Job Description

The Permanent Part Time (0.6) Head of Finance is a core member of the organisation's structure and is a strategic partner to the Director of Operations on all areas of finance. Responsibilities will include:

 

Run the accounting functions

• Manage payment runs and other banking.
• Manage payroll, pension and staff benefits as required.
• Administer investments and banking.
• Cashflow Management.
• Finance app management inc. Xero, ApprovalMax

 

Management accounts and planning

• Produce management accounts.
• Analyse trends and variances, and other analysis as required.
• Model company finances including budgets and 3-year business plan.

 

Compliance

• Manage VAT, corporation tax, and tax planning.
• Generate and review accounting and compliance policies.
• Work with auditors throughout the year as required.
• Implement and manage spending and authorisation controls.

The Successful Applicant

• Fully Qualified Accountant (CIMA, ACCA, ACA, ICAEW etc)
• 5+ years PQE
• Can demonstrate working independently and as finance lead with board responsibilities. (Experience in a SME preferable)
• May suit fractional or part-time (3 days/week). Flexible working possible.

Main responsibilities:

Coordinate a programme of marketing activity to generate awareness, conversion and retention of Young People, including UK students. Work with Head of Youth Marketing to ensure an inclusive scheme(s) that reflects and represents the broadest and most diverse student audience.

Specific Duties:

Strategic Planning and Development

Alongside the Board of Trustees and the Senior Management Team:

• Monitoring and updating the Business Plan

• Oversight and updating of organisational Theory of Change, ensuring KPIs for all programmes are in line with our vision and mission, and are achievable as well as ambitious
• Continued development and monitoring of the new Community Hub Programme in partnership with other local strategic partnerships
• Prioritising the articulation and communication of the Ark-T methodology and approaches to using the arts for improved wellbeing and mental health across our programmes and sharing best practice across the team
• Prioritising the reach and engagement of Ark-T programmes to a larger and more diverse audience representative of our surrounding communities
• Recruiting an increasingly diverse team of Trustees with the skills, contacts and time to contribute effectively to the running of the charity

Management of Staff, Freelancers and Volunteers

• Recruiting key staff and others.
• Leading, managing and developing direct reports and supporting them in managing their key workers – staff, freelancers and volunteers.
• Ensuring that processes for the recruitment and management of volunteers are developed and maintained
• Liaising with external HR consultants to update procedure and processes appropriately and managing staffing matters arising
• Enabling a safe, stimulating and supportive workplace where teams and activities can flourish and work standards and practices are maintained.
• Taking steps to ensure that staff and freelancers attain high standards of work.
• Ensuring that staff have, or can develop, the skills and abilities they need to carry out their jobs competently, safely and effectively.
• Maintaining and updating safeguarding standards and procedures and working with staff to ensure that staff and users are, and feel, safe.
• Acting as one of the two Safeguarding Leads for the charity and managing concerns from staff, users and visitors to the centres.

Finance & Fundraising

• Researching and writing funding bids to secure both restricted and unrestricted funds
• Exploring other possible sources of funding for programmes and core costs, including individual donors, corporate sponsorship and commercial opportunities.
• Working with the  Finance Manager, Treasurer, and external
Bookkeeper, including using Xero software, to monitor the finances of the charity to ensure that sufficient funds are attracted to run planned programmes, meet the commitments of the charity within agreed budgets, and produce regular reports.
• Maintaining adequate reserves for the charity in line with policy.
• Preparing the annual report and accounts for submission to the Charity Commission to be independently examined alongside the Chair and the Bookkeeper.

Management of the Buildings

• Overseeing relationship with Landlords and tenancy agreements
• Managing Centre Manager to ensure efficient and cost-effective operations.

Partnerships & Representing the organisation

• Represent Ark-T as a leader in arts for improved mental health and wellbeing, driving change, particularly diversity and inclusion through influencing and contributing to the key meetings.
• Maintaining relationships and strategic partnership agreements with OX4 Food Crew Alliance, Oxford Community Action, Donnington Doorstep, Safe! and Waste2Taste.

Communications

• Overseeing the marketing and communications for Ark-T.
• Ensuring that key stakeholders are kept informed of the progress of the charity,
including the publication of an organisational wide impact report in 2024.

Reports to: Chief Operating Officer (COO)

Manages: All Cinema Managers (currently five, six by end of 2024) and one Technical Assistant

Location: London Bridge central office (40% home-based also possible)

Bristol City’s official charity, the Robins Foundation, has a permanent vacancy for a Communications and Marketing Manager.

The Black Country Living Museum is searching for Historic Characters to join our team. These individuals breathe life into the stories of those who lived and worked in the Black Country through engaging with our visitors. We are currently developing stories relating to people of the following heritage:

South Asia: particularly India, Bangladesh, Pakistan,
The Caribbean: particularly Jamaica
Europe: particularly Irish, German, Polish and Italian

If you feel able to interact with our visitors in telling authentic migration stories from the Black Country during the 1940s, 50’s, and 60’s we would like to hear from you! We are interested in hearing from anyone who may have knowledge and be able to share, engage, and inform our visitors of migration experiences arriving from the above regions and working in the Black Country during these decades.

• Engaging knowledgeably and respectfully with our visitors to reflect on lived experiences of the Black Country.

The Senior Accountant (Financial Control) post can be based in either the London or Manchester office. This role is in the central Financial Accounting and Control Team (FACT). In addition to being DCMS’ financial accounting Centre of Excellence, the team leads in the production of the consolidated accounts of the DCMS Group (with 34 of its 42 Arms Length Bodies directly consolidated) and manages the National Lottery Distribution Fund. The team is the hub for all financial operational and control functions including treasury management, VAT, purchase to pay support and manages the relationship with DCMS’ shared services provider. The DCMS Finance team is relatively small and this provides opportunities for development not always found in a bigger department.

Key responsibilities of the Senior Accountant (Financial Control) will include:

• Management and delivery of robust financial policies, controls, processes and systems.
• Management of the core department’s key finance system (Integra) and the relationship with the department’s shared service provider.
• Overseeing the payment process for suppliers via Purchase to Pay (P2P), including prompt payment monitoring and reporting.
• Lead on the preparation of the DCMS core accounts.
• Leading the audit of the Core Department and ensuring all necessary documentation is available to the National Audit Office.
• Provision of sound technical advice on complex accounting, taxation and budgeting issues to a wide range of stakeholders.
• Ensuring that the Department’s financial systems, cash management and cash forecasting regimes run securely, smoothly and efficiently.
• Key influencer in the Matrix cross-departmental cluster to drive decision making for the new Enterprise Resource Planning (ERP) system which DCMS will be an early adopter of.
• Leadership and line management (including recruitment, development and training) of 3 direct staff and task management/close collaboration with 2 other staff members within the wider team.

The successful Senior Accountant (Financial Control) will have:

• Qualified financial accountant (CCAB, CIMA or equivalent) with demonstrable post qualifying experience in a large finance team
• Experience of preparing (or auditing) accounts in conformity with relevant accounting standards
• Experience of managing or using financial systems and advanced knowledge of Excel
• Be an excellent communicator, able to explain complex ideas both verbally and written
• Proven ability to work as part of a team delivering at pace in a fast-moving environment
• External audit background (desirable)
• Knowledge and experience of the FReM, Consolidated Budgeting Guidance (CBG), Managing Public Money and HM Treasury’s supply estimates manual  (desirable)

An ABC of CSA is a creative resource co-produced with 40 CSA survivors to support better conversations about child sexual abuse, including: a set of alphabet cards, a touring exhibition and associated cross-sector training. 

The Role
We are looking for a Training and Development Coordinator to join us, who has strong communication skills and excellent organisational ability. You may have experience in coordinating a training programme or developing business leads for ongoing training or sales opportunities. You may have a background in arts and/or mental health or experience working in the sexual violence sector, therapy or counselling.

You will help Viv Gordon Company to develop, market and sell existing training centred around An ABC of CSA and recruit, support and coordinate a small team of trainers. Reporting to (and with the support of) the company’s Executive Producer, this will include:

• Support VGC in cross sector consultation to identify training needs of different potential clients to inform training design
• Develop contacts and leads for training bookings via email, phone calls and relevant networking events 
• Develop training info pack and relevant materials (with a graphic designer if needed)
• Contribute to the development of marketing materials and coordinate distribution to relevant parties 
• Plan & coordinate the train the trainers session with VGC
• Help recruit trainers 
• Coordinate the trainers going to their delivery sessions inc. any access support requirements 
• Be the main point of contact for trainers and clients when delivering their training sessions
• Get feedback from clients and implement changes with VGC where required 
• Implement & coordinate evaluation of the training 
• Follow finance processes
• Follow company access needs 
• Any other duties that reasonably fall within the role

About You
The successful contractor will demonstrate the following skills:

Essential

• Strong communication skills, including confidence making phone calls with prospective and existing clients across different sectors
• The ability to work well in a team and independently 
• Building and maintaining contacts for potential training opportunities/clients 
• Experience of planning and/or coordinating a training programme or similar
• Experience of coordinating a small team of trainers
• Experience of budget management and following financial processes 
• Experience creating and distributing marketing strategies 
• Proven organisational skills 
• Attention to detail
• Experience of formatting documents using Google Docs, Microsoft Word or equivalent
• Working knowledge of access and inclusion for a range of access needs

Desirable

• Experience of being in survivor-led or activist spaces
• Experience of working in arts, mental health, sexual violence or therapy/counselling sectors
• Active listening skills
