Job description

Beechwood Cancer Care, a charity based in Stockport, Greater Manchester is looking to recruit a Volunteer Coordinator at an exciting time as the charity approaches its 30th anniversary year in 2020. We’re looking for a personable and proactive individual to develop, evaluate and manage volunteer programmes to ensure the volunteering role is rewarding for individuals and for the charity.

Travel across the borough and Greater Manchester will be required in accordance with the duties of the role, e.g. visits to Beechwood Charity Shops, local events, meetings

HOURS: Full-time (part-time considered, min 30hrs/wk)

Nature of the Role:

The Volunteer Coordinator will develop and implement a sustainable cohort of volunteers to support the delivery of the Charity’s core objectives to support those affected by cancer and other life-limiting illnesses.

The Volunteer Coordinator will report to the Fundraising Manager and work closely with other departmental managers. You will implement a cohesive volunteer infrastructure of engaged and motivated volunteers across key business functions.

You will implement a core Volunteer Training Programme to support volunteer roles, development and paid employment opportunities.

Main Duties:

Develop and implement systems and procedures to engage new volunteers into the Charity and to retain relevant information in accordance with guidelines

Implement a sustainable volunteering function which will be ‘future fit’ and meet ‘best practice standards’ as the Charity moves into its 30th anniversary year

Proactively promote and offer advice and information to external organisations on corporate/occasional volunteering

Develop, encourage and co-ordinate a diverse volunteer function, with a specific focus on good communication pathways, recruitment & retention, induction, volunteer training, mentorships, progression pathways

Develop and implement Volunteer Role Profiles, Volunteer Information Packs

Implement volunteer bi-annual reviews

Liaise with the Charity’s department leads to understand what volunteer support is required for each specialism

Ensure all volunteers can undertake the role they will be assigned to and/or put in place core and role specific training to achieve this

Identify, ensure and enable volunteers to access online and face to face training

Ensure the contribution of volunteers and the impact of their support is recognised through reward and recognition activities and in an engaging and creative manner

Organise and attend profile-raising events to attract new volunteers

Attend and proactively participate in external networks and associated meetings to ensure Beechwood is up to date with the national volunteering movement

Attend and represent the Charity at in-house and local community events, to promote the Charity and to promote volunteering and engagement

Administration:

Implement robust systems and processes for the volunteer function

Maintain an up-to-date volunteer database

Interview, screen and attend to all core volunteer administration

Coordinate and facilitate volunteer and service user engagement forums

Be knowledgeable of and remain up to date with key legislation and policy related to volunteering

Prepare monthly summaries for the management team

Monitor and approve the reimbursement of expenses

Person Specification: – Essential

• Excellent interpersonal, communication and presentation skills (written and verbal)

• Excellent IT skills – to present data via Word, Excel, PowerPoint and PDF

• Excellent administrative skills and record keeping skills

• Personable and friendly – skilled at building strong and diverse relationships

• Experience of coordinating projects and volunteers (paid or unpaid)

• Ability to demonstrate empathy with volunteers and an understanding of their needs

• Ability to inspire and motivate others

• Ability to deal with information in a confidential manner and respond with sensitivity

• Experience of working across different sectors and agencies

• Flexible and non-judgemental approach to people and work

• An understanding of the sector and the challenges it faces

• Accountable and responsible, always doing what you say you will do to high standards

• Willingness to work outside of regular office hours occasionally and to attend/facilitate volunteer and fundraising events

• A full, clean driving licence and use of a car

Desirable:

• Line management and/or coordination experience

• Senior/high level administrative experience and skills

• Experience of working within dispersed and diverse groups

• Experience of project management

• Good working knowledge of social media platforms and an ability to utilise to engage with stakeholders, both existing and potential

Qualifications/Equivalent Experience:

Senior administration &/or direct volunteer coordination experience

Degree or alternative qualification/experience in relevant area e.g. business and management studies, youth and community work, project management, volunteering
