We are looking for a Senior Administrator on a part time basis (2 - 3 days per week) to provide administrative support to the Chief Executive and PA to the Chief Executive through a variety of tasks.
About this role:
As Senior Administrator, you’ll provide general administrative support to the Chief Executive and PA to the Chief Executive, including:
- Managing and processing expense reports and reimbursement claims
- Making travel arrangements for the Chief Executive (and, where required, Trustees and other members of the Leadership Team), often at short notice
- Responding to letters and department queries quickly and accurately, always maintaining confidentiality.
- Monitoring the Chief Executive’s emails, deleting, responding, contacting the Chief Executive to discuss where necessary, in the absence of the PA
- Working with the internal comms team to arrange and deliver regular Manager Q&A sessions
About you:
To be successful in this role, you’ll have previous experience in a secretarial role in a busy office environment, with the ability to organise and prioritise your own workload effectively. You’ll have excellent listening skills with the ability to communicate both in writing and verbally at all levels, and you will have a positive attitude and the ability to adapt quickly to changing situations, always remaining calm under pressure.

About the team:
The Administration department within Dogs Trust consists of the Chief Executive, PA to the Chief Executive, Senior Administrator and Team Assistant all based primarily at London head office.
This role will offer hybrid working, but there will be a requirement to attend the London office for meetings. This is a part time role and we are flexible about the work pattern, but you will need to be available to work Mondays to provide cover for the PA.

The position:
The primary focus of the position is to support the operational side of the organisation and the Managing Director. You’ll need to be good at multitasking and highly collaborative.
You will work closely with other department team members to facilitate support for the wider team. This role will report to the Head of Operations, whilst working closely with the Managing Director.

Hours:
This is a part time position of 28 hours per week over 5 days (or some of these days) with the working pattern to be agreed with the successful candidate.
From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing.
During the four day week pilot, working hours for this position will be reduced proportionately to 22.5 hours per week, spanning Monday to Thursday (or some of these days), with no reduction in salary. This will be a temporary change to the contractual terms with the successful candidate. The appointed person must be prepared to increase their working hours to 28 hours per week if a return to a five-day working week is decided.
Who you are:
You will be someone who enjoys supporting others in an administrative role and is happy to get involved in a wide variety of people and operations-related tasks. This role will require flexibility, a keen eye for detail, and good problem solving skills.
You have the ability to handle sensitive information and will work closely with the Operations team and Managing Director to uphold and continually improve our governance & processes.
You’ll be able to work independently and as a member of a team in a fast-paced environment and be excellent at prioritisation and managing multiple tasks effectively and efficiently.
Primary Duties:

Supporting the Operations team with a variety of administrative tasks relating to people, systems, finance, governance, and compliance

Organising purchasing of products, equipment and subscriptions as the team requires

Managing the subscription renewal calendars, ensuring timely review for renewals

Provide logistical support for whole team meetings, events and workshops, budgets and quarterly reports

Support the order of the team drive, organising items as needed and responsible for helping maintain the UK naming conventions across the team

Administrative support for other departments as necessary, such as supporting logistics of departmental workshops and retreats

Manage System user-guides, How To guides & Best Practice guides

Monitor and manage the main organisational email inbox, triaging to other departments and handling enquiries and responses directly where possible

Remotely host whole team meetings, Diversity Equity and Inclusion discussions, weekly reflections, and wellbeing sessions (guidance and support will be provided)

Booking meetings and coordinating travel requirements for national and international travel

Assisting with the daily management of operational activities

Support Lead People Operations Coordinator as required with hiring practices, such as listing jobs externally, administration related to interviews and adding transcripts and proofreading closed captions for job webinars

Support the Managing Director, helping with information requests, internal and external communications, board papers, scheduling, meeting preparation, minutes, updating Asana tasks and timelines, administration and expenses

Online Fundraising Assistant

To contribute to the execution of international PETA entities’ online fundraising programmes by assisting in the production of online fundraising campaigns, social media campaigns, and data management

Primary Responsibilities and Duties:
- Assist with PETA entities’ online fundraising campaigns, including data selection and quality checking, e-mail scheduling, donation tracking, and reporting
- Assist with PETA entities’ social media fundraising campaigns, including ad monitoring, comment section moderating, rejection responses, and reporting
- Assist with the statistical analysis of online fundraising campaigns
- Review online donation transaction data and ensure it is entered into the relevant databases in a timely manner
- Maintain the online fundraising appeal archive and ensure that materials are organised and stored efficiently
- Assist in building online advocacy campaigns for PETA entities
- Ensure the operation of the fundraising and data collection elements of PETA entities’ websites
- In liaison with the supporter services administrator, assist in maintaining and updating supporter records and subscriptions in fundraising databases
- As directed, work with the PETA Foundation US IT Department and database-management vendors to ensure that all data collected online is managed and maintained properly

Qualifications:

We are recruiting an Adoptions Coordinator for our Rehoming & Fostering team at our Rehoming centre in Southampton This is an important and critical role at Blue Cross ensuring pets in our care are suitably matched with their new owners and rehomed as quickly as possible, so that they spend as little time with us, and we can help more pets.
We’ve just launched a new and exciting national Rehoming & Fostering team structure to support our aim of ensuring every pet enjoys a healthy life in a happy home. You’ll be joining a team who strive to be the best versions of themselves, so that they can do the best for the pets who need our help.
More about the role
Our beautiful centre opened in 1988 and occupies approximately three acres of land in a discrete location surrounded by fields where we can walk our dogs, providing some wonderful enrichment in a quiet environment. The centre has facilities to care for dogs and cats, as well as a specialised area for puppies and kittens. We also operate a pet food bank for those that might need our support within the local area.
As an Adoptions Coordinator, you will ensure the adoption process is thorough, efficient and follows internal guidelines, moving assessed pets to new homes as quickly as possible.
Working closely with Pet Welfare Assistants at the Centre and other Adoptions and Admissions Coordinators across the Rehoming and Fostering network, you will be making key decisions proactively managing our pool of homes, matching each pet with the perfect adopter, and providing post adoption support when required.
This is a full-time role working 37.5 hours per week on a rota which includes weekends and bank holidays.
At our Southampton rehoming centre, we provide onsite accommodation for pets in our care 24/7. Overnight shifts are usually undertaken by team members who live on site. Occasionally, you will be expected to carry out night checks or stay in on site accommodation overnight when the resident team members are either not working or away for a period of time. These duties are organised on a local rota and shared between all members of the team.

About you
You will be an excellent communicator and have experience of working in a client facing role in a similar, animal related environment. You will have good knowledge of pet welfare as this is required to ensure the adoption process is successful. In addition, you will be able to quickly assimilate information, be competent at accurately recording information while also conducting conversations with clients and stakeholders.
With a client focused approach, you will be able to make decisions when under pressure and possibly, at times, without input from others. You will have a problem-solving mindset which allows you to pragmatically look for solutions to issues. In addition, you need to prioritise, especially when it comes to making decisions on the adoption of pets and ensure you adopt a high attention to detail.
You will know what it is like to work in an emotionally charged environment and have excellent ‘bounce back ability’ and resilience. In addition, you will be emotionally intelligent, showing empathy and knowing how to support clients and colleagues.
Knowledge, skills, and experience
- Demonstrable understanding and experience of matching considerations for pets and homes.
- Experience working or volunteering in a pet welfare role.
- Working knowledge of cat, dog, and small animal behaviour.
- Significant experience in delivering high level customer service in a fast paced and often emotional environment.
- Good questioning skills with the ability to gather information and distil the important points.
- Experience of building relationships and rapport with customers.
- High standard of verbal and written communication.
- Good literacy and numerical skills.
- Proven decision-making ability.
- Strong administration skills, including the use of computerised.
- Current full driving licence.
It would be great (but not essential) if you also had:
- Experience working with volunteers.
