
- Personable and happy to help others with a keen interest in improving processes.
- Practical experience of working within or supporting HR is desirable.

About the role
Reporting to the Director, Finance and Operations, the role of Senior Officer, Finance and Operations plays an important role in supporting the seamless functioning of both the HSI/UK and HSI/EU teams while also working closely with Finance, HR & IT colleagues in the US. Areas of focus include accounts payable and receivable, budgeting and monthly reporting, as well as providing wide-ranging operational support across a number of different areas including legal/contracts, HR and IT.
Key responsibilities
Financial Administration (30%)
- Accounts Payable: Create POs according to the A/P policy, ensure all invoices are correctly logged & submitted for payment, ensure timely payment of all invoices, review weekly report of unposted invoices and outstanding payments and take action as needed.
- Accounts Receivable: Ensure all donations are properly coded & documented.
- Expenses Reporting: Ensure timely submission of employee expenses and debit and credit card transactions.
- Review financial transactions monthly to ensure income and expenditure are recorded correctly in the general ledger.
- Provide monthly reporting to all budget holders in the UK and EU.
- Perform other duties and responsibilities, as needed.
Contracts Management (30%)
- Working with the UK and EU teams, oversee the creation, submission and signing of all supplier contracts.
- Work with the Office of General Counsel in the US to ensure each contract is compliant with organisational policies and procedures.
- Maintain a log showing stage of each document in the process.
Operational Support (40%)
- Be the first point of contact for operational queries to campaigns and fundraising teams in UK and EU
- Ensure timesheets are completed as part of the monthly payroll process.
- Manage the process of recruiting and onboarding new employees and offboarding leavers. Support provision of IT and equipment for UK and EU teams as needed.
- Perform other duties and responsibilities, as needed.

Our successful candidate will be a confident, organised individual who is results-driven with excellent problem-solving skills. You will have outstanding numeracy skills, a solid knowledge of accounting principles with experience in a similar role.

The Role

In this role, you will be directly line managed by the UK EDI Manager, taking steer from, and feeding into, the central UK programme of EDI work and will work to support staff specifically in England and will work closely with the England Head of Engagement.
We know that, to tackle the nature and climate emergency, we need to enable more, and more diverse, people to act for nature. And as conservation is one of the least diverse sectors in the UK, the charity is committed to not only improving the workplace and its culture, but also driving forward EDI as it is everyone’s responsibility towards a sustainable future for people and nature together.
Specific tasks include:
- To provide EDI specialist support, advice and expertise to teams in England who are developing and delivering EDI activities which relate to their specific work areas. This includes work specifically on anti-racism.
- To coordinate EDI activities across England, maximising opportunities for scale-up and identifying risks, which feed into the central UK EDI work programme. To convene the England EDI Delivery Group, which is made up of representatives across England who each lead EDI activities within their teams.
- With project manager support, to develop ways of working, and associated training and guidance to staff in England on working in diverse partnerships, including effective relationship management.

We are looking for someone who is passionate about driving forward change and who is keen to support staff who are leading their own activities and small projects relating to EDI. You will have experience of successfully influencing change to improve equality, diversity and inclusion in an organisation or in a community setting.
